Internal/External JOB POSTING Operations Manager

Kitsilano Neighbourhood House (KNH) is seeking a self motivated, high energy, organized individual who is interested in applying their Human Resource, financial management and systems development skills to ensure that the nonprofit business operations of KNH are efficient and effective. Responsibilities Working closely with the Executive Director, the Operations Manager: Evaluates, improves and maintains human resources administration systems and files. Complies with privacy legislation and all relevant regulations and policies. Provides direction regarding employment standards; assists with recruitment and orientation. Selects, develops, supervises, evaluates and provides leadership to the Admin team and Admin team volunteers. Develops and implements operational policies and procedures. Ensures development and maintenance of integrated databases, inventories, information systems, files and documents. Ensures reliable data backup systems are in place and that backup data is stored in a safe, fire resistant, off-site location. Ensures effective contract management, including distribution and reporting in a timely manner. Manages fee-for service contracts and prepares claims and reports as required. Develops systems and strategies for improving the productivity and cost-efficiency of KNH operations. Responsible for maximizing the productivity of administrative and reception staff. As part of KNHs management team, participates in developing and implementing strategic plan initiatives. Develops and implements a risk management plan to address risk areas including people, property and good will / reputation. Develops and implements a plan for the safety and security of the facility and the people using it by ensuring fire escape plans exist and are posted, that the facility is secure at all times. Organizes and liaises with maintenance, IT, repair and janitorial contractors. Ensures facilities and grounds are safe and well-maintained. Willingness to engage in the development and implementation of special events and celebrations hosted by the Neighbourhood House. Performs other related duties as required.

Qualifications Required: Post-secondary education in administration, HR, facilities management and office systems. Or an equivalent combination of education, training and experience. Three years related experience in operations management. Proficiency with Excel, ACCPAC and internet based applications. Strategic, critical thinker with excellent communication, planning and organizational skills. Proven ability to effectively lead, motivate and supervise staff and volunteers. Strong project management, research and analytical skills. A record of taking the initiative and pursuing innovation with skill, creativity and enthusiasm. Multicultural sensitivity and the ability to work in a multicultural/multiracial organization. Demonstrated ability to work with a team. Attitudes and values which are compatible with the goals and philosophy of Kitsilano Neighbourhood House. Ability to initiate and follow through on assignments with attention to detail. Ability to read and write well in English.
