CHAPTER 1

INTRODUCTION AND ITS BACKGROUND

1.1 Introduction

Do you know what software is? We'll give you some idea on

what it is and how it functions. Software is a program that

enables a computer to perform a specific task, as opposed to the

physical components of the system (hardware).

This includes application software such as a word

processor, which enables a user to perform a task, and system

software such as an operating system, which enables other

software to run properly, by interfacing with hardware and with

other software. Since manual inventory consumes a lot of time

and is prone to errors, it would be helpful to build a system

that will be computerizing the transaction from acquisition of

the product description to updating the inventory database.

We are all familiar in Pet shop or pet grooming. As a

business owner you are responsible to keep their pets clean, to

provide their needs and to care and to love them. And also as a

business owner you are responsible to handle your business to

make it presentable and eye-catching.

This kind of business can help to the pet owner. And base

on my observation their use manual system, so as a computer

science student, we want them to help their work easily, because

when they use their manual system it takes so long to find the

record of the costumer. So probably some of your costumer will

not disappoint. As a computer science student, we want to help

the society and give them knowledge or some idea about our new

technology. Also we want to make their lives easily. We can use

our technology in a good way were the pet owners can easily find

the records of the costumers. By using this kind of system, they

can work easier than before. We are probably enjoying this kind

of study if we can help to others.

1.2 Background of the Study

Today, most aspects of veterinary medicine are geared

toward preventative care. We believe proactive preventative care

not only will improve the quality of your pet’s life but will

1.3 Statement of the Problem

This study aimed to make Sales, Inventory System, Stocks

and Records. The study was also intended to answer the following

questions:

1. What problems you’ve encountered using manual process of

transaction?

2. What kind of problem or process you are currently using?

3. When did you establish your pet grooming?

4. What kind of pets are you competitive with?

5. Do you think that the proposed system will help you to

overcome difficulties in your business?

1. How many customers do you accept every day?

2. How the proposed systems maintain the needs of the company

in terms of recording and maintaining?

3. How the proposed system satisfies the needs of the company

in terms of information and data

4. How does your company monitor the inventory and sales?

5. What should be the difference of manual process instead of

using a computerized system? How both processes help your

business?

1.4 Assumptions

The proposed system entitled “Skylhier Vet and Shop” can be

used by the company in keeping records and monitoring their

stocks. By using this system, it’ll lessen their times by just

typing the information needed.

1.5 Objectives of the Study

General

Our main Goal or Objective in this thesis is to help

veterinarian in their business by creating software that will

make animal medical treatment easier and more efficient. In a

way that the animals or pets safety will not be compromise. We

want to make sure that our system will have a user friendly

interface to make it more understandable for the veterinarians.

The purpose of this thesis to ensure the safety of pets and

satisfaction of the veterinarian and customers in the results of

the software that we made solely for the purpose of Pet Grooming

and Veterinarian. We want veterinarians and customers to trust

us that our software is safe to use and will efficiently execute

the work properly. We also want to have accurate results for the

sake of our user’s satisfaction. In addition this, aside from

simplifying the current process that vet clinic has. Our system

also aims to monitor the inventory of the medicines and

equipment that they use to treat animals. Having a user friendly

UI in our system will allow user or veterinarians to have more

efficiency in their work treating animals or pets.

Specific

The software or system we developed was titled

“Skylhier Vet and Shop” As we remember the time we working at

it, there are certain objectives in doing it and these are:

1. Create a database to be used to stored stocks and customers

records.

2. To meet the expectation and to satisfy our client it’s

either a person or a company.

3. It must be user – friendly when it comes to user interface

(UI) and easy to use.

1.6 Scope and limitations

Scope

The scope of this system is, less hassle to bring some

paper works and records of the customers putting in your bag to

monitor your business. And you can control your cost. Also this

system is a user friendly. We have have inventory, sales and

stock.

Limitation

The limitation of this system is we don’t have Employee

system and also you cannot compute your sales for a day, and

this system is for the record of the customers.

1.7 Significance of the Study

The result of the study will beneficial to the following:

that deal with their system. This study will help the company to

make their job easy.

1.8 Definition Term

The researchers defined some words that may encounter in

the research study.

Admin. A person responsible for running technically

advanced information system.

Database. A systematized collection of data that can be

accessed immediately and manipulated by a data-processing system

for specific purposes.

Software. A general term for the various kinds of programs

used to operate computers related devices.

activities taking place in a project or a programmer.

Hygiene. A conditions or practices conducive to maintaining

health and preventing disease, especially through cleanliness.

Records. Set down in writing or some other permanent from

for later reference, especially officially.

Sales. A sale is the exchange of a commodity or money as

the price of a good or service.

Veterinarian. A person qualified to treat diseased or

injured animals.

