2.1.1.1 Use

Employee Subgroups

The employee subgroup represents a subdivision of the employee group. These definitions are what constitute the Personnel Structure.

Procedure
1. Access the activity using one of the following navigation options: Transaction Code IMG Menu SPRO Enterprise Structure Definition Human Resources Management Employee Subgroups

2. On the Choose Activity screen, select the Define employee subgroup activity. On the Change View Employee subgroup: Overview screen, create the following entry: Employee subgroup A1 Name of EE subgroup Executive Committee

2.1.1.2 Use

Assign Employee Subgroup to Employee Group

In this step, you assign your employee subgroups to their respective employee groups. In addition to this, you determine whether the employee group/employee subgroup combinations are allowed for the country groupings.

Procedure

Important note: The value for country grouping must be set according to the country you localize.

2.1.2 2.1.2.1 Use

HCM Time Management Public Holiday Calendar

In this step, you create public holiday calendars and factory calendars if necessary by each country.

Procedure

There is only one Holiday Calendar for all CH (Zurich) entities.

The days defined belong to holiday classes 1 and 2. Holiday Class 1: Full day public holiday Holiday Class 2: Half day public holiday There are 12 days defined for Zurich. 2.1.2.2 Use

Group Personnel Subareas for the Work Schedule

In this step, you group your personnel areas and personnel subareas for work schedules for your country.

2.1.2.3 Use

Daily Work Schedule

In this step, you define daily work schedules for your enterprise, by entering the planned working time. The system calculates the planned hours for one day, taking the break schedule into consideration if applicable.

Procedure

The work schedule shown above is ONLY an example. There are about 340 daily work schedules that are currently valid. All Work Schedules created under DWS grouping 50 are applicable for Zurich. Each valid daily work schedule will have 2 variants.

1st Variant: Reduced work time of 1 hour on a day before public holiday for a full time employees. This will be prorated for part-time employees. Explanation: Today is full working day, tomorrow is a full day holiday, and the holiday falls between M-F, apply variant as shown in below example .

2nd Variant: 1/2 day public holiday on the day of Zurich festivals. Explanation: If today is a 1/2 day public holiday and tomorrow is any day and the holidays falls on monday, apply variant as shown in below example.

Since part-time employees have various daily work schedules, we have created variant rules for each valid daily work schedules to reflect the above 2 variants.

Important note 1: The values for PS grouping and DWS grouping should be equivalent. If you choose different values for PS grouping and DWS grouping, you need to match this new combination of values in IMG Group Personnel Subareas for the Daily Work Schedule. Important note 2: ADP naming convention has to be followed while creating any new Daily Work schedules. ADP team should be communicated of any new daily work schedules that are created in HCMS to keep both the systems in Sync.

2.1.2.4 Use

Define Period Work Schedules

In this step, you create period work schedules by specifying the sequence of daily work schedules for a work schedule for one or more weeks.

Procedure

The screenshot shown above are ONLY some of the Period Work Schedules that have been created for Zurich. There are about 136 valid PWS for Zurich. Complete list can be viewed by sorting the table by DWS grouping 50. Important note: ADP naming convention has to be followed while creating any new Period Work Schedules. ADP team should be communicated of any new PWS that are created in HCMS to keep both the systems in Sync.

2.1.2.5 Use

Define Employee Subgroup Groupings

The employee subgroup grouping for work schedules allows you to group several employee subgroups and base their work schedules on the same rules.

Procedure

2. Group Employee Subgroups for Work Schedules Country grouping 02 Make the following entry:

Currently the ESG (Employee Subgroup Grouping) for Work Schedules has been defined as 2 for all groups of employees under Zurich.

2.1.2.6 Use

Set Work Schedule Rules and Work Schedules

In this step, the work schedule rules that are assigned to employees in the Planned Working Time info type (0007) are defined. The employee subgroup and personnel sub area groupings for work schedules and the public holiday calendar are taken into account.

Generate Work Schedules Manually

In this step, the work schedule rules are generated for the specified duartion.

Below is a screenshot that shows an example with the selection parameters to generate a Work Schedule Manually.

