TABLE OF CONTENTS
1 ABOUT SAFEQ
SafeQ can monitor all cost connected to printing (paper, toner and energies consumption,
amortization) and these costs can divide according to individual users and groups.
If a SafeQ terminal is connected to an accounting device, the secured (deferred) printing feature will
be enabled. At the core, this features the printing of jobs for the user after his/her authorization at
the terminal (using a PIN code, touchless card, etc.).
1. Accounting - exact cost monitoring for reprographic outputs (prints, copies, plotters, ...)
including coverage measuring, toner and duplex costs, etc.
2. Monitoring - outline cost monitoring at small local printers to enable the optimalization of
the printing environment
4. Security - securing the access to printed documents (printing after authorization at the
printer terminal) and a possibility of print queue administration
5. Access management - setting of criteria for disallowing the printing of jobs with a specific
number of pages for a specific printer (with a certain function limitation also for local
printers)
Your SafeQ administrator may have made various features available to you.
This Guide describes basic user features. If you will not find the desired description here, ask for the
"SafeQ Administrator's Guide".
SafeQ control interface is available via web interface. The compatibility is tested for the Internet
Explorer version 5.5 and higher and for current versions of the Mozilla browser.
Note:
You will receive the SafeQ application address from your administrator.
SafeQ initial screen is used for log in to the application and for language setting.
You can change the application language by clicking on the desired language icon.
Note:
You can change the language also after your login; see Chapter 3.2.
Enter your login and password and log in the aplication by pressing the key [login].
Note:
A user can be created by the Administrator, together with user creation he will assign you a
login and a password. You can then change the password (see Chapter 4.1.)
After your successful login a welcome screen with details of the application version, applications
installed and licences will be displayed in the main window of the application.
A list "Quick Actions" may be found below the welcome window, meant to be used for quick access
to the most commonly used system actions. "Quick Actions" setting is described in Chapter 3.2.4.
3.2.3 MENU
On the left tab you will see the basic menu. Different SafeQ items are displayed in the menu
according to the installed modules and based on the allocated access rights.
Place the cursor on the specified item and a sub menu will drop down.

Every window in the application has its own header, which maps activities in the menu.

You access the page stated in the header by clicking on its name.
Quick action – in the right part of the header there is an icon of a marked book. By clicking on the
icon the "Quick Action" is created and then accessible from the application's main window (Chapter
3.2.2) the icon changes to crossed you can cancel this "Quick Action" by clicking on this icon.
On the lower edge of the window you can find a status bar
• Log out from the application - by using the "logout" key you log out from the application.
After your log out the system will display the SafeQ login window (see Chapter 3.1.)
• Initial Screen - by using the icon of the house you will return to the application's initial
screen.
• Logged in user – full name of the logged in user (the login is displayed in the brackets)
• Date and time – current day of the week, date and time
• Application language – icons for changing the application language; the currently chosen
languge is displayed by means of a "highlighted" icon.
1. Header - includes headings of individual columns. By clicking on the column header you
arrange the list according to this column. The column according to which the table is
arranged is indicated by a symbol . Direction of this arrow indicates the upward or
2. Multipage lists - if the table includes more entries, the list will be displayed on more pages.
In the lower right corner a scroll bar is displayed providing information about the current
page and the total number of pages. The scroll bar also includes arrows for navigating among
pages (one page forward (back), go to the last (first)). If the arrow is negative (light contour),
it is not possible to move in the direction.
4 SYSTEM FUNCTIONS
Each user can change his/her own password after logging in the system.
Enter the new password in the "New Password" field and also in the "Password Check" field for
verifying the password.
Note:
The application will confirm that the password has been changed. At your next login to the
SafeQ system you have to use the new password.
Otherwise, if you do not enter the password in the check field correctly, you have to try to
change the password again.
Note:
If you forget your password or the entered password is not working, refer to your system
administrator as soon as possible.
