1 Introduction to the Weighware Software package


This user manual
This is the user manual for Standard Wayware Version 3.44

Purpose of this manual


This manual can be used in the following ways
· It can be read from beginning to end, which serves as an introduction to Wayware
· It can be used as training material, to lead trainees through Wayware functionality
· It supports a search function, which serves as a reference guide to Wayware

How to use this guide


Information can be found in this guide in any of the following ways
· Click on a topic in the Content tab on the left hand side
· Click on the Search tab on the left hand side to search for a certain topic
· Click on the Previous, Top and Next buttons on the top right to navigate between topics

2 System Background
Weighing System
To measure is to know

Business requires knowledge (measurements) about various aspects of the business in order to be
efficient and effective. Mass measuring can contribute to a range of production issues in most
businesses.

Background
The need for weighing or mass measuring is explicitly part of the production process in businesses that
involve the acceptance/delivery of bulk/raw/processed materials or products e.g. sand, stone, grapes,
wheat, cement, concrete, etc. These business processes require a controlled and secure environment
that will ensure that a proper audit trail is kept of exactly what happened, when, who was involved, and
how much. (Quantities usually translate into monetary equivalents and are therefor all-important).
Both the "customer" and the "supplier" require a trusted source that will vouch for what occurred at
their interface.

Other businesses can benefit indirectly from mass measuring. For example:
· Weighing vehicles during the entry and exit to a plant could be a way of monitoring pilfering, any
unexplained discrepancies that may arise will result in further investigation.
· Transport businesses need to ensure that the loading of their vehicles is within the limits
prescribed by the road ordinance, or else be subject to considerable fines.

Weighing System
The Weighing System is a software product aimed at supporting various weighing requirements. The

standard product provides the following functions (not all may be required by a particular application):
· Registering and maintenance of various "static" information groups, such as: vehicles, customers,
hauliers, orders and products.
· Weighing of vehicles.
· Axle weighing
· Uploading or downloading of information to/from an ERP or other system

Maintenance of static information


The main purpose of the Weighing System is to support the various weighing operations. However,
each weighing needs to be put into context with regard to its relevant variable information, e.g. the
identification of the customer, product, vehicle, etc. By maintaining this information using a separate
function, the operator performing the weighing is greatly assisted in that the entry of information is
limited to the selection from a set of available options presented.

An optional function within the standard Weighing System includes the importation of the required
"static" information from files prepared by another system.

Weighing
A weighing application typically involves two real-time weighings.

The description that follows is for a business that receives raw material from a supplier. However,
many other permutations are possible.

Weigh IN Weigh OUT

The first weighing will be the arrival of a truck from the supplier with a load of raw material. The
operator will typically identify and enter all the information relevant to the transaction: supplier, product,
vehicle, order number, etc. The vehicle will be stationary on the weighbridge at the time of weighing.
All the relevant information (including date and time) is then stored waiting for the second weighing.

The second weighing occurs when the (now empty) truck departs from the plant. The operator will
identify the truck and the weight will be recorded by the system as per the weighbridge. This
measurement completes the transaction and the difference between the two measurements is
recorded as the delivered mass. The system prints at this time a delivery ticket that includes most of
the recorded information.

Note that it is possible to use tare mass as an alternative to the second weighing. This mode of
operation will require tare to be established (either manually or by using the separate "tare weighing"
function).

Import/Export of Information
The key information required by the rest of the business is the completed transactions. The standard
Weighing System provides an export mechanism where the completed transactions are formatted
according to one of the available options and recorded in a file. The target system can then read the
information from this output file for further processing.

An import/export mechanism is also provided for the exchange primarily of "static" information. This
may also include order information.

User Defined Fields


A number of user defined fields are available. The user can utilise this facility to add own fields to the
system that can be captured as required.

Business Benefits
Most of the business benefits to be gained have been alluded to above. The question may arise why
this functionality could not be incorporated in of the existing computer systems. One of key the
characteristics of a typical weighing application is that it has a real-time nature. This implies that it
should be responsive, must be highly available and quite often requires 24(hours) x7(days) operation.
With current technologies these requirements can be best achieved using a stand-alone system. Such
a system should be able to continue operation in spite of failing communications lines or external
systems.

Architecture
The Weighing System software is executed on one or more standard PC workstations. These

workstations are interconnected on a Local Area Network (LAN) and share a database. A controlling
workstation is connected to the various devices that need to be controlled/monitored. See diagram
below:

Weighbridge

The Weighing System software runs a Graphical User Interface (GUI) on a Windows platform. The
software has been constructed such as to allow the easy configuration of options and the introduction
of new functions.

