Event manager" means any person who is engaged in providing any service in relation to
event management in any manner.

Event location methodology:

An event venue may be an onsite or offsite location. The event manager is usually not
responsible for operations at rented event or entertainment venues, but will monitor all aspects
of the event on site. Some of the tasks listed in the introduction may pass to the venue, but
usually at a cost.

LIMITATIONS OF EVENT MANAGEMENT

1. Long hours– Event managers have to work for long hours until the event is over.
There are no fixed hours for working. This could one of the major drawbacks as they
work till late. A manager has to usually work for 12 to 14 hours continuously. It is
not like a 9 to 5 job, in event management the staffs have no timings but when there
are no events a fixed timing schedule maybe followed.

2. Meeting budgets– Staying within the ascertained budget is a major task to event
managers as the prices of services and goods can fluctuate. Sticking to the budget
given by the clients is a disadvantage at times. Sometimes the budget maybe be
lesser than the expenditure in this case the event management firm faces losses.

3. Stress – A recent survey shows that event management one of the most stressful
careers. Event managers have to fulfill a lot of demands in a short period of time,
which creates a magnitude of stress. They have to deal with a lot of pressure from

Corporate events are formal events launched by companies for various reasons such as

BRAND EVENTS
Brand events include marketing and promotion of the brand. It is organized to enhance the

Hybrid events are a combination of two events together. It may also be termed as a

A media event, also known as a pseudo-event, is an event or activity conducted for the
purpose of media publicity. It may also include any event that is covered in the mass media
or was hosted largely with the media in mind. Media events may centre on a news
announcement, an anniversary, a news conference, or planned events like speeches or
demonstrations. Instead of paying for advertising time, a media or pseudo-event seeks to
use public relations to gain media and public attention.

The term pseudo-event was coined by the theorist and historian Daniel J. Boorstin in his
1961 book The Image: A Guide to Pseudo-events in America: ―The celebration is held,
photographs are taken, and the occasion is widely reported.‖ The term is closely related to
idea of hyper reality and thus postmodernism, although Boors tin’s coinage predates the
two ideas and related work of postmodern thinkers such as Jean Baudrillard.
A media event being a kind of planned event, it may be called inauthentic in contrast to a
spontaneous one.

Entertainment Tax in India- How it started?


In the pre-independence era, the British government levied huge taxes on events centered
on entertainment or amusement. The basic idea was that there could be a public rebellion at

time. These laws are still in effect in some states and are yet to be repealed or revised.

Contribution of Entertainment Tax in India

The states have started to generate higher incomes after the Paid Television Services began

Implementation of Entertainment Tax in India


In India the aspect of entertainment is an intrinsic part of several transactions and services -
this is done in such a way that the matter cannot be separated from the service or

Entertainment Tax in India- Collecting Authorities


In India, state governments are primarily responsible for collecting the entertainment taxes.
However, the union government can also collect these taxes on the basis of the type
oftransaction.

The basic financial principle, which separates the entertainment taxes to be collected by the
union government and ones under the jurisdiction of the state government, is mentioned in
the Article 246 of the Indian constitution. This part also highlights the entertainment taxes
that can be collected by the union governments and the states.

The article also states that in case there is a conflict between the Union Government and
the State Governments regarding an entertainment tax, the Union will have greater power
in imposing the tax.

SERVICE TAX ON EVENT MANAGEMENT SERVICES


Service tax has been imposed on Event Management services with effect from 16th
August, 2002, vide Notification .The gross amount charged to or total consideration
received from a client by an event manager in relation to event management services shall
be chargeable to servicetax.

"Event management" means any service provided in relation to planning promotion,
organizing or presentation of any arts, entertainment, business, sports, marriage or any
other event and includes any consultation provided in this regard.

The event management services would cover certain specific services in

Who is Event Manager?


Section 65(41) defines 'event manager' as under
"Event manager" means any person who is engaged in providing any service in relation to
event management in anymanner.

Following two features are clear from this definition -

(i) Event manager can be any person i.e., natural orlegal.

(ii) He must be engaged in providing services in any manner in relation to


management of anyevent.

Taxable Service
It defines taxable service to mean service provided or to be provided to any person by an
event manager in relation to event management.

The basic tests for taxability of event management service are -

(a) Service must be in relation to event management.

(b) Service must be provided by eventmanager.

Replacement of 'client' with 'any person'

Finance Act 2008 has substituted the words 'any person' for the word 'client' as the service
tax is levied on service and status of recipient of taxable service should not determine the
tax treatment of a given service.

