I. LIBRARY MANAGEMENT SYSTEM

A) OVERVIEW

Library Management System is also known as an Automated Library System is


software that has been developed to handle basic housekeeping functions in the
library. It keeps the track of how many books were issued, returned, and added to
update the situation in the library. It helps to provide information on any book present in
library to the users as well as the staff member.

B) OBJECTIVES AND PURPOSES

OBJECTIVES
At the end of the day, the librarian is expected to:
1. reduce the paper works in the library,
2. record every transaction in computerized system so that problem such as
record file missing won’t be happen,
3. save the outlay of time, and
4. calculating/managing fines from the computer

OUTCOME
These are the reasons of the librarian to:
1. make the existing system more efficient,
2. provide a friendly user environment where user can be serviced better,
3. minimize the loss done to books,
4. make functioning the library, and
5. provides a system where the library staff can catch defaulters and not let
them escape.

C) LIBRARY POLICY AND FINES

POLICY
A Time and Place in the Library
1. There are more than 1000 electronic books and 100 Google apps in the
computer. Students can search the computer.
2. Digital scanning, printing, and delivering of school publication articles to the
classroom for the information of school activities or updates.
3. The reference services are available within the librarian’s convenience of time.
4. There are thousands of separate log-in sessions.
5. The opening time of the library is on 6:30 to 7:30 in the morning, 12:00 to 12:20 in
the midday, 3:00 to 5:10 in the afternoon for finding topics and reading.
6. Library cards are available to the students after the registration in the school
enrolment. The library cards are already encoded in the computer.
Physical Facilities and its Annual Use
1. The library instructions will be held in the library with the class librarian in every
section after the advisers have chosen the class librarian.
2. The librarian’s orientation to the new teachers must be registered in the
computer about the books with the Certificate of Appearance (CA).
3. The textbooks or other reference of books can be borrowed in the general
section for the students.
4. The log-in registrations are separated for the students in the Junior High and
Senior High School.

Teaching, Learning, and Research


1. There are 30 subjects or learning area support faculty and students research.
2. The librarian encourages student engagement and active learning classrooms.
3. The subject teacher is responsible to distribute the books to the students since the
librarian is a part-time because of the librarian’s convenience of time.

FINES
The librarian imposes fines to inform and discipline the students about the due date
of book/s, the teacher who have their own policies, and help the librarian’s finances.
1. Fines are imposed to those students who will not be able to return their books on
time in the given due date and teachers who will not follow the librarian’s policy
or make their own decision.
2. Students will pay the fines for those who did not return the books in its place.
(See the attached Financial Statement for the monthly support)

D) LIBRARY USERS AND REQUIREMENTS

The librarian emphasizes the types of user and requirements as part of the library
management system. There are types of user:
(a) Borrower’s Side or Subject Teacher’s Side, the borrower will ask the librarian to
check the availability of the books that will be written in the Borrowers’ List of Books or
Subject Teachers Borrowers’ List at the end of the School Year 2017-2018 K-12 Book Issue
and Return;
(b) Managerial Side, borrowers must log-in upon the arrival in the User’s Logbook
in the computer as the librarian will always remind the library user or borrowers to log-in
and out inside the library; Entry Book Details that would be based on the Inventory of
Books for the actual quantity encoded by the librarian and Actual Classroom Physical
Property for the actual quantity upon delivery encoded by the Property Custodian;
Book Issue reflected in the Borrowers’ List of Books and Book Issue and Return Report.

A library also needs requirements such as the following:


(A) Functional Requirement which are as follows:
o Book Entry, the books will be given a calling and accession number listed in
the inventory of books
o Register Student, it is just counted as one of the learners who are included in
the Books Situational Report/Inventory of Textbooks;
o Book Issue, after the librarian distributes the books to the subject teacher
which would be written in Subject Teachers Borrowers’ Record;
o Book return, after receiving the actual quantity at the end of the school year
(B) User Obligation Requirement which are as follows:
o Student record stores information about his/her name, address, section and
grade level with purpose in attending the library;
o Book record stores information about book title, grade level, call and
accession numbers;
o Teacher record stores information about name, designation, department,
number of books needed to distribute, due date, date returned, and
signature

(e) Risks or Non-Functional Requirements


1. Safety Requirements
The database may get crashed at any time due to virus or operating failure.
Therefore, it is required to take the database backup.
2. Security Requirements
There should always a secured database for the school. It depends on the
category of user are decided.
3. Hardware Constraints
The system requires a database in order to store the data. The database should
have a backup capability (Local Disk D) or 1 TB of flash drive.
E) PROCEDURE

TASKS OF THE LIBRARIAN


1. The librarian will make a suggestion to the principal about the books. If the principal will
affirm the librarian’s decision or idea, he/she set-up his/her decision as the principal
affirm his/her decision. The librarian will have to prepare a confirmation paper to the
principal with the date in which she/he will need it if some will disagree in times if the
principal is not around.