Optional extensions to the Weighing System


The standard Weighing System can be extended to accommodate other customer requirements. The
following functions are requirements that typically arise:
· Automated weighing: this usually involves the use of smart cards as a means of identifying the
driver.
· Access control: this usually requires the installation of booms, robots and sensors.
· Security cameras: A number of cameras may be positioned around the weighbridge. At the time
of weighing (or any other time as defined) photos are taken and stored with the weighing. This
function will support a supervisor in the investigation of any suspicious transactions.
· On-line interfaces to other systems. In some applications it may be a requirement that certain
information be exchanged with other systems on a real-time basis (ex. stock control).

Apart from the above more common extensions, the scope of possible extensions could be very wide.
Such extensions may involve the integration of available components/applications (e.g. an accounting
package), or the development of a complete bespoke solution.

Axle Weighing

Background
Businesses that transport heavy goods/material need to ensure that the loading of their vehicles is
within the limits prescribed by the road ordinance or else be subject to considerable fines. The road
authorities have indicated that the checking of transport vehicles will be increased – on some routes a
100% inspection rate is expected.

It is more cost effective to incur the cost of a weighing capability than to be subject to the fines that will
result due to overloading. At the same time, the knowledge gained by axle weighing will make it
apparent to what extent current loads could have been increased.

Axle System
The Axle System is a software product aimed at supporting axle weighing in a number of different
modes. The standard product provides the following functions (not all may be required by a particular
application):
· Registering and maintenance of various "static" information groups, such as: vehicles, drivers,
customers and products.

· Weighing of axles.
· Uploading or downloading of information from an ERP or other system

Axle Weighing
The weighing process/mode is largely determined by the specific bridge configuration and also the
objective to be achieved. At the completion of the weighing process an axle weighing ticket is printed.

Axle weighing modes


Definitions:
An Axle is

A Group is

Types of axle weighing


1. All axle groups on or off a full length weigh bridge.
In this operation there are two modes:-
1.1 Weigh onto the bridge (vehicle off bridge to start)
The vehicle will drive ON to the bridge one group at a time and each group will be weighed.

1.2 Weigh off the bridge (vehicle on bridge to start)


The vehicle will drive OFF the bridge one group at a time

2. A single axle scale


The vehicle will drive onto the bridge one axle at a time and be weighed until all individual axles are
weighed. Only one axle at a time is weighed

3. All axles on or off a full length weigh bridge


The vehicle will drive onto the bridge one axle at a time and be weighed after each axle is on the bridge
until all axles are on the bridge

4. A platform scale (weighs group)


The vehicle will drive a group of axles onto the bridge and be weighed. This will be repeated for each
group.

5. A multi-platform scale (weighs groups at one time)


This consists of 4 separate in-line platform scales. The vehicle will drive all groups onto the multi-
platforms and the groups will be read at one time.

Axle Weighing Ticket


The axle weighing ticket summarises all the information gathered and inferred from the weighing.
Those weights that fall outside the set limits are highlighted.

Import/Export of Information
The key information to be transferred to the rest of the business is the end result of the process. The
standard Axle System provides an export mechanism where the completed transactions are formatted
according to one of the available options and recorded in a file. The target system can then read the
information from this output file for further processing.
An import/export mechanism is also provided for the exchange primarily of "static" information.

Public Weighing

Background

3 Overview of system functions


The Wayware program provides various functions to the user which ensures that reliable records of
road goods dispatched, road raw materials receipts, rail raw materials receipts are captured, and
that this information is transferred from the Wayware database to the ERP sytem database via
interface routines.
Additional functionality is also available as modules added to the standard core system and is activated
by means of product key.
These modules are sold separately and may be added to the standard core system at any time.

In summary these functions may be described as follows:

1. Goods Dispatch by road

Process:
A vehicle is loaded, weighed and dispatched with the required order(s)/product(s)

Sequence of events:
The truck arrives and falls into the queue outside the customers premises
A card is assigned to the driver and information pertaining to the transaction is captured and
loading ticket is printed
The driver waits for his turn to weigh empty
The truck drives onto the weighbridge
The empty mass of the truck is recorded (Weigh goods 1)
The driver now has a unique valid load number, drives to dispatch and reports to the dispatch
office
He gives the card to the dispatch
Dispatch authorizes loading of the product by swiping the truck card assigned to the truck driver
The truck waits to be loaded
The load is prepared for loading and the supervisor is called to inspect
The supervisor swipes the card at the loading bay to capture the loading start time
The truck is loaded and the supervisor is called to inspect the loaded truck
The supervisor again swipes the card at the loading bay to capture the loading end time and hands
all the relevant documents together with the swipe card to the truck driver
The loaded truck drives to the weighbridge to weigh the full load (Weigh goods 2) and the driver
hands the card back to the weighbridge clerk
The full mass of the truck is recorded, tolerances checked and a weighbridge ticket and Delivery
Note/s is issued.
The truck departs

