Executive Committee Meeting May 1st, 2012 at 5pm in the Deans Oce Interview Room Frosh Frosh will

be approximately a six hour event on the beach. Discussion will be left to the committee for a plan on if it rains. Possible events that could take place during the science societys beach day: Lab Coat dying (Possible fundraiser, by selling lab coats to people who forgot theirs) Volley ball Soccer Water gun ght Wheel barrel and 3 legged race Pie executives in the face (Possible fundraiser) fear factor (Further discussion must be done about safety concerns) Eating contest (Further discussion must be done about safety concerns) Liquid nitrogen ice cream Tug of war BBQ lunch (Possible fundraiser)

Departmental Societies should be invited to set up a table to allow for them to promote their society to new students and sign up new member. The executive would like to recommend John M., Anu C. and Dan M. as the noncouncil members to be part of the Frosh Planning Committee. Finances Currently our Society is around $500 in debt to Andrew Kwai. The required costs for this year include the domain for our website and bank fees. Possible fundraisers include Car Wash, raes, roast justin campbell, talent show at roosters, comedy sh ow and science night at Oliver's. Car Wash should be either done at drummunds on Bronson and/or Carleton. Emails should be sent out t o the Dean and his oce for the one done on Carleton's Campus. Funds that we can try and access are clubs and societies fund, conference and discre)onary fund, special projects fund all through CUSA. Student aairs activity fund which we will not received the money until after the event has concluded. Advertising Advertising can be during Academic Orientation Day (AOD), through Ann where she can either email the faculty or place our announcement in the faculty news leEer, Science Summer Orientation Day (this nee ds to be discussed with Jeremy) and also the Math Matters program.

Timeline Frosh: June 14, Deadline for the Rough Draft of the frosh committees report. June 21, Council Meeting to approve ndings of the frosh committee. Meet with Jeremy. Meet with SSSC. July 5, Science Summer orientation day. Communicate with the deans oce about emailing out f rosh information to incoming students.

Winter Formal: August/September to end of October planning of winter formal. Planning of winter formal after party. Start selling tickets November 5th Talk to other society for what they want to see.
