Creating a Document Template

Overview
Document templates are predefined, prepopulated documents or portions of documents that help minimize work involved in creating a new sourcing document in SAP Sourcing. They enable reuse within an organization for specific business tasks or processes. Document templates store information so that it can be used in multiple documents. Using a document template will incorporate the template information into the new sourcing document (RFX, Auction, and so on).

Business Scenario Description


Document templates can be used in a number of ways, including the following: 1. Providing an initial document setup for complex sourcing events. This allows users access to an already established document when starting a new sourcing event, simplifying the creation process. 2. Building schedule libraries to track events tasks and milestones rather than requiring the end user to enter this information. 3. Attaching standard information libraries such as company information, insurance, NDAs, and so on. 4. Enforcing business process flows by only allowing users to create from templates, thereby controlling the initial information that is available for the user. A Business Administrator might also control the document templates and document types a user can create based on their user group, through modification of the Create from Template query.

Project Template
Using a template to create a project incorporates the template information into the new project. Note: The tabs and fields that appear in a Project Template are dependent on the Project Type selected and configurations made. 1. Navigate to Project Management Projects Create Project Template.

2. Select the project type that will be used for the template and click Continue.

3. On the Header tab, fill in the fields with basic information and add any necessary collaborators.

4. Click the Schedule tab to create a project schedule.

5. Click the Suppliers tab to associate suppliers with the template. 6. Click the Forms tab to create and associate question forms with the template. 7. Click the Costs tab to enter costs and resources. 8. Click the Accounting tab to enter accounting information. 9. Save your changes.

Auction Template
Note: The tabs and fields that appear in an Auction Template are dependent on the Auction Type selected and configurations made. 1. Navigate to Enterprise Sourcing Auctions Create Auction Event Template.

2. Select the Auction Type that will be used for the Template and click Continue.

3. On the Header tab, enter basic information and add any necessary collaborators.

4. Click the Schedule tab to create a schedule. 5. Click the Information tab to add one or more information sections. 6. Click the Line Items tab to add line items. 7. Click the Bidders tab to add bidders. 8. Click the Accounting tab to add accounting information. 9. Save your changes.

RFx Template
Note: The tabs and fields that appear in an RFx Template are dependent on the RFx Type selected and configurations made. 1. Navigate to Enterprise Sourcing RFx Create RFx Template.

2. Select the RFx Type that will be used for the Template and click Continue.

3. On the Header tab, enter basic information and add any necessary collaborators.

4. Click the Schedule tab to create the RFx schedule.

5. Add standard questions and other information to the remaining tabs and save your changes.

Master Agreement Template


Note: The tabs and fields that appear in a Master Agreement Template are dependent on the Master Agreement Type selected and configurations made. 1. Navigate to Contract Management Agreements Create Master Agreement Template.

Select the Master Agreement Type for the Master Agreement Template and click Continue.

3. On the Header tab, enter basic information for the Master Agreement and add any necessary collaborators.

4. Click the Schedule tab to create a schedule. 5. Click the Supplier Info tab to select a primary contact for the supplier and add other contacts. 6. Click the Agreements tab to add subagreements. 7. Click the Line Items tab to add line items. 8. Click the Terms tab to add a term, rebate, penalty, or additional term. 9. Click the Audits tab to add audit events. 10. Click the Performance tab to add evaluation criteria and performance metrics. 11. Click the Libraries tab to add savings metrics. 12. Save your changes.

Changing a Project Template
1. To change a Project Template, navigate to Project Management All Projects.

2. Select All Project Templates from the dropdown list.

3. Click the Project Template you wish to change. 4. Click Edit and make your changes. You can also inactivate the template by checking the Inactive box on the Header tab to make it unavailable to users. 5. Save your changes.

Changing an Auction Template


1. To change an Auction Template, navigate to Enterprise Sourcing Auctions - Search Auctions.

2. Select All Auction Templates from the dropdown list.

3. Click the Auction Template you wish to change. 4. Click Edit and make your changes. You can also inactivate the template by checking the Inactive box on the Header tab to make it unavailable to users. 5. Save your changes.

Changing a RFx Template


1. To change an RFx Template, navigate to Enterprise Sourcing RFx All RFxs.

2. Select RFx Templates from the dropdown list.