Optional functionalities available:


Bulk weigh compartment which is used to record the mass loading in different truck
compartments. Each compartment may load different products
Axle weighing to allow a driver to check the weight distribution over different axle groups
Supervisor authorisation to allow a transaction to proceed under exceptional conditions
Capture load times to allow the supervisor to fix load (start and end) times of the load process
Reports may be run on demand
Weigh goods 2 may require a truck to be off-loaded if an incorrect mass has been detected. This
function stores all the mass measurements done for future enquiry.

2. Raw Material Receipt by road

Process
A vehicle arrives with raw material to be received (this includes containers).

Sequence of events
The truck arrives and falls into the queue outside the customers premises
A swipe card is assigned to the driver and information pertaining to the transaction is captured
The driver waits for his turn to weigh
Truck drives onto the weighbridge
The full mass of the truck is recorded (Weigh road receipt 1)
The driver proceeds to be off-loaded
A sample is taken for testing at the lab
The driver hands the sample and card in at the lab so that lab testing may proceed
The test result is handed to the driver
The driver returns to the off load point where off-loading continues
The start time of off-loading is recorded
The end time of off-loading is recorded
The truck returns to the weighbridge to be weighed empty

The empty mass of the truck is recorded (Weigh road receipt 2) and a ticket/GRN is printed
The truck departs

Otional functionalies that are available:


Intermediate weighing which is used to record the mass of a truck after part of the load has been
off-loaded. This function is used when the mass of individual parts of a load needs to be recorded

3. Raw Material Receipt by rail

Process
A rail wagon arrives with raw material to be received

Sequence of events
The wagon arrives for offloading
All information pertaining to this delivery is captured, a card is assigned and the wagon full mass
recorded (Weigh Wagon 1)
A sample is taken for testing at the lab
A runner hands the sample and card in at the lab so that lab testing may proceed
The test result is handed back to the runner
The wagon proceeds to be off-loaded
The wagon returns to the weighbridge to be weighed empty
The empty wagon is weighed and its mass is recorded and a ticket is printed (Weigh Wagon 2)
The wagon departs

4 Installation guide
To install Wayware on a computer
1. Log on to Windows with administrative rights

2. Run the WaywareSetup.exe on the installation CD

3. The Setup Wizard can be run by using these default options (I.e. you can click Next, Next, Next…
Finish).
If more than one version of Wayware needs to be installed on the same computer, you should
specify different Destination Folders
After the Setup was run successfully it will have created a Wayware shortcut on the desktop

4. Double click the shortcut


The following screen appears

The Database and workstation configuration screen appears

6. Step 1: Select a database


Select the Microsoft Access tab
Click the button
Browse to Microsoft Access that you want to connect to and select it

7. Step 2: Test database connection


Click the "Test database connection" button and make sure it connects successfully

8. Step 3: Select a workstation


Click "Add a new workstation" if this is a new computer and you want to configure it from scratch.
Enter the new workstation's name in the "This computer's workstation" box
Click "Select and existing workstation" if this computer has already been configured and you want
to use the existing configuration. Select and the existing workstation from the list

9. Click Ok
The installation is complete and you can now Run the system

5 Running the Wayware program


The following discussions explain how to run, close the Wayware program and how to re-login as a
different user once you have started the program.

5.1 Running the program


To run the program
1. Double click the icon on the desktop or in the program files

2. Enter your username and password and click on Ok


The main screen appears

Note: If the program is already running and you double click the icon, you will see the following
message, (This is because you can only have one instance of the program running at a time):

Click Yes to restart Wayware, or No to continue running the one that is already running

1. On the menu bar click on Exit | Logon as a new user

2. The next user who wants to use the program must enter his/her username and password

Important:
· No action can be performed in the program until a user logs in
· When you are finished using the program, you should close the program, or select Logon as new
user, to prevent other people from using you username to perform actions in the program.

6.1 Manage user accounts


To maintain users
1. On the menubar click on Utilities | Logon Control | Password master maintenance

2. Click New to add a new user (or select and existing record and click Update or Delete to change
an existing user)
The Edit an existing record screen appears

3. Enter or update the information of the user and click Ok to save.

4. Important note: As the program is installed with preloaded user entries of which the user 9 is
regarded as the system administartor entry and therefore most important, it is strongly advised
that you change the user 9 password to something different. This new password should be
available only to the system administrator, documented and kept safely in a place only accessible
by management.

