Safety and Security - Take care of your workstation

Please be sure to take the following precautions to keep your laptop/workstation safe:

Beware when carrying your laptop between meetings - drops can


occur easily so please close the lid or use a case if possible.
Always use a case or satchel for extra protection & do not jam the
bags - a common cause of broken screens.
Beware of holding foreign objects over your laptop.
Do not ever bring liquids near the laptop & do not pack your drinks in
the laptop bag.
Avoid exposing your laptop bag to rain - raindrops can seep into your
bag & do damage.
Beware of thieves - in car parks, at stoplights, on trains and public
places. A laptop is a target & magnet for thieves!
Avoid leaving your laptop in your car - even the boot can be unsafe.
Beware of exposure at stoplights.
Do not leave your laptop at your feet when on a train, or in a public
place (bus stop, cafe or bar)

Changing your PASSWORD

For Mac OS, follow these steps:


For Windows, follow these steps:
1. From the Apple menu, select System Preferences.

Changing your IBM NOTES PASSWORD

Follow these steps:


1. Open IBM Notes.
2. At the Password Prompt, enter your pre-configured password (usually default to welcome2ibm then
click OK.
3. Once logged on, go to File > Security > User Security.
4. When prompted for a password, use your pre-configured password.
5. On the User Security screen, click on Change Password.
6. When prompted for a password, use your pre-configured password.
7. At the Password prompt box, type in your new IBM Notes password then press OK.
8. Click OK on the User Security screen.
9. Remember your new password, you will need it every time you log-in to use IBM Notes.
10. You will be prompted to change it sometime in the future usually within 90 days.

**For approximately the first 6 weeks, your emails will be received on a Domino server, d23ml004. You will then be
migrated to the Smart Cloud Network after receiving 3 notification emails of which the third will require your action to
begin data migration to the cloud. Your inbox will then have a size limit of 50 GB. Once youre near this limit, you will
receive a notification and must then reduce the size of your inbox or your ability to send emails will cease. To do so, you
may either delete or archive your emails. **
All archives you create must be encrypted via file->Database->Properties;>Encryption settings

Password Troubleshooting
Please change all your passwords:
1. Before they expire - All passwords will expire within 90 days.
2. Before going on leave Please keep a record of all new passwords.

If you do not change your passwords before the given date, you will be locked out of the system and access to the intranet will be
temporarily suspended until you do so.

Intranet
If your intranet account is locked, or if you have forgotten your password, go to w3.ibm.com and on the left hand side click forgot
your password then create/reset password. This will give you a temporary password which will expire within 24 hours and
must be changed to a personal password before the expiration time.

IMC
If your IBM Mobile Connect account is locked, contact IT Help Central via chat (https://w3-01.ibm.com/helpcentral/Support),
or ring 1300 735 426 and follow the prompts. After a password change, please disable the remember password feature to avoid
your account being suspended from incorrectly entering passwords multiple times. You may re-activate it once the new password
has been recorded.

IBM Notes
For IBM Notes password reset issues, contact IT Help Central via chat (https://w3-01.ibm.com/helpcentral/Support). They will be
able to send a temporary password and/or ID file to your Bluepages manager (This is your people manager listed in the Bluepages
profile system).

Symantec Encryption Desktop (SED)


For SED password issues, contact IT Help Central via chat (https://w3-01.ibm.com/helpcentral/Support and ask for a SED token. This will also
be sent to your Bluepages manager. Please be patient and note that only one SED token whole disk recovery token can be raised at a time.
Any additional tokens will disrupt the whole process (i.e. if the data recovery process is interrupted, the disk will be effectively unrecoverable).

Mac and iOS


For any issues to do with Passwords, Mac Set up, Connectivity, Notes, Verse or SmartCloud Mail, Contact the Specialized Mac Help Desk via
(https://w3.the.ibm.com/mac/#/live-help).
Official chat support is now available from the AP Mac Help Desk based in China for Macs.
**Note: there is still no local (in-country) support for Mac issues.

Which remote connection do I use?


Use IBM Mobile Connect as the primary remote access tool. If you are unable to use IBM Mobile
Connect from a particular SNI client site, Contact IT Help Central.

What is IBM Mobile Connect?


A Remote Access (VPN) offering which is based on the IBM Mobile Connect (IMC) product.
If you do not connect to IBM Mobile Connect whilst on a non-IBM network, no access will be given to
intranet related content. This includes sending and receiving using your mail servers through IBM notes.
However, you will be able to access your SmartCloud Notes without using a VPN.

