I have compiled this collection so we all know what is going on and what is to come. I will assign due dates to the appropriate assignments. Not all sections have assignments that go with them, if there is an assignment it will be noted at the end of the section in bold and italics. This is your textbook/workbook for the year. We will add to this as necessary. If you lose this then it will result on all assignments that you cant complete because of the lack of responsibility. Unit One: Word Processing


In this unit we will review some basic grammar rules and practice proofreading our work. We will use these rules and proofreading technique throughout the year. Why is this important? Your work for me and for your boss will need to be grammatically correct and free of typing or spelling errors. Careless mistakes may cost you a promotion or worst. Those mistakes make your work look like very poor quality and that you really didnt care about what you were doing. In this unit we will also be discussing proper formats with letters, memos, and tables. We will also be discussing how to use tabs in word. We will carry several of these concepts throughout the year and into different Office Software Applications.

Capitalization Rules
Rule 1: Capitalize the first word of a sentence, personal titles, and names of people. Learn: Ask Ms. King if she and Mr. Valdez will sponsor our book club. Rule 2: Capitalize days of the week and month of the year Learn: He said that school starts on the first Monday in September. Rule 3: Capitalize cities, states, countries, and specific geographic features Learn: When you were recently in Nevada, did you visit Lake Tahoe? Rule 4: Capitalize names of clubs, schools, companies, and other organizations Learn: The Voices of Harmony will perform at Music Hall next week. Rule 5: Capitalize historic periods, holidays, and events Learn: The Fourth of July celebrates the signing of the Declaration of Independence. Rule 6: Capitalize streets, buildings, and other specific structures Learn: Jemel lives at Bay Shores near Golden Gate Bridge. Rule 7: Capitalize an official title when it precedes a name and elsewhere if it is a title of high distinction Learn: In what year did Juan Carlos become King of Spain? Comma Rules
Rule 1: Use a comma after (a) introductory words, phrases, or clauses and (b) words in a series. Learn: If you finish your homework, you may to the play with Mary. Rule 2: Do not use a comma to separate two items treated as a single unit within a series. Learn: Her favorite breakfast was bacon and eggs, muffins, and juice. Rule 3: Use a comma before short, direct quotations. Learn: The announcer said, Please stand and welcome our next guest. Rule 4: Use a comma before and after word(s) in apposition. Learn: Jan, the new reporter, has started working on the next newsletter. Rule 5: Use a comma to set off words of direct address. Learn: If I can be of further assistance, Mario, please let me know. Rule 6: Use a comma to set off nonrestrictive clauses (not necessary to the meaning of the sentence); however, do not use commas to set off restrictive clauses (necessary to the meaning of the sentence). Learn: The manuscript, which I prepared, needs to be revised. Rule 7: Use a comma to separate the day from the year and the city from the state. Learn: On July 4, 1776, the Declaration of Independence was signed. Rule 8: Use a comma to separate two or more parallel adjectives (adjectives that could be separated by the word and instead of a comma). Tabs and Tab Stops


Tabs are used to position text within a line. Press the Tab key to insert a tab and move any text to the right of the insertion point over to the position of the next tab stop. Tab Stops specifics a location within the line of text. In Word, tab stops are displayed on the ruler above the document. A set default tab stops are located at every half inch, but they do not appear on the ruler. Tabs can be used to align text into columns of data.

Left tab: aligns the beginning of the text at the stop Right tab: aligns the end of the text at the stop Center tab: centers the text equidistant over the stop Decimal tab: aligns the decimal point at the stop To set Tabs you can either point to the ruler where you want the tab and click or use the menu. When using the ruler to set tabs you can change the tab style by clicking on the box on the left side of the ruler.

The Tab dialog box is useful for changing, editing, and deleting tab stops. Double-click a tab stop on the ruler to display the Tab dialog box. Set the leader tab where you want it to stop at by typing in the box below Tab stop Position:. Select the type of tab stop that you want and any leader and click Set. You can type in more then one tab stop at a time, just click Set after each one you type in. When you are finish click OK. Below are the three types of leaders. Tab Leaders are characters that are repeated to fill the space spanned by at tab.