6.2 Changing your password


To change your password
1. On the menu bar click on Utilities | Logon control | Change my password

2. Enter your current password


3. Enter and confirm the new password you want to use and click Ok

7 Screen usage
This section describes using the 3 main types of forms:
1. Register
2. Maintenance form
3. Grid

7.1 Using the register


· A register can be used to add, remove or change records in a table
· All registers support the same basic functionality

The following actions can be performed:

New Add a new record
Update Update the record that was selected
Delete Delete the record that was selected
Print Show a print preview of the data on the register
Export Export the data on the register to xls,pdf,csv
Close Close the register
Sorting Clicking on a column heading will cause the register to sort the table according to the
selected column.
Clicking the same column heading more than once will change the sort order from
ascending to descending
Seek By clicking a column heading you tell the system what you want to search and sort by
After doing this you can type the name of the record you are searching for
Page By default the register only displays 1000 records at a time.
If there is more than 1000 records, the Page selector can be used to scroll between
pages
The number of records per page can also be changed
Double click Double clicking a specific record is the same as selecting the record and clicking the
Update button
F5 Press the F5 key to refresh the register to display the latest data
Scroll bar Horizontal and vertical scroll bars are available for scrolling left/right and up/down
Filter bar The white filter bar can be used to filter the screen to show only the desired data
Click on the white box of the column you want to filter on, and enter the first few
characters of the entity you are searching for
Clear Clears the filter bar and show all the data

7.2 Using the maintenance form


The maintenance form is displayed
1. When clicking New on a register and can be used to add a new record to the table
2. When clicking Update on a register and can be used to change an existing record in the table

The following actions can be performed:

Action Description
Save · Save all changes made on the form to the table
Cancel · Cancel the operation
Next · Save all changes made on the form to the table, and open another maintenance form
adding another new entity
Enter · Hitting the Enter key, is the same as pushing the Save button
Tab · Hitting the Tab key, moves focus to the next control on the form
Shift-Tab · Hitting the Shit and Tab key, moves focus to the previous control on the form
F2 · Hitting the F2 while positioned on a drop down boxes, swaps the fields around,
allowing the user to search using a different field

Important: You can save a lot of time by only using the keyboard, and not the mouse, when entering
data onto the maintenance form

7.2.1 Control types


The following section describes all the different control types that can be found on the maintenance
form

Drop-down box

The following actions can be performed


· Use the Up and Down arrows on the keyboard to select a item
· Use the mouse and click on the button to show, scroll and select an item
· Press F2 on the keyboard to swap the fields around which allows searching by a different field

Check box

The following actions can be performed


· Press the Space bar key on the keyboard to check/uncheck the box
· Use the mouse to check/uncheck the box

Date picker

The following actions can be performed


· Use the Tab key and the number keys to enter the desired date using the keyboard
· Use the mouse and click on the button to show a calendar (Navigate by clicking on the Year, or
the arrow buttons and then click on a date on the calendar)

Time picker

The following actions can be performed


· Use the Tab key and the number keys to enter the desired time using the keyboard

· Use the mouse and click on the arrows to move the time forward/backward

Date Time picker

The following actions can be performed


· Use the Tab key and the number keys to enter the desired date/time using the keyboard
· Use the mouse and click on the button to show a calendar (Navigate by clicking on the Year, or
the arrow buttons and then click on a date on the calendar)

7.3 Using the grid


The following image shows an example of a Grid

The following actions can be performed:

· Click on Finish to save the altered information in this grid.


· Click on Delete and to delete a record from the table
· Click on Cancel to discard all changes made
· Click on column heading to sort the grid

Important

You can save a lot of time by only using the keyboard, and not the mouse, when entering data onto the
maintenance form
The following keys can be used to navigate the grid:
· down-arrow, up-arrow, left-arrow or right-arrow key
· PgUp or PgDn key
· Enter
· Enter - Moves focus to the next column. If on the last column then focus moves to first column of
the next row
· F2 - Deselects the Selected text in a cell and places focus at the end of its text
· F8 - If on a combo field then the fields in the combo is rotated - not F2

· F4 - If on a combo field then its drop down list is opened


· Alt-Dn arrow - same as F4
· Del - Deletes the contents of all selected fields (only if none is locked), also not allowed for fields
that form part of the database Key
· Shift - In combination with the arrow keys can be used to selected multiple cells/rows
· Ctrl-C - Copies the selected area to the clipboard
· Ctrl-V - Pastes the clipboard to the target area (will not work if any of the target area is locked)

8 Data capturing
This section describes all the different transaction types and master files that exist in the system

8.1 Capturing mass


When performing Capture transaction, a mass needs to be obtained.
There are 2 ways of capturing a mass into the system:
1. Automatic mode
2. Recovery mode

To switch between Auto and Recovery mode, you need to change the Device status of the scale using
the Device configuration function

Automatic mode
During automatic weighing, the system obtains the mass automatically by reading it from a scale
device which is connected to the computer.