2. The librarian’s work will start on the third week in the month of May. She/he will do the
following:
Add the new member, update or delete the member of the class librarians,
Add the book, update or delete the book in the library,
Search for a book, check in and out book,
Search for a member, and
View book detail and member.
She/he will orient the students about the activities on the first flag ceremony at the
beginning of the whole year class.

3. The librarian will distribute the books to the subject teachers. The subject teacher must
cooperate with the librarian because he/she can’t fully complete his/her duty for
she/he also teaches the students. She/he will distribute the books if they will have to
give an activity or tasks to the students and collect the books after the given activity or
tasks.

4. The supply officer will talk to the librarian or the librarian will talk to the supply officer
about the accountability and quantity of books.

5. The librarian will talk to the advisers to include the class librarian as officer and advisers
will provide an agreement signed by the parents for the students on the following
subjects with the cooperation of subject teacher. The class librarian will have to assist
the adviser in their section. His/her function is to write the actual quantity of the books in
mini-library.

6. The students can borrow the textbooks as reference books, except the K-12 books. The
ID is the only requirement for the students to borrow the books.

7. The SBM Coordinator will pass the JHS Schedule of Subject teachers to the librarian or
the librarian will talk about the number of enrollees for SHS students.

8. The school paper adviser will pass their piece of writing to the librarian to display in the
periodical stands and deliver the article in the classrooms for the advisers and students’
information.

9. The librarian will pass the checklist to the registrar for those students who have returned
the books with the list of the students who did not returned the books in the library
before the school year will end.

10. The librarian has a connection with the local librarians for the updates of books or other
resources and meetings.
F) LIAISON

The cooperation will be reflected on the tasks of the librarian. The organizational
structure is a connection of librarian to get in touch with the others. The librarian must
prepare a format in a document to ask and encode the business number of the co-
teacher.

II. LIBRARY INTERIOR AND TECHNOLOGY PLAN

A) CLASSIFICATION

The classifications of books are separated by section with a specific learning and
focusing area.

B) SECTION

The sections were globally known on the libraries of Universities in the Western
part of Europe.
The section is a collection which divided into six parts such as General Circulation
Section, Reserve Section, Reference Section, Periodical Section, Audio-Visual Collection
Section, and Filipiniana Section.
The DLMNHS Library has only four sections. These are the following:
The general circulation is a section where the subject teachers and students can
borrow the K-12 books; the reference section is a collection of books where they can
find an important or another source of information; the reserve section is a set of books
where only teachers can borrow the Teacher’s Guide, Curriculum Guide, Manuals,
textbooks, and other sources for the teacher; while the periodical section is a collection
of journals, newspapers, and magazines where students and teachers can be able to
read but are not allowed to borrow the periodicals, except if the subject teacher is
require them to do their agreement.

It is a prepared structure of the floor in the library for a healthy environment of

III. LIBRARY DATA BASE FORMAT
The following formats are encoded in the computer. If the student or teacher will
have to borrow book or books, the librarian will have to encode the borrower’s card
and due date slip in the MS Visual Basic or Access on a separate section and grade
level.

V. LIBRARY REPORTS

The reports shall be provided by the librarian at the end of the school year. The
reports are the following:

A) Inventory of K-12 Books


It is the list of numbers of books with the title in every grade level of JHS and SHS
Department.

B) Books Issue and Return


It is an issue of books returned from the students to the subject teacher. Then, the
subject teacher will return the books to the librarian.

C) Narrative or Completion Report


It is a report of the librarian for the whole year.

D) Donation and Financial Statement


It is an annual financial statement generated by the librarian.

II. RATIONALE AND BACKGROUND

vegetables available in the community, and
3. to convince every parent to participate in garden activity.

VI. METHODOLOGY
1. GPP Coordinator has encouraged everyone to help the said event particularly students and
advisers.
2. GPP Coordinator had made an organizational chart with the cooperation of advisory and
non-advisory class teachers.
3. There will be cultural practices of seedling production, seedling distribution to the
community as well as monthly or weekly checking of vegetables. It depends on the variety
of seeds per kilogram that can be harvested.
4. Composting, Vermiculture, NFTS, and Insect Repellant should be utilized.
5. Production and financial records or Garden Sales are intact for the garden or farm protocol.
6. The assistant GPP Coordinator has facilitated the Feeding Program as well as provided the
Master listing of feeding beneficiaries and Record of Nutritional Status (before and after the
feeding).
7. GPP Coordinator directs the Documentation committee and Classification of Vegetables
committee to make MOVs and tarp the signage of Vegetables Classification, Community
Involvement and Seed Retrieval committee, manage the Crop Museum, Green House, and
Garden /Farm House.
VII. POST-ACTIVITIES
There will be a continuation of class garden record and sales, school garden and sales,
community involvement as well as feeding program.