4.1.2 CHANGE OF P IN
The application also offers the possibility of changing the PIN code, by means of which you can
authorize yourself at the printing terminal. Click on the key [Generate new PIN code], then the
application generates a new PIN code and displays a window (Image 7: Window with a new PIN code)
confirming change of the PIN code; the window also displays the new PIN code. At the same time an
information about generating new PIN code is sent to your e-mail box.
After successful generating of new PIN code it is possible to use the new code.
Note:
Your PIN code is your personal responsibility. Do not reveal it to anybody and in case of
suspicion of misuse change it immediately and contact the system administrator. The same
applies to your password.
The job list displays printed jobs by user in various statuses (received, printed out, cancelled, see
4.2.2 Job statuses).
You can sort out, view and filter jobs easily. You can also print the jobs from the list, cancel and
resubmit them into print queues and get detailed information about the job progress.
Using the filter you can limit the list of displayed jobs:
1. By time – by entering an interval (From date to To date – you can further specify the interval
by entering an exact time. You can enter the date directly into the text field or choose if from
a calender
2. According to the job status – for selected job statuses see Chapter 4.2.2 Job statuses
In the upper part of the selection you can choose quick items:
2. To be printed - selection of jobs, which are being printed, are submitted for printing, or will
be printed after authorization at the terminal
3. Favourite - marks all jobs that were chosen by the user as his/her favourites
4. Invalid job - this status is important for the administrator only and may not be visible
5. Submitted to queue - this status is important for the administrator only and may not be
visible
A window with the statuses selection will be closed automatically by clicking on the SEARCH option
or after clicking on the cross in the upper right corner (see Image 10: Jobs statuses).
Further work is possible with every revealed job. For this you use icons that are placed at every
entry:
Displays the history and detailed information about the job. Every job change and its
description is saved to the history where you can subsequently read information about job
receiving, where and when it was printed, how many times it was printed and information about the
statuses the job passed through during its life cycle.
The icon of job cancellation is displayed at jobs which are active, i.e. will be printed after user
authorization at the terminal. If the user cancels the job, it can be restored in the future.
The preview icon is used for quick view of the job. If this option is allowed, a first page
preview is created for every job after receipt, so the user can better navigate himself/herself
within his/her jobs.
It is used for re-submitting the job into the queue. The icon will be displayed only for those
jobs, where it is reasonable, e.g. for the statuses of Cancelled, Printed, etc. After clicking on
this icon a dialog will be displayed, enabling selection of the queue where the job is to be
sent to.
Note:
For jobs in the status of Deleted, Local printing, Submitted for printing, Printing in progress or
Copy all the icons are not displayed, as it is not possible to work with these entries.
In the list you can also work with jobs in blocks. For this you can use the drop down list beneath the
job table (see Image 8) with these options:
Cancel from queue Cancels jobs. These jobs are possible to recover in the future.
Remove from spooler The job is physically deleted. Action is irreversible and the job cannot be
recovered.
Note:
This option may be inhibited by the administrator
Submit for printing Submits jobs for printing again. A dialog window is displayed with a queue
selection
Table 2: Block work with jobs
After selecting all jobs for which you request a block change, choose the desired action (see Table 2).
The action is performed immediately after its selection.
Note:
A tick will be displayed only for those jobs to which some of the above mentioned options can
be applied.
The tick in the tab column headers will select all displayed jobs (see Image 8).
Displays current state of a credit account for the currently logged user.
An overview of individual operations is displayed in the lower part, it always contains the time of the
operation, amount of drown/inserted finances and the operation type.
For operations of returning and inserting a deposit the voucher number of the given
operation is also displayed. You can print this voucher by using a key with a picture of a
printer (see Image 13: Overview of credit account transactions). For operations of credit drawing you
can print the voucher only after generating the accounted services.
5 PRINTING
If you wish to print via SafeQ and thus reap all its benefits (see the preceding Chapter and a SafeQ-
Technical Specifications document) nothing very difficult must be done.
