Protocols for Review, Maintenance, and Distribution

of Information and Resources for the


Serious and Violent Offender Reentry Project

The Serious and Violent Offender Reentry Program (Program) has three electronic mechanisms
to support the flow of information between the public and the Office of Justice Programs, and
one mechanism to share information among the Reentry federal partner agencies. These
mechanisms are: the Reentry Website; the AskReentry function on the Reentry website; the
Reentry Grantee Listserv; and the Reentry Federal Partners Listserv. To ensure that these
mechanisms are responsive, timely and an accurate representation of the Program, I recommend
that the following protocols be used to manage these electronic supports.

Website
The Reentry website must be current and informative on topics related to the release of offenders
into communities. The scope of information should be geared for the interests of the public
beyond that of the Reentry grantees. The BJA Program Manager should review and update the
information and layout periodically. Information to be posted on the website must be first
approved by the BJA Program Manager with coordination and input from the Office of Juvenile
Justice and Delinquency Prevention=s Reentry Program Point of Contact.

Aspen Systems provides the logistical support for the website maintenance. Entities suggesting
that documents and publications be posted on the website may send these to the BJA program
manager who will determine the level of vetting to be applied prior to asking Aspen to post any
document or publication on the Reentry website. If the document is published from within OJP,
then it would be scrutinized for relevance to the Reentry concept. If the document is published
external to OJP and includes research findings etc, the National Institute of Justice will be asked
to provide a review and recommendation as to whether the document may be posted on the
Reentry website. All documents posted on the website will adhere to copyright laws and reflect
the most current and well supported information available.

AskReentry
The questions posed by the public via the Reentry website should be gathered by Aspen and
forwarded to the BJA Program Manager for responses weekly. Questions that relate specifically
to juvenile issues will be forwarded to the Reentry Program representative at the Office of
Juvenile Justice and Delinquency Prevention. Responses will whenever possible be provided
within one week.

Grantee Listserv

The Reentry grantee listserv is designed to provide a forum for information sharing among the
participating agency heads and their designated project managers. Once a week, Caliber &
Assoc. sends out relevant publications, funding availability announcements, and technical
assistance materials. On rare occasions, the listserv may be used to provide Program instructions
or clarifications when timeliness of the notification is critical and applicable to all Reentry
participants.
Caliber & Assoc. will compile a list of publications weekly and forward to the BJA Program
Manager for review and approval prior to sending the information out via the grantee listserv.
As with the website, if the resource material is published from within OJP or one of the Federal
Partner Agencies, then it would be scrutinized for relevance to the Reentry concept. If the
resource material is published external to OJP and includes research findings etc, the National
Institute of Justice will be asked to provide a review and recommendation as to whether the
document may be shared on the grantee listserv. All documents shared on the listserv will adhere
to copyright laws and reflect the most current and well supported information available.

In order to reduce the number of emails generated by the listserv, the documents will be shared
once weekly in one compilation email.

Federal Partners Listserv


The Reentry federal partners listserv is used to share coordination information among the active
federal representatives. Meeting times, locations and agenda notifications are provided monthly
by Caliber & Assoc. at the direction of BJA. Also internal policy discussions, site visit
coordination, and other relevant information sharing is provided. The same review processes
used for the grantee listserv will apply to the federal partners listserv.
