SUBMITTING A LISTING

• Both input forms and non-input forms are required when submitting a listing. All
forms should be completed leaving no blanks and have all seller’s initials and
signatures as required.
• Turn in all forms to MLS secretary by 12 PM for your listing to be entered the same
day.
• Your listing will be reviewed by the MLS coordinator and the broker-in-charge. Your
broker will let you know if anything further is needed, or if corrections need to be
made to your paperwork. Your MLS coordinator will process the paperwork.
• Once all paperwork is processed your listing will be maintained in your offices
“active” listing file drawer.

LISTING/ADVERTISING FORM CHECKLIST

1. County Advertised: Select the county the listing will be best advertised. Your may only select one.

2. Sign Rider: MLS Number Sign Riders attach to the top of the Beverly-Hanks for sale sign. They
will be ordered for ALL single Family Residential Properties unless this
section is completed. You may order one for another property type so long as a sign is allowed on
the property. You may also request Agent Services install the rider.

3. Listing Letter: This form also gives you an opportunity to provide the correct mailing
address and salutation for the Seller so that we may send them a listing letter.

4. Tour Information: The Listing/Advertising Form also includes a section for requesting the listing
be placed on tour. * Please see your MLS secretary for how this works in your office.

5. Source of Listing: Filling out this information helps the company keep track of how you and
Beverly-Hanks & Associates were introduced to the Seller.

6. Referral: If you have a Referral on this listing you MUST fill out the Referral section,
this is very important for the Relocation Department.

7. Listing Requirement: Fill out the Listing Requirements section on the back with a
check mark if you have included the item with your new listing, an “F” if the

MLS INPUT SHEET CHECKLIST
1. You have three (3) working days after the list date, (not including the list date or Saturday & Sunday)
to get your listing into MLS. Listing paperwork is due no later than NOON on the 3rd business day
to the MLS Coordinator to be guaranteed processing on the same day. An input sheet is filled out for
all listings.

2. Different property types have different input sheets. Be sure to choose and fill out the proper input
sheet for your listing. Each property type has different required fields in MLS.

3. You must fill out all the mandatory areas. The listing cannot be entered and saved in MLS without
this information. Mandatory areas are in bold print and underlined. An asterisk (*) means that
there are only certain options that can be input into those fields. (i.e.: zoning, Y or N questions, room
levels).

4. Make sure that the square footage of each level adds up to the correct total square footage. Round
measurements down to the nearest whole number. Figures should coincide with the square footage
sketch you’ve turned in.

5. There are 6 places for remarks on the input sheet. (1) “Room Descriptions” are for specifics on
individual rooms, such as room dimensions. It is BH policy to fill these in. (2) “MLS Remarks” is
intended only for other realtors. (3) “Directions” is for directions to get to the property. (4) “Internet
Remarks” is similar to the MLS Remarks, but these are seen by the public either on the internet or
on Customer Display printouts. Most times the intranet remarks and the MLS remarks are the same.
(5) Use “In-House” remarks for anything to be viewed only by Beverly-Hanks agents. (6) “Does
Not Convey” is for property or fixtures that are not included in the sale of the home. This is seen by
all agents.

6. If the property is “New Construction”, the insulation information at the bottom of the 3rd page of the
Residential Input Sheet is mandatory. “Code” is not acceptable.

7. Showing instructions: Select type of contact that should be made when a showing is needed.
Showing instructions for appt. staff may differ from the showing instructions for agents. Be sure to
include any pets that may be at the home. If appointment is required and the seller needs to be
contacted list the seller’s first and last name and phone numbers. Filling in the email address sends
seller’s all feedback from showing agents.

TCM: SLIDESHOW, VIRTUAL TOUR & MLS PHOTO ORDERS

The TCM Slideshow/Virtual Tour order form is available in listing kits, on your office
shelves, and on the Beverly-Hanks Intranet.

1. ALL property types MUST have a picture for MLS within 7 business days of listing
or you will be fined a late fee, NO Exceptions! You must provide a completed Photo/
Slideshow order form, complete a Photo/Slideshow order form on line or supply a
photo yourself. Even if the property is being entered as pending or sold, you must still
provide a photo. You may use a rendering or lot plat if needed for new construction
and land.