CBEC Clarifications
Following clarifications issued by CBEC vide Letter No. F. No. B-11/1/2002 TRU dated 1-
8-2002, may be noted -

 An event manager is hired to execute an event such as product launch of any


corporate, promotional activities, concerts/rock shows, official meets, award
functions, beauty pageants, entertainment events, exhibitions, private functions and
sports events etc. Event manager uses his expertise and ideas to manage an event.
Event manager is supposed to manage a venue, sets including decoration of sets,
man dap, chair, table barricades, sound, light video, electrical, security
communications, invitations to the event/sale of tickets and publicity of the event.
He also has to manage the stage show, artist, musician, choreographers and other
miscellaneous items for holding of event. All services provided by the event
manager are liable to service tax. This also covers any consultation provided for
organizing anevent.

 For managing an event, the event manager hires the services of photographer,
videographer, sound recording studio, advertising agency, man dap keeper and
security agency. Service tax is already livable on the amount paid to these agencies
by the event manager.

 A point has been raised as to whether in the case where event is organized/managed
in-house but certain contractors are appointed say for stages/man dap preparation,
for lighting/sound system, for advertising the event etc. and revenue is generated by
renting out the exhibition space and sale of ticket, whether service tax will be
livable on the amount charged by the contractors or on the amount generated by
sale
ofspaceorticketsetc.CBEChasclarifiedthatservicetaxisnotontheeventbutontheservice
provided for managing an event. Therefore, in a case where the event is
organized/managed by the sponsor himself, no service tax is payable as "event
management".

 In case of a firm or person who undertakes activities of organizing trade fairs and
exhibitions soliciting the participation from the trade and industry and who
provides space or furniture, fixtures, cabins, stalls, security, electricity etc. on a
charge basis, there is no provision of taxable service. This is because service tax is
not on the event as such but on the services provided for managing an event. It has
been clarified vide Circular No. 68 dated

Thus, for occurrence of a taxable event, there has to be a sponsor on whose behalf an event
is organized and event manager who organizes such services. Service tax is not a tax on the
event but on the services provided on managing an event. In case the event is
organized/managed by the sponsor himself, no service tax is payable.

Event Management v. Business Exhibition


The services of event management and business exhibition are two separate services and
should not be confused. CBEC has vide Circular No. 96/7/2007-ST dated 23.8.2007) (Para
41 clarified that trade fairs and exhibitions are organized by persons. Such organizers of
trade fairs and exhibitions provide services to exhibitors in relation to business exhibition.

Services provided by an organizer of trade fairs and exhibitions to an exhibitor in relation
to business exhibition is liable to service tax under "Business Exhibition ServiceIn
addition, an organizer of the trade fair or business exhibition may engage an event manager
to provide service to the organizer in relation to organizing trade fairs and exhibitions. In
such cases, the event manager renders the service of "Event Management" to the
organizers and is liable to pay service tax under "Event Management Service". The two
services, namely "Business Exhibition Service" and "Event Management Service", and the
two service providers of the respective services are distinct.

Decided cases
In CCE, Siliguri v. Mahabir International (CESTAT, KOLKATA), it was held that yoga
classes conducted by a charitable trust is a charitable activity and as such appellant cannot
be arbitrarily taxed on tickets.
In Phase I Events &Entertainment Pvt Ltd v. CST,
(CESTAT, Bangalore), where the assesses organized an event for a Committee (association)
of which he was member, it was held that assesses was not liable to pay service tax in
absence of service provider - client relationship between assesses andCommittee.

Value of Taxable Service


On whether the amount paid by the event manager to such agencies will be includible in
the value on which he is liable to pay service tax, CBEC has clarified that the taxable
service is any service provided by the event manager in relation to management of event.
Therefore, the gross amount charged by the event manager from the client for organizing
the event is liable to be included in the value of the taxable service for the purpose of
calculation of service tax. However, the event manager shall be entitled to the credit of
service tax paid by the input service provider.

Person Liable
Any person engaged in providing event management services (event managers or
organizations engaged therein) shall be liable to pay service tax and shall be treated as an
assesses for service tax purposes.

