TWO HILLS SELF HELP GROUP

CONSTITUTION AND RULES 1) PREAMBLE We the TWO HILLS SELF HELP GROUP; Acknowledge the supremacy of this constitution We commit ourselves to our obligation and duties for the best interest of the group Adopt, enact and give this constitution to ourselves and our future generations 2) NAME The groups name shall be TWO HILLS SELF HELP GROUP 3) OBJECTIVES To uplift economically and socially the living standards of individual members through development activities 4) MEMBERSHIP Comprises members from the above named region and their associates who are like minded and who are wiling to pay Ksh 200 for registration. ii. As a member one is expected to participate fully in all welfare activities and shoulder all the responsibilities of the group. iii. A member is supposed to contribute ksh1000/= monthly towards a development project to be agreed on when the funds are sufficient or any other amount as the group will agree. iv. A member who fails to clear this monthly contribution shall receive a daily 10/= fine till he clears himself. v. If a member fails to contribute for two months he will receive a warning letter warning him/her that if he/she fails to clear at the deadline of the 3rd month he will stand expelled. vi. A member who gets expelled as per the above rule shall be entitled to a refund which is less 20% of his or her contribution. vii. A member maybe expelled if his conduct has adversely affected the reputation or dignity of the group or that he has contravened any of the provisions of the constitution of the group and in such a case the committee recommends and the members must agree by a two third majority. i. 5) MEETINGS A. monthly general meetings To be held at every end of every month on a date between 30th to 5th date of the start of the presiding month or as will be agreed by the members. Meetings will be starting from 7 pm to 8.15 pm. A fine of 20/= shall apply to those who arrive late. A fine of 50/= shall apply for absenteeism. A member may be exempted from paying the above fines if he presents a reasonable reason for consideration by the committee.

7) 8) OFFICE BEARERS 1. The chairman 2. Secretary general 3. Treasurer I. All of whom shall be members of the group and shall be elected at the annual general meeting held every year. II. All office bearers hold office from the date of election until the succeeding annual general meeting subject to the conditions in sub paragraph of this rule but shall eligible for re-election. III. Any office bearer who ceases to be a member of the group shall automatically cease to be an office bearer thereof. IV. Office bearer may be removed from office in the same way as is laid down for the expulsion of any member. 9) DUTIES OF OFFICE BEARERS I. Chairman The chairman shall unless prevented by illness or other sufficient cause preside over all meeting of the committee and all the general meeting also shall approve any emergency case. II. Vice chairman The vice chairman shall perform any duties of the chairman in his absence III. Secretary Shall deal with all the correspondence of the group under the general supervision of the members. Responsible of keeping minutes of all meetings and for preservation of all records of proceedings of the group and the committee. IV. Treasurer Shall receive, give receipts and disburse all the group monies under the direction of the members. To preserve properly and in order all the account books for inspection at any given time

COMMITTEE Shall consist of the chairman the secretary the treasurer and one registered members. Duties Responsible for the management of the group. All monies disbursed on behalf of the group shall be authorized by the members 10) FUNDS Funds will be sourced from members contribution and borrowing from financial institutions. Funds of the group may only be used strictly following the constitution.
