STRUCTURE OF THE PROPOSAL

This proposal consists of the following sections. A brief about other sections is given
below:
Section 1 – Defines the scope of the system (Technical Component) and explains the
capabilities of the proposed system.

Section 2 – Indicates the Proposed Methodology that shall be followed for the execution
of the system.
Section 3 – It contains the Price Component showing software system development
costs.
Section 4 – Defines the responsibilities.
Annexure A – It contains the functional requirements of the system.

TERMS OF REFERENCE
The terms of reference for the assignment to meet the scope would be as follows:

CONDITIONS
1. Client will provide the website contents etc.
2. During the execution of the project, we will maintain regular interactions with the
Client for ensuring user requirements satisfaction and its final delivery.
3. We will provide Maintenance Support for three (3) months free of cost.
4. The system shall not be integrated with any third party system for data input/output
5. The system would be available in English although scanned contents would remain in
the original language.
6. Any extra added in the system will cost extra.
7. Maintenance charges will be extra after discussion with client.
8. We will also provide AMC for the website after discussion.

SCHEDULE OF PAYMENT
Advance Payment - 50%
Payment on acceptance on Server - 40%
Payment on delivery of all modules - 10%

TERMS AND CONDITIONS

1. Any deviation from the proposed requirements shall be considered as new
requirement and shall be carried out as scope creep. An effort and size estimation
shall be performed by us in conjunction with client and shall be charged accordingly.
2. The cost for any third party software/hardware required for development/deployment
would be borne by client.

GENERAL
The quotation is valid for 60 days from the date of submission.

CLIENT’s RESPONSIBILITIES
 Nominate a person responsible for providing inputs regarding the system.
 Ensure availability of personnel for testing the application during “Acceptance”. Client
shall arrange for the test data/or live data for testing and parallel run.
 Ensure availability of appropriate personnel for discussion with us during various
stages of the project. Non-availability of such personnel, or delay in the availability,
shall lead to proportional delay in project completion.
 Ensure Fortnightly/weekly Management Review of the Project where top managers
from client and us shall be present to iron out problems, if any, speedily.
 Client will have to pay the accommodation, conveyance and per day wages of our
software developer team for on site training.
 Client will provide the soft copy document for the integration with the site.
