2. Operator Maintenance
To get the best operation from your scanner, regularly maintain the unit. This section lists the
scanner maintenance tasks that must be performed on a daily, weekly, monthly, or yearly basis.
Maintenance kits are available through Böwe Bell & Howell Authorized Spare Parts Resellers
(ASPRs). Please refer to the Consumable and Maintenance Kits sheet located in this kit or visit

General
Clean the outside of the covers
Check the covers for proper mating
Check that the interlock trips properly when the upper scanner section is closed
Clean the metal document path of the scanner transport
Remove all staples, paper dust, and dirt from the interior of the scanner
Clean the fan filter

Glass flat
Clean both sides of the glass flat
Check the ends of the glass flat for chipping
Check that the glass flat is properly seated in its holders

scanner environment.

3. Maintenance Schedule
On the following page is the maintenance schedule for a typical scanning application. Your
maintenance schedule may vary somewhat depending on the documents that are being scanned
and the scanner environment.

NOTE:
When the scanner transport is opened, a safety interlock removes power from the transport
motor before any hazardous parts are accessible.
1. Turn off the scanner.
2. Open the transport with the lift-handle on the lower right side of the control panel, opening it
as high as it will rise.
3. Using the optic cleaning pad, carefully clean the front surface of the glass. Inspect the glass
flat after cleaning to ensure all dust and residue has been removed.
4. Close the transport.

Removing the Glass Flat for Replacement or for Cleaning Both Sides
CAUTION:
Do not twist or turn the glass flat while removing it.
CAUTION:
Handle the glass flat by its edges to avoid smudges and scratches.
To remove the glass flat from the scanner and clean both sides of it, follow the directions below:
1. With the scanner turned off, open the transport with the lift handle on the lower right side of
the control panel. Open the transport as high as it will rise.
2. Place your index fingers on each end of the glass flat as shown in Figure 2.
3. Push down on the right end of the glass and slide the glass to the right until you see the edge
of the glass flat on the left side. The glass flat will slightly lift away from the metal tray for
you to grasp it.
4. Holding the left side, gently pull the glass flat towards the left. Take care not to twist or
leverage the tip where it still touches the scanner.
3. Check the glass flat for chips and scratches.

NOTE:
If the glass flat is chipped or scratched, replacement flats are available through
Böwe Bell & Howell Authorized Spare Parts Resellers (ASPRs). Please refer to the
Consumable and Maintenance Kits sheet located in the kit or visit the Böwe Bell & Howell
website at www.bbhscanners.com.
4. Using the optic cleaning pad, carefully clean the front and back surfaces of the glass you
want to install. Inspect the glass flat after cleaning to ensure all dust and residue has been
removed.

5. Insert the glass flat into the left end first, pressing down against the spring and guiding the tip
about 1/2” into the machine. This enables the other end of the glass to swing down and rest
easily into the groove.
6. Slide the exposed tip 1/4” into its socket. The springs will press the glass flat against the
holder surface. Slide the glass left and right to feel if it is centered and seated.
7. Using the optic cleaning pad, carefully clean the exposed surface of the glass. Inspect the
glass flat after cleaning to ensure all dust and residue has been removed.
8. Close the transport firmly.

NOTE:
Types and condition of the documents being scanned may require more frequent cleanings.
Take the following steps to clean the skimmer rollers:
1. Remove all documents from the feeder and exit tray.
2. Power up the scanner.
3. Using the front panel buttons, press the CLEAR button to put the scanner in READY mode.
4. Press the CLEANING MENU key on the front panel.
5. Press the F1 key to start the scanner.
6. Using the rubber tire cleaner (S003410), spray the center leading edge of one skimmer
cleaning (S003411) sheet as shown in Figure 5 on the next page.

