1. Examine the situation below. Explain why a memo should/should not be used.

1. Job application to the office of the personnel responding to an advertisement.


- In this situation, it is not necessary to used memo. Job application is done by giving a
resume rather that giving a memo.

2. Chief Executive Officer in the Personnel Department to Head of Personnel Department


with short informal report.
- In this situation, yes it is done by using a memo. Because the Chief Executive Officer
is higher than the Personnel Department so he can give a memorandum to his
subordinates regarding with short informal report.

3. Department head to his staff inviting them to his wedding.


- In this situation, it is not also necessary to used memo. Even though the Department
Head is in higher position it is not appropriate to used memo in inviting his staff to his
wedding. It is more formal and appropriate to use an invitation card for any occasion.

4. Committee Chairperson on his members calling them for an emergency meeting.


- In this situation, yes it is done using a memo. A memo can also be part of informing
other member of the company about a certain meeting.

2. Revise the following paragraph to include the first sentence and at least 4 items.

We are trying to improve our budget performance and therefore there is a need for the
company to control on expenditures. To make this possible, the following is proposed:

 that all concerned should submit a quarterly statement expenditures,


 foreign business trips should be limited to at least 2 per year depending upon the
urgency and availability of funds,
 and recycling of office material is urged.
