Complaint Letter

Purpose

A complaint letter, is normally written to deal with a


problem/situation when other attempts (i.e. phone
contacts, e-mails, etc.) have failed to rectify the
situation. The complaint letter formalizes a problem
situation by putting it into writing and is usually the
last resort to try to get a situation resolved.

Complain about / Criticize / Denounce / Reproach.

Dissatisfaction with the service / Discomfort /


Complaint / Displeasure.

Refund / Compensation / Discharge / Discount /


Payment / Remuneration / Restitution / Retribution.
How to
Take into consideration! A complaint letter should follow the
standard composition format for a formal letter.
1. Make sure you address your letter to the customer
service department.
2. Address the problem in the first line. Be specific and
brief.
3. Next, summarize the events that prompted your
complaint. Be sure to include exact dates and times and
provide all the information in a clear and chronological
sequence.

4. In the subsequent paragraphs explain what is requested


to solve the issue. Be emphatic about the additional
costs you have incurred during the process and attach
copies of the documents that certifies them. Besides, set
them a time limit to give you a concrete solution.
5. Avoid being sarcastic, angry or disrespectful when
typing the letter. Keep in mind that the addressee did
not cause the situation and he/she may be willing to
assist you.