User Friendly. A user-friendly interface is not overly

complex, but instead is straightforward, providing quick access

to common features or commands.

Function

A sales and inventory monitoring system collects data to

aid in production scheduling. For example, some systems use

recent sales data to forecast how many of a type of product will

be needed to meet consumer demand in the near future. This

includes monitoring the levels of a product at all locations.

A good example is a global company with customers all over

the world. The customer may live in Japan, but the system must

see if the warehouse in Canada has a product available to ship

to Japan.

How it Works

The system compares current inventory levels of a product

and the number scheduled for production with the number needed,

and determines if the level of production must be changed. If

necessary, the system sends a message to the master production

schedule to increase production. Also, the inventory monitoring

system slows down production when a product's retail sales

levels don't meet the sales forecast and the company

overproduces the product.

performance of their sales staff because each salesperson is

different and they work in varied methods. Because a sale

involves customers, there are other factors impacting sales, as

well. Customers and their needs are different, business

important components to track to determine sales success? The

factors can be tangible and intangible. When examining the

tangible side of the sales ledger you need to consider methods

for targeting, frequency of contact, message and presentation,

and communications. Some intangible factors that can be

difficult to quantify are the salesperson's ability to build

relationships and "connect" with customers, and whether or not

there is a clear purpose of the call or meeting. The reason for

contact can be to help the customer, or sometimes it is to help

the salesperson's quota.

Effective results from measuring the performance of each

salesperson should have a purpose: to help them be more

profitable to your company. When this occurs they have more

worth through additional pay and incentives, and they receive a

value, and that is a good feeling about doing a great job. There

are three steps in bringing about the improvement of an employee

when a problem is identified: measuring, correcting with

training, and planning to make the change permanent.

Measuring the Performance

The ability to measure performance depends on the use of

success-based criteria as a model to compare daily, weekly and

monthly numbers. Here are some of the criteria that Sales

Creators uses when designing a monitoring system for their

customers:

1. Time spent selling, time spent in administration, time

prospecting

2. Number of calls made on existing accounts

3. Number of calls made to new customers, and number of new

customers

4. Promptness in submitting reports and sales orders and

accuracy of reports

5. Volume of sales, number, size, product mix and repeat

account

6. Accuracy in quoting prices and delivery information with

approved margins to customer

7. Method of call backs set up with the customer.

8. Cost of customer to company.

Measuring must start with standards that are compiled from the

averages of all employees who are doing the same task. Then

review the progress for the last 12 months and determine how

itcompares to the budget compliance standards. If the

performance levels do not meet the basic standards set by the

company, or if their performance falls more than 10 percent from

last year's numbers then it is time to move into a corrective

step of action.

Training and Process for Correction

This is a positive step for improvement and it starts with

management reevaluating the sales and marketing systems. Is

there a need to increase promotional campaigns, change or add

prospecting methods, establish tighter controls with price

variances, or get input to problems from the sales staff?

Management's first duty means time spent working on fixing the

systems; then it is time to provide help for the salesperson.

They should have daily direction and support, be provided with

proper coaching by role-playing on specific areas of weakness

found in the 'measuring performance' section. Make mentoring

time available with best salesperson and the salesperson that

needs help and have them observe and listen to their instructor.

Daily progress must be recognized and acknowledged until the

problem is resolved by noticeable improvement in a given area.

Planning for a Positive Change

Once a problem has been found, management must help get it

corrected. Once it has been corrected it is time to outline an

agreement to reach the stated goals. Planning in its final form

should be in writing with the steps needed to reach the final

destination. Then the time must be allotted to put management's

system changes into effect by introducing them to the employees

at a meeting.

purpose device which can be programmed to carry out a finite set

arithmetic or local operation. Computer has a big rule in our

nation today because of our technology. Wherever you go computer

still exist, especially in business it makes the procedure easy

and secure by programming the manual system into a computerizing

system.

The rule of technology in our life today has a big impact.

Technology is the marking, modification, usage, and knowledge of

tools, machine techniques, crafts system method of organization

in order to solve a problem, achieve a goal or perform a

specific function. It can also refer to the collection of such

tools, machinery, modifications arrangements and procedures.

may occur. A small business operates most efficiently when its

processes are executed in a consistent manner. By using a

computerized inventory system, a business owner can ensures that

all orders, reports and other documents relating to inventory

are uniform in their presentation regardless of who has created

them.

and it disturb some important transaction sometimes”.

