The Embassy of Switzerland in Jakarta is looking for a full-time, locally employed

Personal Assistant to the Ambassador of Switzerland

to start employment on or before 1 March 2019 (five-month fixed-term contract)

Your duties and responsibilities:


 Act as a Personal Assistant to the Ambassador of Switzerland:
 Coordinate and distribute all incoming and outgoing documents, screen phone calls and visitors,
determine priorities and provide timely and responsive administrative support.
 Prepare email and postal correspondence, diplomatic notes, travel programs and expense reports in
English (preferably also in either German or French)
 Manage the Ambassador’s diary and program of appointments
 Assist with the organization of Embassy events such as receptions and the Swiss National Day
 Manage and update the Embassy’s contact database
 Information management – maintain adequate hard-copy and electronic files
 Deputize for the Ambassador’s Social Secretary
 Other duties as required

Our selection criteria:


The successful candidate will demonstrate:
 Advanced communication and interpersonal skills, ability to connect and work well with others,
 Excellent organizational skills (ability to prioritize tasks, meet deadlines under pressure and manage
competing responsibilities) and achievement orientation
 Excellent written and spoken English (essential)
 Either German and/or French language skills would be highly advantageous
 Bahasa Indonesia language skills would be useful
 Candidate must be energetic and pro-active with good problem-solving and troubleshooting skills
 Excellent IT skills (Microsoft Office)
 Ability to maintain absolute confidentiality
 Candidate should have professional experience supporting at the executive-level