Just select the printing feature in your favourite program and in the print dialogue choose a printer
for secured printing via SafeQ. For details refer to your system administrator. You can view an
example of printing dialogue on the picture Image 14.
Terminal Professional has a touchscreen which continuously displays information that SafeQ can give
in the given moment.
The touchscreen is used for communication with the terminal. If, for example, the terminal asks you
to enter the PIN code, a numerical keyboard will be diplayed where you enter the PIN code.
The optional equipment of the SafeQ Professional terminal can be a touch or touchless card reader.
If you use cards or similar equipment for identification, pay special attention to the sections devoted
to card authorization.

The touchscreen is constructed for easy control by touch of fingers, e.g. of a indexfinger.
The touchscreen generally reacts on touch, i.e. it is possible to operate it also by so called Styluse – a
special pen for operating touchscreens.
Warning:
NEVER TOUCH THE SCREEN WITH SHARP OBJECTS: THIS MAY RESULT IN DAMAGE. THE
TOUCHSCREEN IS ALSO SENSITIVE TO BUMPS.
The terminal is automatically set with a default language; this language can be changed by clicking on
a key in the lower left corner of the screen.
For further working with the terminal the user has to authorize with a card or a PIN code. For more
information see the Chapter 6.5
When working with the terminal, screens indicating information, warning or error may appear. The
screens are either passive or active.
The passive screens indicate the ongoing state, in the lower part of the display there is a symbol of a
hourglass with the text Please wait, the user cannot influence progress in any way (e.g. during
communication with a server).
The active screens indicate a ready state and in the lower part of the display there is a symbol of a
hand with the text Click here to continue, after reading the information, the user can close the screen
by clicking anywhere on the display, applying the card or he/she can wait until the screen closes
automatically (approximately 20 sec).
NOTE:
According to the terminal setting the user can be authorized by a card, a PIN code or by optional
combination of these options. For more information see next chapters.
For PIN authorization a screen to enter the PIN is displayed (Image 17: Enter PIN).
User enters his/her PIN varying between 2 and 8 numbers and presses OK; afterwards the terminal
will perform the authorization on the SafeQ server.
If the entered PIN is correct, a screen with the main menu will be displayed.
The number of entered characters is indicated in the lower right corner by a * symbol. You can delete
the entered characters by pressing the C key.
NOTE:
This type of authorization is recommended because of security only for locations with small
number of users.
NOTE:
The authorization can take several seconds, depending on the speed and the server load.
For card authorization an initial screen is to be displayed on the terminal (Image 16: Initial screen).
The user applies his/her card to the Terminal at the place where the text Here apply the identification
cardis marked, scanning the card is confirmed by an audible signal, afterwards the terminal performs
the authorization on the SafeQ server.
If a user's card is applied with the proper rights for using SafeQ, the main menu screeen will be
displayed (see Chapter 6.6).
NOTE:
The authorization can take several seconds, depending on the speed and the server load.
For card or PIN authorization, an initial screen with a PIN key must be displayed on the terminal (see
Image 18: Initial screen for PIN entering).
In this mode the terminal acts in the same way as in the case of card authorization. The only
difference is that the user can select card authorization by pressing the PIN key and afterwards log in
by entering the PIN code.
At first, the authorization is performed by a card, afterwards the user must enter the PIN code
After successful log in Main menu will be displayed on the Terminal, which includes four keys (icons)
and a status bar with the name of the logged user, possibly with information about his/her credit
(the scheme depends on the SafeQ server settings).
If the user has a right only to copy or if the machine does not support printing, a dialoque for copying
will be directly displayed after the authorization.

In case the SafeQ Scan Management service is not activated and the user has the right to copy and
scan, a Copy/Scan dialoque will be displayed after authorization.

Will print all jobs in the queue
2. Copying
Allows the user to copy. This key is not displayed if the user does not have the right to copy,
or if copying is not supported by the facility.