Upon hearing this, the researchers developed a system which

will help the management keep record of inventories in

or stock currently available in their store in automatic way.

large data could be avoided. Also the work of the management and

2.2.2 Related Studies

A. Foreign Studies

 Under the Korea Red Ginseng Enterprise Sales and Inventory

System, the researchers came up with a computerized sales

and inventory system. The proponents used database to easy

access of files and for easier and faster processing of the

selling and inventory transaction. The program was

designated to generate reports such as monthly reports,

 This survey-based research identifies the different

inventory models in use by multinationals operating in

Thailand. Unlike many of the newly industrialized

countries, Thailand has received relatively less attention in

the international operations management literature. This article

highlights key factors affecting the type ofinventory systems

implemented in Thailand, which can be of value to developing

countries making the transition into newly industrialized ones.

This study shows that inventory systems in Thailand are affected

by the type of production, location of the multinationals'

headquarters, demands, supply base, and the extent to which

materials were either exported or imported.

 There are three major areas why human scheduling results in

excess inventory. The first was the aforementioned

considerable amounts of paper work because of complicated

scheduling procedure.Second, the confusion on assembly

lines because of conflicting instructions from different

managers. And lastly, the process managers themselves, for

hoarding inventory to avoid missing deadlines.

B. Local Studies

According to the study of Anna Marie Beltran Distor of

Proposed Sales Monitoring System issued 1995, the accelerated

work structure of the company proper monitoring is essential in

order to keep track of the company’s sales activities. Her

system aims to come up with an efficient, and accurate

mechanized system of preparing invoices that will keep track of

the daily transaction and generate reports. Important

information will be provided by this study in order to prove

that the computerization of the company’s operation and achieve

a more reliable and efficient means of monitoring day to day

activities. Her system focuses on the analysis and design of the

sales monitoring system which will monitor the stacks inventory

of the sales departments. This system of hers is somewhat

related to our study but our system focuses more on the

inventory monitoring system of a trading company.

Popular author of Accounting, Waldo T. Passion (1990) in his

book stated that, to improve their efficiency and reduce their

cost of operation. Reports are more timely and accurate.

Computers have large capacity to store data and tremendous speed

to manipulate and recall data to the format a user wishes to use

which the introduction of microcomputer computation of business

is more affordable.

The proponents believe that every literature and every studies

stated in this research is similar on the present study. The

proponents relate and differentiate theresearch based on the

flow of their transaction from the proposed study. The

transaction and process and also the design specialization will

easy help to acquire and accommodate and communicate with the

user. The proponents get and use other research in this chapter,

in which it helps to them, because they get knowledge during

creating the systems.

CHAPTER 5

SUMMARY, CONCLUSION AND RECOMMENDATION

This chapter presents the summary of findings, the

conclusion made and the recommendation offered.

Summary

The researchers come up with ideal sales, inventory and

information system. The system has a Log-in for administrator

who will manipulate and use our system. The system interface is

simple, user friendly and understandable. In terms of function,

you can add items to your inventory and indicate the ID number

of the product, name of item, quantity and the price of the

product. You can also view, edit, delete and update the added

product in record section. We used Microsoft Access for the

database and recording of the product in our system. The system

includes also the search form that can be used in searching for

the desired product and can preview the details. In terms of

reliability, the system also provides the information in each

product like its quantity, weight, id number, price and etc.

Conclusion

Sales, Information and Inventory System software developed

for a company has been designed to achieve maximum efficiency

and reduce the time taken to handle. It is designed to replace

an existing manual record system thereby reducing time taken for

calculations and for storing data. The system uses Vb.Net as

front end and Microsoft Database as a backend for the database.

The system is strong enough to withstand regressive daily

operations under conditions where the database is maintained and

cleared over a certain time of span. The implementation of the

system in the organization will considerably reduce data entry,

time and also provide readily calculated reports.

Our proposal shares information by using an automated

sales, and information and inventory system that allows the

database administrator (handles the purchase of products and the

information for the customers) and the Database Administrator

(checks the product stocks) to distribute relevant information

about the products sales and inventory. It was mainly designed

to reduce manual work of updating and tracking of your inventory

and sales. Less time and paper to consume and more on automated

transactions. It provides flexible and powerful reports

regarding customer details, issue details and stock details.

RECOMMENDATION

Our group discussed what can be added or improvements that

can be made in our study. A detailed and comprehensive database

must be established. All information should be included in the

database. New advance technology should be utilized for the

accounts management. The staffs who are going to use the system

should know the functions of the system.

There is always a room for improvement when it comes to any

software package no matter how good and efficient it may be, but

the important thing is that the system or software should be

flexible enough for further modifications. Considering how

important it is, the system should be designed to have room for

enhancement without affecting the system presently developed. I

also recommend this system for the future researchers, maybe

this system has a lot of struggles to make it perfect, but it

will help you a lot if you have some task to in you project,

because it contains sales, information and inventory system.The

researchers recommended to the future researchers who will be

interested to develop this study to add more features like

adding a picture of every product, descriptions with every
