Step 1: Before OEP Application

Step 2: Application
For OCIP Trip
• OEP Recce Trip Application Recce trip is necessary
and approval must be
sought from OCIP OIC
at least 1 month
before the trip.

For all OCIP Trip and Non-OCIP Trip


• OEP Application Form At least 3 months
• Risk Assessment Plan before the trip
• Emergency Evacuation Flowcharts and Important No.
• Budget (include Projected Income and Estimated
Expenditure)
• NTU Group Travelsure

Step 2: Application

For all OCIP Trip and Non-OCIP Trip

• MFA Group Member Details form At least 1 month


(SAO will register your group with Ministry of Foreign before the trip
Affairs)
• OEP Registration and Indemnity Form – Hardcopy
only
• Photocopied Certificate(s) of First-Aider(s)

• Pre-departure Submission At least 10 days


• Acknowledgement for Receipt of Travel Subsidy before the trip

Step 3: After The Trip
Required Documents for Project Closure:

For all OCIP Trip and Non-OCIP Trip


• Post-OEP Report Send to SAO OIC 2 weeks upon
return of trip
• After Action Review Form (if there is an incident/injury)
• Statement of account
• 5 high resolution action photos that best depict the trip, with
the action photos submission, there’s no need to send photo-
CD or link.

For OCIP groups


• Project write up - NTU Blog (Seeing Beyond Ourselves) • Send to SAO OIC 2 weeks
• Personnel Reflections upon return of trip

Only for OCIP groups receiving YEP funding • Send to YEP within 2
• YEP Report weeks of local project
completion
• YEP Statement of account

Fund Raising

• Refer to Guidelines on Grant Applications to seek grants from external


organisations
• Read Guidelines on Fundraising, Donations/Sponsorships, House-to-House and
Street Collections for Charity and Karang Guni Collection (if applicable)

Guidelines Highlights
For OCIP Trip
Conducting recce trip is compulsory for OCIP.
Approval must be sought at least 1 month before conducting any
recce/reconnaissance trip.
For all OEP Trips
Student organizations must seek prior approval from SAO at least 3 months before a
proposed trip.
Submit application form and supporting doc as per the table listing.

SAO grant application is submitted as part of OEP event application. This applies to
JCRC applications as well. Grant can only be processed after submission of ‘NTU
Group Travelsure’ form

Submit post-OEP doc within 2 weeks upon your return

Guidelines Highlights
Trips are opened to NTU full-time students and members of the student
organizations only.

All OEP participants must depart from and return to Singapore together.
Travelling from / to a third city, extension of trip, etc. will not be
supported.

A set of code of conduct should be drawn up and briefed to all participants


prior to trip. All participants must observe the code and anyone found
infringing the code, esp. defaming the good name of the University will be
subjected to disciplinary action.

Participation in OEP is voluntary and the University will take no


responsibility for any loss or injury sustained during the trip.

Post-OEP Report: Personal Reflection
Compulsory: OEP ‘Personal Reflection’ to be incorporated into OCIP
programme. Each participant to pen down their reflection as part of
OCIP; to include this activity for one of the last two evenings.
