SUBJECT: PROPOSED CONSULTANCY FEE FOR MULTI-STORIED RESIDENTIAL


BUILDING IN GAZIPUR

Dear Sir/Madam,

In response to your request for submitting the proposal for a multi-storied residential
building at Gazipur. VastuVid are pleased to submit our scope of service and financial
proposal for the project.

A. DESCRIPTION OF THE PROJECT:

Based on available information our understanding is that a 08-storied residential building is


proposed for a site totaling 5.57 kathas as per submitted drawing. We have not received any
Geotechnical reports yet.

B. SCOPE OF SERVICE:

This states the duties and responsibilities of the professionals engaged by the Developer. The
professional engaged by the Developer shall make available all the relevant documents required
for the construction. The scope services of different professionals engaged by the clients are
listed below. Professionals are responsible to follow the relevant IS codes and BNBC. However,
these guidelines will be binding on the professionals only if an equivalent fee is given to them for
the services rendered by them. Hence, an attempt is made to arrive at reasonable fees that can
be charged by the professionals for different services covered by them. It’s better for the
professionals and the client to enter into an agreement before proceeding with the project.

Part I - ARCHITECTURE:

1. Taking Client's instructions and preparation of design brief.


2. Site evaluation, analysis and impact of existing and / or proposed development on its
immediate environs.
3. Design and site development.
4. Prepare the conceptual designs, plan and drawings, sketches, study model, etc., for
the Client's approval

Part II - ALLIED FIELDS:

1. Sanitary, plumbing, drainage, water supply and sewerage design.


2. Electrical, electronic, communication systems and design.
3. Heating, ventilation and air conditioning design (HVAC) and other mechanical
systems.

4. Elevators etc.
5. Fire detection, Fire protection and Security systems etc.
6. Periodic inspection and evaluation of Construction works.
7. Landscape Architecture
8. Architectural Conservation
9. Structural design & Retrofitting
10. Graphic Design and Signage

1. SCHEDULE OF SERVICES:

The Architect/Engineer shall, after taking instructions from the Client, render the following services:

CONCEPT DESIGN [STAGE 1]:

 Ascertain Client's requirements, examine site constraints &potential; and prepare a


design brief for Client's approval.
 Prepare report on site evaluation, state of existing buildings, if any; and analysis and
impact of existing and/ or proposed development on its immediate environs.
 Prepare drawings and documents to enable the Client to get done the detailed
survey and soil investigation at the site of the project.
 Furnish report on measures required to be taken to mitigate the adverse impact, if
any, of the existing and / or proposed development on its immediate environs.
 Prepare conceptual designs with reference to the requirements given and prepare a
rough estimate of cost on area basis.

PRELIMINARY DESIGN AND DRAWINGS [STAGE 2]:

 Modify the conceptual designs incorporating required changes and prepare the
preliminary drawings, sketches, study model, etc., for the Client's approval along with
a preliminary estimate of cost on area basis.

DRAWINGS FOR CLIENT'S/ STATUTORY APPROVALS [STAGE 3]:

 Prepare drawings necessary for Client's/ statutory approvals and ensure compliance
with codes, standards and legislation, as applicable and assist the Client in obtaining
the RAJUK approvals thereof.
 The Structural Design Basis Report will be prepared by a Structural Engineer on
Record who shall prepare structural design & drawings as per the approved
architectural plan based on BNBC & relevant IS codes, under the guidance of the
Architect and shall be appointed and paid by the Client.

WORKING DRAWINGS [STAGE 4]:

 Prepare working drawings, specifications and advice on schedule of quantities


sufficient to prepare estimate of cost and tender documents, including code of
practice covering aspects like mode of measurement, method of payments, quality
control procedures on materials & works and other conditions of contract.
 Detailed Structural Design and drawings shall be prepared by the Structural
Engineer on record appointed by the client. Proof checking, if required, shall be got
done by a member of the Structural Design Review Panel headed by Architect, by
the client.

APPOINTMENT OF CONTRACTORS [STAGE 5]:

 Receive and analyze tenders; advise Client on the appointment of contractors.

C. FINANCIAL PROPOSAL:

Based on the understanding and the role to be played in the mentioned project
we proposed the following consulting fee for the project.
DESIGN FEES:
Breakdown Fee calculation is based on 25,000 SFT (approx. Gross builds area,
according to Pouroshova calculation)

This fee is excluding building permit fees, site survey fees, soil test fees, etc. It is to be understood
that the client will bear all cost related to approval.

And it is to be understood that Structural Design Area differs from Architectural Design Area for the
proposed structure. Architect excludes voids and unoccupied areas where as, as a structural
engineer needs design every space his design area increases and his fee is adjusted as such.

process and monitor the lifecycle of all projects
and prepare all project controls and update as
per requirement and document all processes.
 Provide technical support to all
management processes and maintain and
update all logs and document all estimates and
change orders for vendors and perform
quantity survey with help of different software
and maintain compliance to an efficient project
schedule.
 Prepare physical layout for all construction
projects and coordinate with project manager to
administer and maintain all contracts and
purchase orders and prepare an effective work
schedule.
 Oversee all engineering processes in
construction projects and provide subject
matter expertise as per requirement and
perform regular tests on procedures to ensure
compliance with all regulations and evaluate all
designs and drawings before implementation.
 Identify and resolve all technical issues in
the construction process, prepare an effective
schedule and prepare appraisal reports to be
submitted to construction manager and procure
materials to prepare an effective construction
schedule.
 Manage and ensure all materials in
compliance with required quality for all projects
and prepare reports for all final project turn
over and maintain records of all construction
procedures and prepare progress reports for
same.

 Design and maintain all construction,
technical catalogs and prepare supplier data
and interpret all contract plans and
specification and coordinate with all contractors
to resolve issues in processes.
 Maintain knowledge on all contract terms
and legal requirements for all construction
projects to avoid any delay in projects and
provide support to all work groups and
participate in various activities to ensure
completion of all projects.
 Evaluate all projects and recommend
various cost saving methods for same and
organize and attend various staff meetings on a
weekly basis

 Provide and approve repairing or rectifying
action plan for any type of defects occur
during construction.
 Address and provide guidelines for
redesigning if necessary due to
unavoidable circumstance identified by the
project director.

We will provide a full time Project Engineer


(Diploma in Civil Engineering with 5-6 years
experience), who is well versed in Construction
Management and Quality Assurance Service to
facilitate the construction phase.

Summary of the his responsibilities are:

1. Provide guideline to the contractor for rebar

All additional service fees are to be front paid, i.e. upon receiving the service the client is
fully liable to pay the fee upfront.

AFTER SUBMISSION OF DELIVERABLES.

ALL FEES MENTIONED ARE EXCLUDING VAT AND AIT.

WE UNDERSTAND THAT CLIENT WILL PAY ALL THE FEES PERTAINED TO APPROVAL. THE
FEE MENTIONED IN THE DRAWING APPROVAL PHASE IS THE CONSULTANCY FEE AND
EXCLUDED OF ANY ADDITIONAL COST SUCH AS RAJUK/POUROSOVA SUBMISSION FEE
OTHERS, ANY ADDITIONAL FEE TO BE PAID FOR PERMISSION ETC.