You can clear one or all the tabs set by clicking either the Clear or Clear All buttons in the Tab dialog box or you can click and drag that particular tab off the ruler. Tab stops are applied to the paragraph that contains the insertion point or to multiple paragraphs selected together. Data formatted into columns often have different formatting applied to individual columns of data. To select a vertical block of text, hold down the ALT key and drag.

Letters and Memorandums


The next couple of pages are design to help you format a letter and a memo. There may be times when you have to write a letter to a customer, a college or a business. Your letter will look more professional if they are typed in the following manner. If you are in the workforce, your boss may expect you to know how to format a letter properly. If you are asking for a scholarship through a letter, this may give you more leverage over the next student who is applying with an unformatted letter. The following formats are standard formatting. It is also the FBLA formatting guidelines. There are some key terms when defining parts of a letter or a memo: Letterhead (Heading): use only on business letters, this is where the companys name, contact information and logo is placed. The contact information may include: address, phone, fax, email, website. The heading usually takes up about an inch and a half to two inches of the top of the letter. Date: use the current date; the date is written out in words. Ex: July 21, 2011 After you type the date you will quad space (QS) This means there will be three blank lines after the date. Return address: this address is your address Letter address: the recipient address including their full name and any titles Salutation: the greeting line Dear Mr. Braschler There are a couple of different types of Salutations that you can use. If you know the name of the person that you are talking to use their appropriate title (Mr., Mrs., Dr.) and their last name. Dear Mrs. Holtmeyer

If you dont know the person who you are contacting then use To whom it may concern or Dear Sir or Madam

Body: the main part of your letter, this is where all your information will be at Complimentary Close: the closing of the letter most commonly used Sincerely After the closing you will quad space. Signature: after you have printed the letter the writer will then need to sign in ink (black or blue) Writers Name: after the closing the writers name is typed including any titles that they may have Reference Initials: these are the initials of the person who typed the letter, these are only used when someone else writes the letter and a different person types the letter (boss and secretary) Enclosure Notation: Place an enclosure (or attachment) notation a double spaced below the reference initials. If multiple enclosures are referred to in the letter, follow the word enclosures with a colon and list each enclosure This is done so the recipient knows there are additional papers are along with the letter. Sometimes the attachments are referenced in the letter. Copy Notation (Courtesy Copy): use a lowercase (c) by the name of the person(s) to receive a copy of the letter. Place double spaced below the reference initials or enclosure notation whichever is last Post Script: a postscript should be keyed as the last line in the letter. It should be preceded by a double space and begin at the left margin. The initials P.S. should not be used. There are two different types of punctuation that is used in a letter. Open punctuation which consists of no comma or colon after the salutation or complimentary close. The other punctuation is mixed punctuation. Mixed punctuation consist of a colon (:) after the salutation and a comma (,) after the complimentary close. Either way is correct formatting. Most letters and memos will have margins of: Top 2, Bottom, Left and Right 1. To change margins in Word 2007: Page Layout click on the arrow under margins then either choose the correct setting or click on Custom Margins.

Memo Format
TO: FROM: DATE: SUBJECT: FBLA_PBL Competitions Judging Committee July 9, 2012 Formatting a Standard Memorandum

When formatting a standard memorandum, use a 2-inch top margin. Next, key the heading lines with a double space between each. Note that each heading is typed in ALL CAPS and informational lines are aligned on the left. The subject line should be keyed with initial caps and followed by a double space. Paragraphs are aligned at the left margin and are single spaced with a double between each. The competitor should key his/her initials at the left margin a double space below the body of the last paragraph in lowercase letters. If an attachment or enclosure is included, the word Attachment or Enclosure should be keyed at the left margin a double space below the competitors initials. kh Enclosure

We have just discussed different types of letters and memos. There are other ways to communicate within a business or even with others. Can you list them? Postal Mail, Emails and faxes are common. There may be times that a business will need to create and publish a report. As technology grows so are the ways people communicate. We now have Facebook and Twitter. Facebook and Twitter are not professional ways to communicate with employees or consumers for official business. What are examples that you have seen businesses use Facebook and Twitter?