Copying/Scanning
Allows the user to copy as well as to scan. A scan can save in the PDF or TIF format or it can
be also scanned into an e-mail or into a specific folder. This key is not displayed if the user
does not have the right to copy/scan, or if these functions are not supported by the facility.
3. Job list
Depending on the terminal, after pressing the button the terminal either displays the next
menu with the possibility of selecting the job list type, or the job list itself.
4. End
Logs out the user and the terminal displays the initial screen. The log out is performed also if
the user reads his/her card again or if he/she does not touch the screen for a long time (ca.
30 seconds.).
NOTE:
You can change the main menu language and the dialogue language on the initial screen before
you authorize yourself.
Immedieately after pressing the Print key in the main menu the jobs queuing in the SafeQ server
queue will be sent to the printer. Sending and printing progress is displayed on the terminal screen
(Image 21: Printing in progress).
In the upper part of the screen you can see the jobs that are currently being printed from the total
number of jobs to be printed with the job's name on the next line.
The upper indicator shows the amount of data which has already been sent to the printer or MFP.
The data relate to the current job. The speed and progress of sending the data depend on the server
speed and load, the size of the job and the size of the printer memory.
The lower indicator shows the number of already printed pages of the job which is currently being
printed. Depending on the SafeQ server settings and technical features of the printer or the
multifunctional copier this indicator need not be displayed.
After completing the printing an informative dialogue is displayed with data about the printing
process with information about the total number of printed jobs, pages and, depending on the SafeQ
server setting, also about the price for the printing. At the end the terminal automatically logs the
user out and changes into a stand-by mode.
NOTE:
If there is a problem during printing, e.g. if there is no paper, the SafeQ server will automatically
stop sending the data to the printer and waits untill the paper is supplied.
The Terminal supports several types of job lists. Accessibility of individual types of the job lists
depends on the Terminal setting.
Job lists:
1. Job queue
After pressing the Job list key in the terminal main menu a list of all unprinted jobs is
displayed (Image 22: Job list), the user has stored in a queue. Also the job's name, submitting
into a specific queue and the number of pages will be displayed.
• By clicking on the lines you will tag the jobs to be printed. Job selection is indicated by
colouring the whole line white.
• By clicking on the recycle bin icon the job to be removed will be marked. Removal of the
job will be performed after confirming it by the Back key or by the Print key, since then
you can return the jobs into the queue by a double-click on the Recycle bin icon.
• If there are more than 4 jobs in the list, arrows will be displayed in the lower part of the
screen, which will help you to browse within the pages with the job list.
• By selecting the Back icon you will return into the terminal main menu, possibly the jobs
marked by the recycle bin icon will be deleted.
• If you select the Print icon, the selected jobs will be submitted for printing.
3. Favourite queue
After clicking on the Job list icon in the main menu the job list menu will be displayed (Image
23: Job list menu).
After clicking on any icon except theBack icon the job list will be displayed in the same way
as in Article 1, the difference being in the content:
• Favourite: only favourite jobs, you select these jobs on the SafeQ server
NOTE:
In the job list the number of selected jobs is stated in the brackets next to the print icon.
NOTE:
The time, for which the already printed out jobs will be available depends on the SafeQ server
settings. For more information refer to the system administrator.
6.8 COPYING
After the printing dialogue is displayed (Image 24: Copying dialogue) the control board of the copier
or the multifunctional copier is blocked out.
You can end copying by pressing the End key, by applying the indentification card or because of the
expiration of time limit. The limit is set on the SafeQ server and it can vary for different user groups;
by default the limit is set to 90 seconds.
During copying the number of performed copies, possibly the remaining credit of the user.
After you finish copying an information dialogue with data about the total number of copied pages
and possibly also the price for the printing is displayed. Afterwards the user is automatically logged
out and the terminal changes into a stand-by mode.
NOTE:
Copying may not be available at all facilities, and it may not be available for all users.
7 CONCLUSION