Recovery mode
In recovery mode, the user is allowed to enter the mass using the keyboard

Note: If there is more than one scale configured on a workstation, the system will show the Select a
scale screen such that the desired screen can be selected

8.2 Capture transactions


The section describes all the transaction types that can be done in the system:
1. Weighing
2. Public weighing
3. Axle weighing

8.2.1 Transaction weighing


To perform a transaction
1. On the menu click Data capturing, Capture transactions, and then Weighing (or use the
shortcut bar).
The Weighing register appears.

2. Click New to start a new transaction

4. Enter all required information and click Weigh


The system performs a weighing and prints a 1st mass ticket (if configured to do so)

5. The pending transaction will then appear on the Weighing register

6. To complete the transaction, select the record on the screen and click Update
The weighing screen appears

7. Verify the information and click Weigh


The system performs a weighing and prints a Weighbridge ticket (if configured to do so)

Note: If the vehicle registration number entered on the screen has a valid tare mass in the Stored tare
master file, the system will:
· Use the tare mass from the Stored tare master file
· Complete the transaction and print the weighbridge ticket
· Not pending transaction will be created

8.2.2 Public weighing


To perform a public weighing
1. Click on Data capturing | Capture transactions | Public weighing

2. Enter all required information and click Weigh


The following form appears

3. If you want to enter a tare mass click Yes


The Enter tare mass screen appears

4. Enter the tare mass of the vehicle and click Ok


The system performs a weighing to obtain the gross mass and prints a Public weighing ticket

8.2.3 Axle weighing


To perform axle weighing
1. Click on Data capturing | Capture transactions | Axle weighing (or use the shortcut bar)
The axle weighing screen appears

2. Enter all required information and click Continue


The Axle weigher screen appears

3. Align the vehicle on the weigh bridge as per the red line at the bottom of the screen and click the
Weigh button
This step needs to be repeated until all axles (or axle groups) have been weighed

4. Click the Finish button

8.3 Master maintenance


The following master files are available in the system
1. Customer master is used when capturing transactions and running reports
2. Product master is used when capturing transactions and running reports
3. Haulier master is used when capturing transactions and running reports
4. Stored tare master is used when capturing transactions to support weighing a vehicle only once to
complete a transaction
5. Truck configuration master is used during axle weighing to specify the axle and axle group
combination of the truck being weighed

9 Reports
To print a report
1. Select the Report you want to run using the menu options.
The system displays Report filtering screen

2. Enter the criteria you want to filter the report on and click Continue

The system displays Setup sort fields screen

3. Use the arrow buttons (or double click on the field names) to select the fields used in the sorting
and grouping of the report and click Ok
The report preview is displayed

The following action can be performed


· Click on button number (5) to Print a physical copy of the report
· Click on button number (6) to Export the report to a Excel, PDF, text or other file format
· Click on button number (7) to view other pages of the report

10.1.1 Menu access maintenance


Prior to registring the users of the Weighware system, careful attention needs to be given to the access
levels you wish to enforce for the system.
Access levels range from 1 to 9 with 9 being the highest level of access therefore allowing a 9 level
user to all functions of the system. A level 1 user would then have limited access to the system.
A guideline to structure your access levels would be to determine the groups of users that will be
working with the Weighman system, ex. System administrator, weighbridge operator, bulk load
operator, admin etc. If the admin group of users are allocated a level 1 access to only print reports, the
Menu access maintenance function is used to setup the admin group menu in such a way that only the
report options are available. If however the weighbridge operators need to access their relevant
functions as well as the report options, a higher number than 1 would be required to achieve this level
of access.

To perform Menu access maintenance

1. Log in as system administrator and click Configuration, System configuration and then Menu
access maintenance.
The Menu access maintenance screen appears.

2. As the system is provided with entries for this register, you may only click Update to maintein the
selected entry.
The update screen appears.

3. Make the adjustments, TAB and click Save.
