Qualitative Study Report:

Data collected through In-depth interview were handled with utmost care and
with ethical standard of confidentiality.

Data Storage:
 All the qualitative interviews were done using portable digital audio recorders
and on a daily basis, the audio files were transferred from the audio recorder
to the laptop of the Supervisor.
 The audio files were saved in the folder named as
‘Audio_Recording_DFS_UP_Mid-Evaluation’. Then a copy of the audio files was
also saved in another folder named as ‘Audio_Recording_DFS_UP_Mid-
Evaluation’ Backup’ in an external hard disk for back up.
 After labeling the audio files, the files were disaggregated and copied to 4 new
subfolders created as per the type of study participants on a daily basis. The
audio file of the caregiver’s interview was copied to a folder named as
‘Audio_Recording_DFS_UP_Mid-Evaluation’_Caregiver’

 The supervisor would upload all the sub-folders to drop-box on daily basis for
the reference of GAIN.

De-briefing Session:
 Every day after the interview, all moderators, note-takers, supervisor and staff
from GAIN were sat together and discussed about each interview and Dr.
Shruti make short notes for each responses.
 Everyone put their observation in that session and we also discussed that how
to be improved or ask more in-depth question on next day.

Preparation of field Notes:


 Each interview was taken by one moderator and 1 note-taker. During
the interview the note-taker took short notes of the interview.
 After labeling of the audio-files was completed, the audio files were
given to the interviewers and note-takers to finalize their interview
notes. They listened to the audio files and finalized the transcription.
 The supervisor also listened to the audio files for quality checking of the
field notes. In case of discrepancies found in the field notes, she
informed the interviewer and note taker for rechecking and making the
necessary corrections.

Translation of Field Notes:


 All the audio files are sent to Bhubaneswar and translated into English.
Then after translation the files were labeled in the same name of the Audio
files.
 Like the audio files stored by type of participants, the English translation
also uploaded in different folder.
 The quality assurance supervisors checked all the translated files and
matched the same with the hard copies of the field notes and audio
recordings. The accuracy of words and spellings in the translation were
checked. The discrepancies in the translation were identified and corrected
before sharing with the GAIN team.

Quantitative study Report:


Route Plan:
Prior to the data collection, route plan for the quantitative data collection was
prepared .Initially data collection in four districts was started. Faizabad district
was started after 3 days. There were ten teams allotted in all 5 districts and 2
teams worked in 1 district. Each team comprised of 1 supervisor and 3
investigators and one Coordinator was with them for quality assurance during the
data collection. The route plan prepared by the teams included the logistic and
travel plan.
Processes Adopted for Data Collection
The data collection was started immediately after the training was over. In order
to bring uniform understanding on the study instruments and ensure effective
management, it was purposefully decided to start the data collection by the study
team operating from district headquarters. Each sub-team was provided a
separate vehicle for the data collection. Every day, the data collection team used
to leave for the fieldwork by 8 am and return back from the field maximum by 7
pm. The following key processes were followed for the quantitative data
collection and its monitoring & supervision;

 After reaching the village, the Field Supervisor first met the village stake
holders and asked them about village boundaries. Then they made the map
of the village with the help of village stakeholders.
 Then the supervisor divided whole village into 4 segments and identifies
the location of households and then allots the household to the pair of
enumerators for the interview.
 Coordinator starts with spot-checking of the interview conducted by the
first pair of enumerators and then does the spot-checking of the interviews
conducted by the other pair of enumerators. The observations of spot-
checking are shared to the enumerators immediately after the interview is
over.
 The Field Supervisor during the course of interviews by the enumerators
identifies the location of other respondents and takes pre-appointment for
the interviews.
 After returning from the field, the Field Supervisor and coordinators sits
with all the enumerators and does through the scrutiny of the
questionnaires.
 GAIN team also reviewed the quality and progress in data collection of each
sub-team separately on weekly basis over the telephonic discussion and
ensured that the quality protocols are followed throughout the data
collection.
 During these review meetings, the challenges and difficulties faced by the
teams including the doubts in the questionnaire were discussed and
addressed. The findings of the spot and back checking are done by the
coordinator were also shared to concerned enumerators during these
review meetings. The enumerators were asked to not repeat any errors in
data collection.

Ethical Protocol during Data Collection


Irrespective of quantitative interviews, all the interviews with the study
participants were done after obtaining written free informed consent from the
study participants. Prior appointments were taken for the interviews. The study
did not provide any cash compensation or any kind of gift, which was explained to
the participants during the informed consent process.

Quality Assurance of Data Collection


Throughout the fieldwork, the coordinators were responsible for spot-checking
and back checking of the interviews. As mentioned earlier, each coordinator used
to do at least 2 spot-checking and 2 back checking of the interviews in a day. The
coordinator through either back checking or spot-checking checked more than 50
percent of the household interviews.

The findings of the spot and back checking were shared to the concerned
enumerators in the field itself to ensure that the mistakes are not committed to
data collection. The spot check and back check done by the coordinators helped
to minimize the errors by less than 5 percent.
