ORACLE TIPS & TRICKS

1. How to export the Aging Buckets per customer:


- Log into Oracle:

- click on SVE or SVN AR Manager

- Add to list Aging by clicking on the blue arrow

- double click on Aging


- fill in Customer Name field by clicking on “…”

- Fill-in the Aging Bucket field with “Collections”

- click Find
- by clicking next each Bucket you can see the invoices in it

- you can export the Aging by going to File menu, and selecting Export
- you can also export the invoices from each bucket in the same way

2. How to check payments/ credit notes/ invoices by date

- from SVE or SVN AR Manager select from the list Accounts Details

- fill-in the Due Date field by clicking on “…” ( for eg. if you want to
see all the payments made from January to February from a specific
customer)
- first select 01 Jan 2010, and click OK

- click on “…” that will be highlighted and select the end date as 01 Feb
2010 and click OK

- fill-in the Customer Name field

- Select from field Status blank

- Select from Class field “Receipt” in this case

- Fill-in the name of the customer in the Name field

- click Find

3. How to see who placed an order and when

- from SVE or SVN AR Manager select from the list Order Organizer

- fill-in the order number

- click Find
- go to Help Menu
- select Record History

4. How to get an invoice number by order number

- from SVE or SVN AR Manager select from the list Accounts Details

- fill-in the sales order number in the Sales Order field

- click Find

You can find an invoice this way if you have a PO number also, but
instead of filling-in the Sales Order field you fill-in the Purchase Order
field

5. How to find an order number by the invoice number

- from SVE or SVN AR Manager select from the list Order Organizer
- click on the Open Folder Icon

- select Invoice Number from the list and click OK

- fill-in the invoice number in the Invoice Number field:

- click Find
- if nothing happens it means that the invoice is in other entity, so you
should try both SVE and SVN
- if the system finds the invoice a window will pop-up

- click on Yes and wait for a few seconds (you can cancel if it takes too
long)

6. How to find a payment/ invoice/ credit note

- from SVE or SVN AR Manager select from the list Account Details
- paste the payment/invoice/ credit note number to Trans Num

- click Find

7. How to Log a Dispute

- from SVE or SVN AR Manager select from the list Account Details
- fill-in the invoice number in field Trans Num

- click on Find
- click on Details
- click on More

- fill-in the followinf fields: Dispute Amount, Dispute Date, Comments
- go to File menu and select Save and Proceed
- your comments will be visible whenever exporting a statement

8. How to see all the account of a customer including the


allocation details

- from SVE or SVN AR Manager select from the list Customer


Accounts

- double click on Customer Accounts

- fill-in the Customer Name field and click Find

- in this new screen click on Account Details

- scroll-down until the end to avoid blocking the tool


- go to File menu and click on Export
- if you will receive below message click on Continue to End

- Click on Save

- give your statement a name XXX.xls


- to see how the payments have been allocated click on the field Class
until you will have bellow only payments, and then double click next
to the payment that you want to see

- a new window will pop-up with all the invoices that have been
allocated to the payment:

- you can export the allocation details by going to menu File, and
clicking on Export

9. How to see the Credit Limit of a customer:

- from SVE or SVN AR Manager select from the list Customer


Accounts

- double click on Customer Accounts


- fill-in the Customer Name field and click Find

- click on Customer

- click on the arrows in the little square under the Y button, and select
Profile Amounts

- a new window will pup-up showing the Credit Limits in each


currency the customer is billed in

- to see the Credit Limit for each currency just click the square next to
the currency, as per shown in the above print-screen

10. How to see the Payment terms of a customer:

- from SVE or SVN AR Manager select from the list Customer


Accounts

- double click on Customer Accounts


- fill-in the Customer Name field and click Find

- click on Customer

- click on the arrows in the little square under the Y button, and select
Profile Transaction

- as per you can see highlighted the payment terms in this eg are Net 30
- if we have instead AP-PAYADV it means that the customer is on
prepayment

11. How to see the Adress and Contact Details of a


customer:

- from SVE or SVN AR Manager select from the list Customer


Accounts

- double click on Customer Accounts
- fill-in the Customer Name field and click Find
- click on Customer

- a new window will pop-up showing the adress of the customer

- if you click on Contacts you can see the phone and fax number and
the name of the contact person

12. How to make Folders for specific actions ( to see
Transaction Date/ Account Number/ etc):

- from SVE or SVN AR Manager select from the list Accounts Details

- fill-in the Customer Name field


- go to menu Folder
- choose from the list Folder Tools
- go to Show Field icon

- choose the action you need from the list for eg Transaction Date to see
the date when the invoice was issued, or Customer Number to see the
customer number etc.

- to use the folder just click on the small icon in the left corner with
Open Folder , choose the folder that you want and click ok

- if your folder was supposed to show you the transction date you will
see it next to the invoice

13. How to print invoices

- from SVE or SVN AR Manager select from the list Print Invoices
- if the option is not available on your Top Ten list then use the Add to
List arrow to add it

- double click on Print Invoices


- select the option Single Request and click OK

- go to Name field and click on the three dots “…”
- type SVE

- select the option SVE Invoice Printing - primary Program


- click OK
- fill-in the field Print Draft/ Copy/ Original by typing “2”
- paste the invoice number in the fields Invoice Number From and
Invoice Number To
- if the invoice number is not recognised, below window will pop-up:

- click on cancel and search the invoice both in SVE and SVN

- if the invoice is found just click OK

14. POD requests – How to find the Tracking Number

- from SVE or SVN AR Manager select from the list Account Details
- fill-in the invoice number in field Trans Num

- click on Find
- click on Details

- click on Freight

- you will see the shipping refference