There are a set of event licenses which one requires to acquire to ensure a smooth flowing
event. Most hotels provide clients the list of licenses, which they would require to be

without any sponsors or paid attendees. A closed-door invitee only event. It is a full day

ACTIVITY IN EVENTS

 Pre-Event Activities

Events typically have a team based environment and a project type of organization
structure. Thus, responsibilities are assigned to the relevant staff members in the team
for the Event. Coordination of arrangements required is divided among the team members
.Once the preliminary discussions are over, and the final concept sold to the client, the very
first step is to creatively conceptualize work on the designing.

Then the Project manager prepares a thorough schedule after understanding the critical steps
and issues involved in that particular event. External agencies such as architects and
engineering contractors may be consulted at this stage to understand feasibility of planned
concepts. Most event management companies have experienced production managers who
understand the feasibility of planned concepts. The overall coordinator along with the sales
and marketing team should ensure the completion of overall design, models of stages,
visuals, etc. with graphics included by the creative team within the prescribed deadlines and
make a researched concept presentation to the clients .At this stage, the legalities of drawing
up the contract, agreements and finalization by signing of contracts between the event
managers and clients becomes a necessity. Keeping the feasibility in mind physical design
are finalized and contractors begin work.

Finalization of cleaning, security, furniture (tables, seating, barricading etc.),


décor (flowers), communication (telephone), and other service hire contracts (couriers) also
take up the production manager’s time at this stage. The overall coordinator has to continue
to keep in touch with the client with reference to the PR, publicity, press releases,
and promotion on etc .A Final visit for quality checks and control need to be made to the
networking components to ensure and confirm understanding. These typically include
inspection of dimensions of stage and other critical near finished models for accuracy by the
production manager. The overall coordinator along with the other team members needs to
then arrange for a briefing of site supervising staff depending on category and type of event.
It is essential that the entire briefing and interaction take place before the event begins. Once
the event gets started the clients and the contractor’s staff need to be kept away from

interfering with the execution by the production manager and the event coordinators.
Controlling the panic reactions due to invariable last minute troubles and final tying up of
all loose ends is a very important difficult task. The last stage in the first section involves
resolution of on-site wrangles of delivery, permission, missing orders or items, close
attention to construction of sets, supervision of installation of special effects, objects during
event.

 During the Event Activitie

During the event, softer aspects come into the focus for overall coordinator, it is important
to pass on all credit to supervisors. Event managers should look humble and be available to
the clients to call on. At the same time, there should be a constant surveillances and
monitoring of the special effects, display objects and the food and beverages.

 Post-Event Activities

Settling the final accounts (bills to be paid on receipt) are accompanied by explanations for
overspends. The team needs to carry out a postmortem analysis on the event and conduct an
event evaluation. Recording the photographs taken of the event in the form of a photo-
documentary helps a lot. Performance evaluation of the coordinators during the event should
be carried out immediately so that weak points after the event can be used for learning.

Finally, the overall coordinator should do the formality of thanking all involved for the
whole hearted and efforts put in. Letters should go out to clients thanking them and these
should include a post-event questionnaire seeking to measure client satisfaction. Based on
this feedback, improvements and adjustments required should be worked upon. This theory
states that the function of management can be classified into planning, organizing, staffing,
leading and controlling.

The most important part of Event Management is the execution of the Event as planned. We
term this activity as Carrying-out the Event. Feedback helps the event manager to get an
overview of the organization and execution of the event. The feedback maybe is positive or
negative.

 FAIRY TALE VOUCHERS

This was the activity with fun and learning’s .The work given to me was the registration for
the fairy tale vouchers in THE PAVILION MALL.

Any customer who purchases /does shopping up to 3000 or more than 3000 will be eligible
to fill the voucher. I had to approach the customers and explain them about the vouchers if
they agree then fill the forms with which it’s like hourly based lucky draw and weekly based
lucky draw the winners for hourly based lucky draw will be getting 3000 unconditional
cash vouchers and weekly based winners will be getting 10000 unconditional cash vouchers.

 Networking: I learnt how to create a network with the customers


 Communication skills: I know how to communicate with different customers
 Crowed handling :I had to make my own strategy to handle the crowed

 CHRISTMAS AND NEW YEAR FUN ACTIVITIES

This activities was conducted in THE PAVILION MALL only for the children’s in
which there was different activities conducted like soft toy making, candle decoration,
face painting, caricature, glass painting, balloon twisting and card making . So first the
registration had to be done with the child’s data with their parent’s data and a stamp on
the kids hand when the registration is done.

 Data handling : learnt how to register and keep the data because it’s an important
document where we need to show the clients
 Supervise : I had to supervise and handle the children’s and send them for the
activities according to the registrations done