IBM Mobile Connect


Steps to use IBM Mobile Connect on Windows: Steps to use IBM Mobile Connect on Mac:

1) Check that you have an internet connection 1) Launch IBM (Lotus) Mobile Connect.

How to configure IMC (IBM Mobile Connect) at Client Sites.


IMC needs to be configured at specific client sites.
To do this you must change the connection from the default to the new IP address that is provided by your particular client
site.
In order to do this launch Mobility Connections (Found in the start menu).
Right click IBM Mobile Connect AU and click Properties in the drop down box.

IBM Mobile Connect AU window will appear click networks and click properties again until the Default Local IP
interface Window appears.

Change the imc.au.ibm.com in the connection manager address bar to the IP address provided by the Client Site.

AT&T (Alternative Remote Access)


Use AT&T as a secondary remote access tool.
Please note that in Perth and Brisbane this is the primary access for most client sites.

How to access AT&T


Used for connecting to the IBM network from
external broadband connections.
It has no function if used from within an IBM
building.

Steps to use AT&T:

1) Check that you have an internet connection (Look


for connection icon on the right hand bottom
corner of the screen).
2) Run AT&T(Desktop), or AT&T Global Network
Client(Start Programs menu).
3) Should already be pre-configured with Account,
User ID and default password(wel.come).
4) Click Connect.

Note: Account Details can be found in


your initial emails. From User
Registration Team.

Cisco (Cisco AnyConnect Secure Mobility Client)

Cisco AnyConnect, which creates a Virtual Private Network (VPN) to connect to the IBM network. It
uses Secure Access Services (SAS), allowing your Mac to securely connect to the IBM network.

IBM Security Compliance

For PC: Workstation Security Tool For MacBook: No Workstation Security Tool
The tool runs on your PC automatically to Must manually check for compliance.
check for IBM IT compliance
Always ensure that you are WST compliant
Verify Hard Disk is encrypted
Firewall is enabled
Steps to run WST:
Mac is registered
1. Go to Start > Programs > Workstation
Security Tool > Workstation Security Tool Screen Saver Lock active
2. Scroll down the page to view your current Security compliance is being monitored and
compliance status automatically locked down or repaired by
Caspersuite.
3. If there are non-compliances, Click on More

4. To rerun the tests, click on Rerun all tests
5. On closing the page, you will be prompted to
update your compliance results, click Update Further information how to ensure your MacBook

Removing spam emails (Reporting spam & phishing ) within IBM Notes

Select the spam/phishing email(s) from your inbox. Multiple emails can be selected while holding the Ctrl
key. Click on Report as Spam located on the IBM Notes toolbar to report SPAM or PHISHING.

Click Yes.

Other things you should be aware of


Symantec Endpoint Protection
Your PC/Macbook automatically updates virus definitions when used.
If your PC/MacBook is not used for a period of time, ensure to manually invoke
Live Update.

Windows/Mac OS Security Updates


Your PC will automatically prompt you to install Security Patches through IBM
Standard Asset Manager do not manually go to Windows Update.
Apple Products will automatically prompt you to install updates for security and
bug fixes.

Verify that you have received your workstation


For non GBS practitioners , you should have received an email from IBMSTORES,
read the email and follow instructions noted.
For GBS practitioners, you will receive an email from June Williamson.

BluePages
Ensure that your BluePages profile is complete and up-to-date with your mobile
number and office address. This ensures that you will be able to receive mail via
the mail room and people know how to contact you when required.

Other things you should be aware of

I.T. Issues
If you have urgent laptop issues which require immediate attention (for non GBS employees), get help
through the IBM IT Help Central Website (link provided in next page).
For GBS Employees (hardware/software issues), please contact the GBS/GPS Asset
Management Team as shown in slide 2 of this presentation.

Non-IBM Software Requests


For all GBS users, all software license requests must be approved through June Williamson via email,
stating software requirements and business justification. This includes all Microsoft Office suite
software and non-IBM standard software.

SameTime
SameTime is a chat program you can use on the intranet.
Click Start, All Programs, SameTime connect
Log in using your email address and intranet password
If you do not know someones email address, you can enter their full name and wait for a little while,
then their email address should appear.

IBM Printer setup


For PCs: Go to your desktop and click the Install a Printer using Global Print shortcut.
For Macs: Go into System Preferences and click install a printer.