Envelopes and Labels


As a letters are being sent out they need to be put into an envelope. Most business will get preprinted envelopes with their return address. We are going to learn how to print an envelope: Click on the Mailing tab Envelopes You will get the screen shot to the right. The Delivery address is where you will type the address that the letter is going to and the return address box you will type your address. Before you print, double check the size of the envelope you have selected. To do this click on the Option box in the Envelope and Label dialogue box. Before you click on Print, place your envelope in the printer. Each printer is slightly different with printing envelopes. It is usually marked on the printer where and which way the envelope need to be place in the printer. When ready to print click Print.

Tables
Tables are an organized way of reporting data. A table consists of columns, vertical, and rows, horizontal. When a row and column intersect is called a cell. Cells can have borders (guidelines) which make it easier to read. A table can be formatted in many different ways. A few of the options are to change the border colors, individuals cells may have different types of shading or change the direction or alignment of the text inside the table. You just opened a new restaurant. You now need to create a menu for your guest to look at. Unit Two: Desktop Publishing


Desktop Publishing is the process of combining text and graphics into one file, called a publication. Publication design is the process of determining the format and layout and then creating a publication. Throughout this section we will be using Microsoft Publisher 2007. There are other types of software out there that you can use that will do similar publications.

Format it the finished size, materials, and binding. Layout is the arrangement of elements on a page. The format and layout are determined by the purpose and audience. Purpose is the intent of the publication, and the audience is who will read it.
Publication design has several steps: 1. Determine the purpose, audience, format, and layout 2. Sketch the layout 3. Review and revise sketches 4. Create the publication and print a copy 5. Review the publication and make any changes.

When using publications you need to insert textboxes before you can start typing. Once you have a textbox youre able to format the text in the same way that you do in Microsoft Word. Word documents can be inserted into an existing text box in a publication. If a textbox is not large enough to fit all the inserted text, a dialog box is displayed asking Do you want to use Autoflow?. Select NO to place all of the text into the box, with some of the text hidden. The hidden text is said to be in overflow. The Text In Overflow indicator is displayed at the bottom of any textbox that has more text than can be displayed. One way to display the text in overflow is to resize the text box larger, which increases the amount of text that can be displayed. Another way to display the text in overflow is to connect text boxes. Connecting text boxes does not mean the boxes are physically connected or touch each other. The separate boxes are linked to each other in the publication so that as text is added or deleted to one box, it can flow into or out of the next connected box. Text in overflow can be flowed into another text box by connecting the boxes: 1. Create a new textbox 2. select the text box that has text in overflow 3. Click Create Text Box Link on the toolbar. The pointer changes to (paint bucket with an arrow pointed down). 4. Move the pointer over the second text box until the pointer changes to (paint bucket pouring out) and click once to flow the text and connect the boxes. Graphics can be placed on a publication page and then moved and resized as needed. When using multiple pages, a page icon at the bottom of the window represents each page in a publication. Click on a page icon to display that page in the window. Change the order of pages by dragging a page icon to another location within the page icons. 28

Publications have colored lines called guides that are used to precisely arrange object on a page. The blue guides are layout guides and include margin guides and column guides. To add a page to a publication, select Insert Page, which displays a dialog box. Specify the number of new pages and whether the new pages should be added before or after the current page. Select OK to add the pages to the publication. To delete the currently displayed page, select Edit Delete Page.

Pool Party
A printed invitation is more formal and official than a verbal invitation. A printed invitation is helpful because it provides all the information that guests needs to attend the party. 1. Create a new publication using the Potluck 3 Template in the Invitation Cards templates Theme Party section. Use the Citrus color scheme, the Casual font scheme, the Quarterpage side fold page size, and the sketch layout.

2. Save the publication name it Pool Party XXX 3. Change the inside and outside margins to 0.75 and the top margins to 1.5. 4. On page 1 create a text box and type the following text, pressing enter at the end of the eat line: POOL PARTY! 5. Format the text as 24 point, bold, and in Accent Color 1 6. Resize the text box to just fit the text, and move the text box so that its left side is against the left margin guide and its bottom is against the bottom margin guide 7. On page 2, zoom in and fill in the following text in the text boxes, replacing all occurrences of Name your name. 8. On page3, format the text Youre Invited in Accent Color 1, the same color applied in step (e). 9. Save the modified Pool Party-XXX 10. Print a copy and fold the paper to make an invitation.

Step One: Come up with a company name, logo, and colors for your project. These should remain constant throughout your project. (Be Creative) Step Two: Decide on your target market.