Each Work Schedule has to be generated for the ESG 1 and 2. The period of the rule can be specified as required. Suggested not to generate more than 3- 5 years in future. Important note: The values for ES grouping, Holiday calendar, PS grouping and Work schedule rule must be valid.

In this step, you group your personnel areas and personnel subareas for attendance and absence types

Define Absence Types

In this step, the absence type 0800 for a personnel subarea grouping 10 for attendance/absence types is defined. It also describes how to determine the system reaction to attendances recorded for a day or a period when the employee has time off.

2.1.2.10 Use

Determine Entry Screens and Time Constraint Classes

Use the data entry screen number for an absence to determine which screen (entry screen) is used to enter, display and maintain a record of this particular absence type. The time constraint class controls the system reaction if a new record in the Absences infotype (2001) overlaps with existing time infotype records.

In this step, you group your employee subgroups for time quota types. Employee subgroups for which the same attendance and absence quota types are defined are assigned to the same grouping for time quota types.

In this step, you group your personnel subareas with regard to the permissibility of time quota types. Personnel subareas for which the same attendance and absence quota types are defined are assigned to the same grouping for time quota types

2.1.2.14 Use

Define Rules for Rounding Counted Absences

In this step, you set rounding rules for absence and attendance counting. If you specify an hours or day multiplier for counting attendances and absences, the values determined can have several places behind the decimal point. It is difficult to use these values for quota deduction and payroll. In this step, therefore, you set rules for rounding the values. You can specify several subrules for a rounding rule and number them sequentially. The system runs through the subrules in sequential order until it finds one that applies.

Define Counting Rules

In this step, you define rules for counting attendances and absences. The rules are used to determine the payroll days and hours for an attendance or absence.

Deduction Rules for Absence Quotas

In this step, you define deduction rules for deducting absences from absence quotas. The rules are used to reduce the absence quotas from Infotype (IT 2006).

In this step, you determine which rule for attendance or absence counting should be used for each attendance/absence type.

Note: The respective Counting rules has to be assigned to the correct absence types. The quota deduction field has to be checked only when any particular absence types has quota.

In this section, you make the settings for controlling the processing of absence and attendance quotas. Time quotas (time off entitlements and attendance approvals) can be grouped or refined according to the following factors: o Employee subgroups for time quotas (type of employee) o Personnel subareas for time quotas (where is the employee assigned?) o If you use time evaluation: Personnel subareas for time recording (time type determination) o For generating absence quotas: quota type selection rule group (which conditions and rules apply when absence quotas are generated) An Absence quota specifies an employee's entitlement to time off for a limited period. Set Base Entitlements

In this step, you set rules for determining the total entitlement (base entitlement) to an absence quota type. The base entitlement forms the basis for calculating the prorated leave or absence entitlement for each accrual period. If you determine the base entitlement according to the employee's age or seniority, you enter a constant expressed in days or hours. If you use time evaluation to generate absence quotas, you can make the rule more specific. You may want to do this if the differentiation based on an employee's age or seniority is not sufficient for your purposes, or if you want to use other criteria to determine the base entitlement. You can do this by incorporating personnel calculation rules in the time evaluation schema. In the rules, you fill a special time type with the base entitlement according to the employee's organizational details or the results of time evaluation. Schema ZG99

Schema ZG99 is used for the evaluation of time data. The aim is to form time balances and time wage types from the time data. ZG99 is intended as an alternative to the other time evaluation schemas (for example, schema TM00.) The prerequisites and objectives of schema ZG99 are as follows: Recording time data: The time worked by the employee is recorded in the Attendances infotype (2002), and not as clock-in and clock-out times. When processing clock-in/out times, the emphasis is on the length of time between the postings and not on the times at which the postings were made. You can use schema ZG99 to process attendances and absences that specify a number of hours only, rather than concrete start and end times. The times stipulated in the daily work schedule are not relevant. Only specifications such as planned hours and minimum daily working time are evaluated from the daily work schedule. ZG99 caters both for negative time recording (recording of exceptions to the work schedule) and positive time recording (recording all attendances or actual times).

Time Statement

The time statement is used to view the time entries entered by the employees and / approved by the managers. This will display the results, balances after the time evaluation has been run successfully. The results will be shown based on the entries in cluster B2.