CAUTION:
Do not touch the page sensors with cotton swabs (or anything else) when cleaning them. Use
the transport cleaner only.
CAUTION:
Do not turn the sensor and transport cleaner can upside down while using.
4. Clean the front sensors of the scanner using the sensor and transport cleaner (S003388).
Direct the nozzle toward each of the sensors as shown in the figures below. There are five
pairs of sensors in the entry section, located behind the holes in the stainless transport plate at
the front of the scanner.

NOTE:
When the user access panel is opened, a safety interlock removes power from the transport
motor.
WARNING:
The lamps may be very HOT. Use precaution when changing the bulbs.
The scanner lamps (S004868) should be cleaned monthly (or as needed), and might need to be
replaced periodically. You may need to replace them when the control panel displays the
following messages:
• “Check front lamps”
• “Check back lamps”
• “Low front lamp level”
• “Low back lamp level”
Additional lamps are available through Böwe Bell & Howell Authorized Spare Parts Resellers
(ASPRs). Please refer to the Consumable and Maintenance Kits sheet located in the kit or visit
the Böwe Bell & Howell website at www.bbhscanners.com.
The simplex scanner has one lamp assembly, and the duplex scanner has two lamp assemblies.
Both lamp assemblies can be removed and replaced through the left user access panel. When a
lamp in an assembly must be replaced, always replace both lamps in that assembly at the same
time.

2. Open the side access panel of the scanner by folding it down to the left as you would open
the cover of a book. The operator-accessible areas of the scanner are now exposed.
WARNING:
The lamps may be very HOT. Use precaution when changing the bulbs.
3. Remove the front-page lamp by grasping the black handle on the housing and gently pulling
it toward you. Slide the lamp out carefully.
4. Wait until the lamps are cool before proceeding.
5. One at a time, grasp the lamp by either end and pull it carefully out of the housing.
6. Using an optic cleaning pad, wipe the lamps until they are free of dust.
7. Insert both lamps back into the housing.
NOTE:
If after cleaning the lamps do not operate or the light source is still degraded, re-check the
position of the lamps. Improperly installed lamps are a common source of these conditions.
Replace lamps in pairs if necessary.
9. Close the side access panel and the transport.

2. Open the side access panel of the scanner by folding it down to the left, as you would open
the cover of a book. The operator-accessible areas of the scanner are now exposed.
3. Remove the front-page lamp by grasping the black handle on the housing and gently pulling
it toward you. Pull each lamp out carefully. Figure 12 shows a lamp being inserted into the
housing.
4. Install both new lamps into the housing.
5. Slide the lamps housing back into the scanner frame until it stops.
6. If the back page lamps are being replaced at the same time, repeat steps 3 and 4 for the back
lamp housing.
7. Close the side access panel and the transport.
8. Turn the scanner power switch back ON.
2. If you replaced the front lamps only or both the front and back lamps, press F1 FRONT. If
you only replaced the back lamps, skip ahead to step 14 of this procedure.
3. Press F1 YES.
4. Press F1 CONTINUE.
5. Press the CLEAR button to return to the Home Menu.
6. If you replaced the back lamps, press F2 BACK.
7. Press F1 YES.
8. Press F1 CONTINUE.
9. Press the CLEAR button to return to the Home Menu.

NOTE:
If the skimmer flag needs to be replaced, lift the green skimmer flag retention lever and
remove the flag.

7. Gently pull the skimmer assembly down and through the feeder.
8. To remove the skimmer flag, lift the flag retention lever and lift out the skimmer flag.

NOTE:
If the skimmer housing is damaged, replace the entire skimmer assembly and skimmer flag.
Refer to Section 1.10, Removing and Replacing the Skimmer Assembly for instructions.
NOTE:
This procedure is the same for replacing the front or the rear skimmer assembly tires.
1. Remove the skimmer assembly according to the instructions in Section 1.10, Removing and
Replacing the Skimmer Assembly.

4. Pull the roller shaft from the roller assembly. It should slide out easily. Discard the old roller
assembly. Save the roller shaft.

5. Place the new tire assembly on the roller shaft so that the larger opening faces the gear.
6. Place the roller assemblies back in to the lower housing.
