About This Material

This document has been prepared by XYZ in response to COMPANY’s


requirement for conducting an Employee survey for the South East Asia
Region, using their Employee survey methodology.
The Survey Content, Process and Fee

XYZ has developed a standard Employee questionnaire and survey process for to measure and
report the level of employee and the strength of each engagement driver.

The Standard Questionnaire


The COMPANY standard questionnaire has up to 91 questions measuring employee
commitment. All questions and reports are in English. The questionnaire is in paper, as well as
online form.

Provision of customization at local country level is provided. COMPANY can add certain
questions at country level, if the standard questionnaire does not fully meet their needs.

The Survey Process


The survey process includes these steps:

1. Survey Planning and Design. The inputs towards following aspects will be provided by
COMPANY regional team to XYZ team:

• Any additional questions to be added to the standard questionnaire


• Finalized demographic section of the questionnaire
• Employee database (email addresses for those countries where survey will be
administered online).

2. Administration. Once the survey has been finalized, translated and reviewed (wherever
required) XYZ will program the survey web site for online administration. Wherever survey
is taken in hard copy, XYZ will send across the finalized soft copy to COMPANY local
offices within South East Asia, who in turn will manage the printing and distribution of the
survey copies to employees. Employees are typically given a week to complete and return the
questionnaire. Hard copy survey responses will be collated and sent by COMPANY local
offices directly to XYZ’s centralized data processing centre in India.

Alternatively, COMPANY local offices can send the collated survey responses to the
designated consultants in the local XYZ offices in their respective countries.

3. Data Processing. As surveys are returned, XYZ will consolidate the data collected from
various sources (paper or online version), clean, validate and analyse the data to tabulate the
results.

4. Analysis. XYZ consultants will review the compiled data, analyze the results, and write a
report of findings and recommendations.

5. Report Presentation. On completing the report of findings, XYZ consultants will schedule a
meeting to present and review the results with COMPANY’s regional team. There will be 4
reports for South East Asia, comprising the following countries:
• Malaysia
• Hong Kong
• Philippines
• Thailand

In addition, there will be 1 Directors’ survey report for South East Asia region.

We have estimated one presentation session to the COMPANY South East Asia Regional
team as part of the current scope.

6. Presentation and Action Planning (Optional). XYZ can present the survey findings to
Company management at local country level and facilitate the action planning process as
well, at an additional cost.

Survey Report
The basic survey services include a written report with these sections:

• Background and methodology;


• Executive summary;
• Question-by-question detail;
• Recommendations for next steps;
• Comparisons to XYZ’s database;
• Detailed score cards by various demographic cuts defined as part of the survey planning
process
• Appendix information, including definitions and guidance on how to read charts; and
• Participant profile.
Number of Reports
We have estimated a total of 4 country reports and 1 Directors’ report as described in the section
‘Survey Report’ on page 2.

XYZ will charge for out of station travel and other related expenses, if required as part of the
survey process. We will pass through these expenses without mark up.
