STEP BY STEP GUIDE

Login Page

Login By using Valid user name and password.

Updating the Chemist List

Once logged in, the system will divert you to the Home page
Firstly, Update the chemist list by going to Customers Chemist
as in the Fig. above. The following screen will appear
Click on New Chemist as in the Fig. below

On clicking New Chemist, the screen will appear as the Fig. above.
Fill in the chemist details & click on Submit.
Now this chemist will be included in the chemist list

Select Doctor Updation 16-17 under Customers tab as shown

On clicking Doctor Updation, the Above Doctor Listing page

will load.
The Doctors reflecting in Bold Blue color are updated
doctors.
The Doctors reflecting in Black color are un-updated
doctors.
Click on Edit to make changes to Doctor details.

Edit Doctor Form

Once clicked on EDIT, the above Doctor form will load.


Here user can make changes to the doctor
information.
The fields marked in astrix (*) sign are mandatory.

Serial Number

To update serial number, click on All Serial No. link.

Once you click on All Serial No. link, the serial number list will load as
shown above
Assign serial number to the doctor.
Note: The most important doctor should be assigned No.1 & last
number to be assigned to least important doctor (All SAS & Advisory
Board doctors should be within the first 30 Doctors)
No two doctors can have similar serial number.
The serial numbers indicated in bold blue color are already assigned

Serial Number

In case, user is not sure about the serial number he need to assign to
doctor than he can click on N .
Once user clicks on N the doctors serial number will be saved as 0.
Later user can edit the doctor and assign proper serial number for the same.

Note : User can click on N for one doctor at a time while assigning
serial numbers.

Once user clicks on any available Serial number, it will reflect in the Serial
no. field as shown in Fig above
User can change the same by clicking on All Serial No. link again before
submitting the doctor.
Once the serial number is assigned, user can update other doctor details
like Qualification, Speciality, frequency, Mobile No., Date of Birth,
Registration No., email Id
Note: Besides the Qualification & Speciality text box, the test in
Red shows the Qualification & Speciality assigned to the doctor in

Division Guidelines
The total number of doctors in the Doctor List of each Rep

will be 120. Any attempt to save more or less than 120


doctors will display an error message.
Per Rep 20 3 visit doctors & 100 2 visit doctors. Any
attempt to save more or less will display an error message.
All
the
fields
which
are
star-marked,
are
mandatory/compulsory to be filled. An error message will be
displayed if any of the mandatory/compulsory fields remain
unfilled & will not allow saving the Doctors profile.
Mobile Number & Date of Birth is compulsory to be filled for
3 visit doctors.
Only the Qualifications & Specialties mentioned in the dropdown list will be available for selection. The qualifications are
linked to the specialties.
Mobile No is mandatory for first 30 doctors (Doctor
SLV No.1-30)
All 3 Visit Drs should be part of Doctor SLV No.1-30

Class is a mandatory field
Doctors selected under Class are those doctors who
have been
part of the activities

The doctors can be added in the campaigns. One doctor
can be added in maximum 2 campaigns.
The campaigns & Focused brands are linked as below

The campaigns names will be available as a drop-down list


for tagging doctors to a particular campaign. Any attempt to
save more or less doctors in each campaign will display an
error message. Any doctor can be selected only for two
campaigns.
A doctor can be removed from a campaign by clicking on
Del

Division Guidelines
For the field Focused Brand, every doctor will have 2
focused brands. An error message will be displayed if any of 2
Focused brands remain unfilled & will not allow saving the
Doctors profile.
The Focus brand selection is linked to the Campaign such
that:
A. If a Doctor is included in two campaigns, in the Focused
Brands the TE can select only the brands which are linked to
the respective campaigns.
B. If a doctor is included in one campaign, one of the focused
brand should be from the focused brands linked to that
campaign. The second focused brand will be from any of the
other focused brands.
C. If a doctor is not included in any campaign, the TE can select

To add Focused brand, click on any one campaign & deselect it by clicking on the blank in the drop-down list
Now on clicking on the Focused brand drop-down list, the entire
list of Focused brands will be available as in the Fig. above. Select
the Focused brand & click on Add.
Note: The Focused Brands cannot be from the same Brand.
Eg.: Turbovas & Turbovas F cannot be taken together but Turbovas F and
Voglinorm GM can be clubbed together