2. Wednesday Deadline: TCM requests need to be given to the MLS Coordinator no


later than 10:00 AM on Wednesdays for the photo to be ready the same week. Either
the MLS Coordinator or the agent can order photos and slideshows using the order
form available on the Beverly-Hanks intranet. The agent, the MLS Coordinator, TCM
and photos@beverly-hanks.com all receive a confirmation email when an order is
submitted.

3. Scheduling: Please fill out all information for TCM to call you within 24 hours to
schedule the INDOOR photo shoot. They do not schedule outside photos with the
agent.

4. Photo Minimum: If you are providing your own photos: you may send at least 1
labeled print, a disk or an e-mail containing the photos to our IT department. You
may have up to 12 different shots for the MLS System. Submit your photos by email
to “photos@beverly-hanks.com”. Be sure to let your MLS Coordinator know that
you have submitted photos to IT for uploading to MLS.

5. Jay Weiland Photos: Jay will need to be called directly by the agent in addition to
submitting a TCM order form. Jay’s photos take longer to schedule and shoot, so TCM
will take one exterior photo in the meantime for MLS. This happens automatically. Be
sure to label Jay’s photo proofs prior to submitting for slideshow and MLS upload.

HOME WARRANTY
1. If the Seller is purchasing a home warranty and #4 of the listing agreement indicates
to order warranty, fill out the appropriate Home Warranty brochure COMPLETELY.
Include it in your listing paperwork and the MLS Coordinator will order it for you.

2. The confirmation number will be filled in on the home warranty paperwork and on
the front of the file. If you submit the home warranty, just provide the confirmation
number to your MLS Coordinator. The warranty is paid at closing.

3. There are 2 (two) different home warranties to choose from. American Home
Shield (AHS) and Home Trust. Both buyer and seller coverage is available.

BUYER AGENCY PAPERWORK
• Buyer paperwork is given to the MLS Coordinator at the time it is signed. Paperclip the Buyer
Agency Agreement and the Working with Real Estate Agents brochure “tear-off card” or the
Non-Exclusive Seller’s Disclosure and turn it in promptly. Make sure all forms are signed
and fields completed (needs to be legible) with all the pertinent information such as mailing
address, phone number, and salutation (Mr., Mrs., Dr.). A letter will be sent welcoming the
Buyer to Beverly-Hanks & Associates (see below). The originals are kept in an accessible
file in your base office.

CONTRACT DATA SHEET

• Turn in contracts to your MLS Coordinator within 3 business days of acceptance.


The MLS Coordinator will review the contract adn check the following: all initials
and signatures, Contract Data Sheet, Closing Data Sheet, all applicable addenda,
buyer paperwork (if applicable) and Title Selection Forms (if applicable). The MLS
Coordinator will then pend the property in MLS if it is applicable, process the contract
through Accounting including earnest money deposits then pass the contract to the
broker-in-charge for further review. Note: If you are turning in a contract on the
third day from acceptance, you need to notify the MLS Coordinator so that the
proper arrangements can be made for the earnest money deposit. There is a
locked safe in each office for holding earnest money for safekeeping while you are
negotiating a contract. Some offices supply special envelopes for clarification.

• Even if the Selling and Listing agents are both with Beverly-Hanks, both agents should
still submit a complete copy of the executed contract and their own Contract Data
Sheet to their MLS Coordinator within the 3 day time period.

• If you are the Buyer’s agent and Beverly-Hanks is holding the Earnest Money, please
notify the MLS Coordinator in addition to including this information on the Contract
Data Sheet.

• When you close a property, you will need to turn in 2 (two) settlement statements to the
Accounting Department. One original and one copy are acceptable. The Accounting
Department will then forward a closing statement to your MLS Coordinator so that the
property can be closed out in MLS and the file can be closed out. Hendersonville and
Waynesville agents should turn in settlement statements to their MLS Coordinator.

• If you just closed on a FSBO or for a New Home Community, you must also turn in the
appropriate completed MLS input sheet within 3 days of closing.

• At the time of closing, a letter and a performance evaluation will be sent to your client
for feedback. See the following page for a sample of the letter.
