PROPOSED LEAVE POLICY

Objective

 To provide an opportunity to the Individuals to re – energize


themselves and to take care of unexpected exigency and illness.

 Privileged Leaves Employees are eligible for paid personal days .


Personal days may be used at the employee’s discretion for
religious holidays and personal matters. Personal days not used
by the end of the year will be paid out to the employee in the
final paycheck.

 Sick Days Sick days are provided for illness of the employee,
their spouse or children. Employees should use their personal
days or vacation day’s non-illness related time off. All full-time
employees will receive sick days.

 Casual Leave: Casual leaves are provided to the employees for


any personal work or any contingency. All full-time employees
will receive sick days.

Eligibility

 The annual cycle for the purpose of leave will be the Calendar
year (Jan to Dec)
 The following types of leave are applicable to the Individuals:
 Privilege Leave – 15 days for every completed year of service.
 Sick Leave – 7 days per financial year
 Casual Leave – 7 days per financial year
 Transfer leave – 3 days
 Maternity / Adoption Leave – 12 weeks

Norms

 Sanction/ Approval of leave is at the discretion of the HOD


 Individual must apply for leave on the prescribed (leave
application form) and obtain approval from department head.
 Unauthorized or Unsanctioned leave will be treated as “absence”
/ “Leave without Pay”.
 In case of absence due to sickness, the individual should inform
their department head.
 In case of leave exceeding over 10 days, Corporate HR should be
informed.
 In case an individual is absent without any information/
abandoned the work till 7 days the HR will send a written
communication by Regd AD to the concerned to report or
forward valid reasons.
 Absence of any intimation from employees end even after 7 days
of sending of the notice would be treated as a case of
disassociation.

Exceptions

 Leave in excess of entitlement would only be granted by the MD


PRIVILEGE LEAVE

Entitlement

 15 days per completed year (Jan – Dec) of service pro-rata basis,


to be credited only on 1st Jan of the subsequent year.

Norms

 Holidays and weekly off may be prefixed or suffixed.

 The minimum unit of availing PL would be 3 days and maximum


30 days. In excess of this the Leave will be sanctioned by HR/MD.
The PL can be granted only 3 times in a year.

 PL of more than 5 days must have a prior approval from the HOD
with a minimum notice of 7 days.

 Holidays and weekly off falling during the period of leave will be
counted as leave.

 Individuals will be entitled to carry forward PL upto 180 days as


on 1st Jan for each year

 PL account beyond 180 days shall lapse. That is once the ceiling
of 180 days is reached, no further leave is credited to the
account of the Individual during the entire year.

 No PL will be allowed during the Notice Period required in case of


resignation.

 This leave can be en cashed up to 180 days only at the time of


full and final settlement.

Procedure & Responsibility

 Application for leave will be made on the leave application form


available at the Front Office. The HOD will approve the leave on
the Application Form itself.
SICK LEAVE

Entitlement

 7 Days per completed year (Jan – Dec) of service except the ones
covered under ESI
 Any individual who joins during the year, SL will be credited on
pro rata basis at the time of joining.

Norms

 Sick Leave cannot be taken for more than 2 days at a stretch


unless supported by a Medical Certificate.

 Sick Leave in excess of entitlement will offset against the PL


balance.(with prior approval of the MD)

 Incase leave for sickness is required even beyond the SL & PL


entitlement then the individual is eligible of being on leave for
the next 30 days on ½ pay (supported by documentary proof).
The MD will approve the above.

 Individuals will be entitled to carry forward SL up to 30 days as


on 1st Jan for each year

 SL account beyond 30 days shall lapse. That is once the ceiling is


reached, no further leave is credited to the account of the
Individual during the entire year.

 Cannot be prefixed or suffixed with PL or CL.

Procedure & Responsibility

 Leave has to be applied on the Leave Application Format with


approval at least 24 hrs prior if possible.
CASUAL LEAVE

Entitlement

 7 Days per completed year (Jan – Dec) of service.

 Any individual who joins during the year, SL will be credited on


pro rata basis at the time of joining.

Norms

 Can be Prefixed or Suffixed with a weekly off. But not with a PL or


a SL

 CL cannot be carried forward

 An individual will not be granted more then 2 CL at a stretch

 An individual will be marked a ½ day casual incase he or she


reaches late to the office as per the reporting time.

Procedure & Responsibility

 The individual must take the CL on the prescribed Application


Form. This leave must be taken only in dire case or Urgency
TRANSFER LEAVE

Eligibility

 Individuals who are being transferred from one location to


another on a different or similar job assignment.

 A maximum of 3 days can be availed.

Norms

 It has to be availed at one stretch


 It can be availed within three months of transfer to the new
location otherwise it will lapse
 It can neither be accumulated nor carried forward
 Travel time from point to point is not a part of this leave.

Procedure & Responsibility

 Leave has to be applied on the application form and duly


approved by the HOD with clear instructions whether its Pre or
Post Transfer.
 The date of joining at the new location will be clearly mentioned
in the Transfer Letter

Exception

 This leave is not applicable on Deputation & short Period transfer