A Focus Brand can be removed by clicking on Del

Note: If a doctor has been added in a campaign, please


ensure that the Focused brand is from the same group.
Eg. If the doctor is added to Voglinorm Group campaign, one of
the focused brand should be either Voglinorm, Voglinorm GM
or Voglinorm M
If the campaign & Focused brand added not from the
same group, then the system will display the following
error on clicking the final Submit button for the doctor &
will not allow saving the doctor
Eg. If the campaign is Voglinorm Group & Turbovas Group, but the
Focsed Brands are Amlozaar & Dianorm then the system will show
an error

Click on Back button


The Doctor form will be displayed again.
Fill the details making all the corrections & click the final Submit
button at the end to submit the doctor

Clinic Address of the doctor is mandatory to be filled. (Clinic


Building name, Clinic Street, Pin code)
Clinic State and City will automatically load based on the
Area/ Patch selected.
User can Also Associate Hospitals to doctors using Add
Associate Hospital option

For every doctor at least one chemist has to be linked by
the TE.
More than one doctor can have the same chemist linked.
To link Chemists to doctor click on Add Chemist in Chemist
Association.

Search the chemists using Search Criteria.


Based on the search the Chemist will be listed as shown in
the Fig. above

To Select the Chemists from the list click on the check box as
shown above
Click on Add to List button to Associate the Selected Chemist to
the doctor

The selected Chemist list will be displayed under Chemist List.


Once all the required fields are updated, Click on Submit
Once clicked on Submit, the doctor will be saved in users
Doctor Updation list

Serial Number-Swap option

This feature enables user to swap serial number from one with two doctors.
If user wants to swap the doctor serial number with other doctor , click on
All Serial No. link
In order to swap serial numbers between doctors user needs to fill the
other doctors serial number in Swap with field And click on Swap as shown
in Fig above
Eg. If User wants to swap the Doctor No. 5 with doctor No. 10, Click
on All Serial No. Link of doctor No. 5 & write 10 in the Swap option

As per the system, User can swap only those serial numbers which are
already assigned to doctors.
If user tries to swap the serial number of the doctor with the serial number
that is not yet assigned to any doctor than he will get validation as shown in
Fig

To Add a new Doctor under Doctor Updation feature , click on Add
New Doctor button as shown in the figure above in Doctor updation
listing screen.

After clicking on Add New Doctor , Universal Doctor Search page opens
as shown in the Fig. above
User will be given two options :
1. Search by Doctor Universal Code
2. Search by Doctor Details
. To Select either of the options, click on the radio buttons as shown
above and click on search

Once user selects search by Doctor Details option, the Above


Search and Listing Screen will load.
User will enter the doctor details in the filters and click on
SEARCH.
The doctors matching the search criteria will be listed.

The user will click on radio button to select the doctors.


Click on Add to My List Button to add the selected doctor to the
list.

Update all the mandatory and required fields and click on


Submit.
Once submitted, the added doctor will reflect in users Doctor
list.

After user updates all the doctors as per the list, he has to click on
check box to select I agree that I have completed my contact
updation for financial Year 2016-17 and click on Submit .
Once all the Doctor updation for financial year is Submitted as per the
frequency the User will be taken to Proceed Button as shown in slide
number 37.
Note : If the doctor list is not as per the frequency the error
message will be shown as per the next screen .

Once clicked on Submit The above screen will appear if user has
not updated doctors frequency wise .
User will have to click on back button and he will be taken to the
listing screen where user has to make necessary corrections to the
doctor listing .

Once the user makes the necessary corrections to his doctor listing , he
has to repeat the step mentioned below
Click on check box to select I agree that I have completed my
contact updation for financial Year 2016-17 and click on Submit .

Once all the doctors are updated as per the frequency limits the
above Fig will load .
User need to click on Proceed button to complete the doctor
updation process.
Once user clicks on Proceed, he will taken to the doctor listing
page .

the frequency limits the above Fig will load
The Doctor List for Finanncial Year 2016-17 is already
submitted will appear in Place of I agree that I have completed
my contact updation for financial Year 2016-17
The Edit / Delete links next to all doctors will be unavailable .
