Ukulele Club Constitution, drafted 2016

Article I, Title

We are the Ukulele Club. We have no affiliation with any national organization.

Article II, Purpose

Our mission is to teach and learn how to play the ukulele in an inclusive community, while
fostering a love for this instrument and for music. No audition is needed for entry, and we do not
force performance on our members.

Article III, Membership

1. Members must be students, faculty or staff of Capital University. There is no other


qualification for a membership in the club. Ukulele Club does not discriminate based on
race, gender, sexual orientation, sexual identity, religious affiliation, disability or any
other physical or emotional standing. Ownership of a ukulele is preferred but not
required, but this is so that our members have the opportunity to participate as much as
possible. No prior musical ability is required; our members are invited to engage with
one another in teaching and in learning how to play ukulele as a community.
2. We will not have dues for our members.
3. Our members who will be classified as Active, Inactive or New. Active members attend a
majority of meetings and make efforts to participate, while Inactive members only attend
every once-in-awhile and do not participate. New members are classified as having
attended less than 3 meetings. Active members are permitted to run in and vote in
elections; Inactive members are permitted to vote in elections; New members are not
permitted to vote in elections.
4. Members will be disciplined if they are disruptive in the meetings and will be warned
verbally to stop the behavior. If a member ever poses a threat to another member or any
other persons, Public Safety may be contacted at the discretion of the officers or
members.
5. Members will not be removed from the CUUC unless they repeatedly disrupt meetings. If
there is ever a situation where the member in question poses a threat as described in
#4, they will be removed from the organization immediately.

Article IV, Officers

1. The titles of our officers are as follows: President, Music Director, Treasurer, and Service
Chair.
2. All officers will serve for 2 semesters, with their terms starting in each fall. If an officer
must step down, other officers will take on their responsibilities until an Active member is
elected to take their place. This election will take place as soon as possible.
3. Officers are elected by a majority vote, and an Active member must announce their
candidacy ahead of the time to appear on the ballot. Elections will occur near the middle
of the spring semester. The responsibilities of the officers are as follows:
a. President: the president of the organization is responsible for attending
president’s meetings and with coordinating with the SCE and Student
Government. They will take on the duties of Music Director if the Music Director
is not present.
b. Music Director: the music director is responsible for the musicality of the group in
whatever direction the Ukulele Club decides to go. They will take on the duties of
the President if the President is not present.
c. Treasurer: the treasurer is responsible for the budget and for obtaining funding
from Student Government when necessary. They will take on the duties of the
Service Chair of the Service Chair is not present.
d. Service Chair: the Service Chair will be responsible for planning events on
campus or in the community and for obtaining proper forms for these events.
They will take on the duties of the Treasurer if the Treasurer is not present.
4. If an officer is not performing their duties, they will be warned by the other organization
officers. If they neglect their office entirely, it is the duty of the other officers to perform
the tasks as described in #3 until that officer is replaced.
5. Officers can be removed if they neglect or can no longer perform the tasks necessary to
hold the office. The other officers of the organization will perform the removed officer’s
tasks until a responsible Active member is appointed to the office. This member will be
chosen by the officers and will take on the responsibilities of the office if they accept the
nomination.

Article V, Meetings

1. Meetings will be held weekly, with times and locations being determined by the officers
with the intent of choosing a time most convenient for our members and for interested
students.
2. If a special meeting must take place, the officers will decide a time and place to meet
and the president will announce it to the members during their weekly meeting.
3. Ukulele Club meetings will take place if there are any members (excluding officers)
present. The meeting, however, may be ended early by a general consensus of present
members (i.e. when a small fraction of the members are present).
4. The meetings will begin at the weekly time set by the officers unless any changes are
announced by the officers. It is up to the officers to start CUUC meetings as early as
possible in the fall and to meet weekly with as few exceptions as possible.

Article VI, Advisor

1. The advisor for Ukulele Club will be selected during the formation of the club or will be
selected by Ukulele Club’s officers with approval by a majority vote of the Active
members in the case that the original advisor resigns. The advisor shall be chosen
based on responsibility, charisma and willingness to accept the position. At least one
officer should personally know the nominee for advisor.
2. An advisor shall only be removed if they refuse to assist the Ukulele Club with requests
necessary for the advancement of the club*. The advisor will only be officially removed
after a new advisor has been selected and approved by the members. *Note: advise
against a request is still considered assistance; neglect is considered a refusal to assist.

Article VII, Standing Committees

1. As of FA16, no standing committees exist in the Ukulele Club. If any are formed to meet
regularly, their descriptions will be amended into the constitution.
2. If a standing committee is to be formed, the member/officer will propose a standing
committee to the officers. If the officers approve the standing committee, the
member/officer that proposed the committee will be the head of that standing committee.
3. The heads of the standing committees will determine how often the committees meet.

Article VIII, Executive Board

1. An Executive Board is not needed in the Ukulele Club at this time. One may be formed
by the officers if need be, and it's requirements will be amended into the constitution.

Article IX, Parliamentary Authority

The rules contained in Robert’s Rules of Order Revised shall govern this organization in all
cases to which they are applicable unless they are inconsistent with the constitution and bylaws
and special rules of this organization.

Article X, Amendment Process and Bylaws

Amendments
This constitution may be amended by an appointed officer if amendments must be made. After
an amended constitution has been drafted, all changes made to the constitution will be
presented to all members of the organization at a weekly meeting, with the constitution made
available for the members to review at all times. Amendments must be approved by ¾ of the
Active members, and after this approval, the amended constitution shall be submitted to the
Student Activities Office. If there are any problems with the amended constitution, the Ukulele
Club will be contacted. The amendments will not take effect until they are approved by the
Student Activities Office.

Bylaws

If bylaws are to be added to the constitution, they cannot run contrary to the constitution and do
not need to be approved by the Student Activities Office. Bylaws also usually contain more
details about elections, additional officer’s duties, details about standing committees and details
about special projects.
