MAIN DUTIES TO BE PERFORMED: Under the overall direct supervision and guidance of the Administrative Officer, as first level supervisor, and WR Indonesia, as second level supervisor, the incumbent will perform the following specific duties: 1) Incumbent is responsible for handling all HR transactions in GSM. 2) As a leave administrator, the incumbent is responsible to maintain the administration of leave balance for all staffs and performs the necessary administrative duties related to this. 3) Coordinates and carries out the overall operations of the recruitment process including post descriptions, processing vacancy notices, both offline and in GSM, screening of CVs (long and short list), arrange written tests and interviews of candidates, reference checks and compile interview result matrix. Prepares all correspondence related to recruitment of personnel, and follow-up as needed. 4) Processing position classification requests. 5) Assists in conducting selection committee meetings; processes documentations for selection committee meetings, reviews selection proposals offline, ensures appropriate approvals have been obtained from concerned authorities as per the delegation of authority, completion of administrative formalities prior to formal recruitment, administration of recruitment/extension/separation HRAPs in GSM. Pre-screens submitted documents for completeness, retrieve and compile all requisite background information and documents required for administrative formalities

6) Processing staff entitlements and separation from service action for retiring/resigning /termination of staff members 7) Processing of all contract extensions and continuing appointments of fixed term and temporary staff 8) Processing on submission of Performance Management and Development System (PMDS) of all fixed-term staff 9) Maintaining HR matrix for staff and be fully responsible for personnel contract management in CO. 10) To calculate and prepare GS staffs overtime list to be settled by Finance 11) Takes action on all other personnel/recruitment/administration matters that may arise. 12) Participates in UN HR Working Group including assistance in the process of conducting Housing Survey, place-to-place Survey, Hardship Reviews, etc. 13) Completely responsible for all GSM HRAP actions as the HR focal point for WCO 14) Coordinates closely with Planning, Budget, and technical programmes on all issues relating to HR and recruitment 15) Be responsible for WHO pouch operations EDUCATIONAL QUALIFICATIONS, EXPERINCE, ETC. Functional Knowledge and Skills:

Essential: Completion of secondary education, supplemented by special training in secretarial and administrative practices Desirable: NA

Experience:

Essential: At least 6 years of progressive experience in administrative areas in an International Organization, preferably UN Agencies Desirable: 1. Familiarity with WHO policies and practices; 2. Working experience with WHO or other UN Agencies at the national level is an asset. Excellent knowledge of English and Indonesian Excellent command of Microsoft Office programmes and other software packages
