INTRODUCTION

The library can be considered a store – house of knowledge. In dictionaries the word

“library” has been defined as “a building or room containing a collection of books”. A library's

collection can include books, periodicals, newspapers, manuscripts, films, maps, documents,

microform, CDs, cassettes, videotapes, DVDs, Blu-ray Discs and e-books,. In organizing the

library materials it used the library classification, Dewey Decimal Classification System and

Library of Congress Classification System. The library also have a common types, Program

Library, Storage Library, Data Library and Virtual Library. The Library serves an important role

in promoting the progress of knowledge and particularly useful for everyone. For instance,

invaluable books like Encyclopedias and large dictionaries cannot be purchased. So when one

becomes a member of a library, they can borrow valuable books.

A library renders a great service to the society. There are a large number of Public Libraries

maintained by the local authorities throughout the community. A public library is a place that is

open to poor and rich alike. There are mainly two sections in a library, the lending and the reference
section. Any member can borrow books from the lending section. Nonmembers too can use the

reference section. Everyone allowed to enter the section free of charge and can takedown notes

from the books. Like every type of business or organization, Library face new problems and

challenges each day. Librarian face a constant struggle in making sure that facilities are fully

functional, easily accessible, and operating to the best of their abilities to fully aid in helping

students and community. It is a constant struggle that has been seen over and over again.

Technology is changing the world around us. Individuals and our world as a whole depend largely

on the advancements in technology. Barcode Technology provides a simple and inexpensive

method of recording data or information in a number of applications. The combination of Barcode

Technology with computer and application software improves the performance and productivity

of the organization.

The City of Bacoor Public Library was previously located at the old Municipal Hall of

Bacoor in Barangay Tabing Dagat and relocated Watawat Street, Daan Bukid Bacoor City Cavite

in year 2003. The library have a four employee namely Ms. Wilma B. Nario, the Librarian-In-

Charge. The library offer borrowing of books and free computer use and internet access. The

library has an estimated of two thousand books and Dewey decimal classification used in arranging

and organizing the materials. The City of Bacoor Public Library is a closed shelves library, wherein

the librarian may only take book on the shelves.

As of now, the City of Bacoor Public Library is one of those organization that still using a

traditional manual library system that takes time, space and money. Basically, all the operations

related to the library was done manually. Borrowers first visit the library and required to write

down the name, school and year in the logbook. The library also used a manual card catalog system

for indexing and tracking books. Although they have computers and internet connection, they don’t
have a system that the librarian properly records their books and transaction. This kind of paper-

based system is tedious and plaguing. With this kind process, it hard to monitor the borrowed and

the book on shelves. As a result, the primary complaint of the librarian with this system is the

tiresome task of searching through records just to verify the query data and manage all the records

in the library.

Based on the problem cited, the researchers proposed the Computerized Library System

and Online Book Reservation with Barcode Technology of the City of Bacoor Public Library that

solely minimize all paper works and manual record keeping, therefore allowing librarian and staff

ease in keeping all the records of borrowers and borrowing books. It will greatly improve the

process in the said organization.

The focus of the study was directed towards the development of the Computerized Library

System and Online Book Reservation with Barcode Technology would improve the monitoring

capacities of those who maintain the library, borrowing and reserving books. It would also be

easier to determine whether a particular book is on-shelf or not. They can easily identify when the

borrowed material will be returned and if a borrower has failed to return the book on its due date.

Furthermore, the librarian would be much guided when it comes to recognizing new inventory

books, letting them arrange it promptly and accordingly. In addition to this, members can see the

list of books available in the library and reserve a book in advance via online book reservation.

Statement of the problem

The study is to develop a Computerized Library System and Online Book Reservation with

Barcode Technology of the City of Bacoor Public Library that will reduce the processing time,

space and cost of supplies.


Specifically, the researches wanted to answer:

1. What are the problems encountered by the staff of the City of Bacoor Public Library in

their manual process in inventory and borrowing books?

2. What are the things to develop in the system to make ease in the working process in the

library?

3. How will the proposed system help in borrowing and reserving a books?

4. How will the system be developed?

5. How will the system be evaluated?

Theoretical Framework of the Study

The Computerized Library System and Online Book Reservation with Barcode

Technology of the City of Bacoor Public Library has four modules: Inquiry Module, Registration

Module, Reservation Module, and Report Module. The system has three level of access:

Administrator, Guest and Member. (See Figure 1).

Book Searching Module is where the guest could see the books available in the City of

Bacoor Public Library along with the details of the book such as the Title of the Book, Author of

the Book, Edition, Year Published and Publisher. The administrator is the one who can update the

content of this module.

Registration Module is responsible in the registration of the guest to be a member. The

guest will provide necessary information about them. The administrator will be the one who will

approve the registration of the account.


Reservation Module is where the member can reserve a book to be borrowed, once they

make a reservation, the administrator is the responsible in approving the reservation. Only a

member can make a reservation. This module can not be accessed by a guest. While the

administrator is the only can approve or decline the reservation made by the member depending

on the status of the member (e.g. a member has not returned the previous book).

Borrowing / Returning Module is responsible in managing books that goes in and out of

the library because this module stored all the list of borrowed and returned books, In this module

monitored the due date of borrowed and the date returned. With this, penalty would be given for

those member who did not return books on time. The member could only borrow the book

overnight and borrow one to three books.

Report Module wherein the administrator can generate report of list reservation that has

been processed in the library. The list of members is also in this module. This module is only

accessible by the administrator.

Objective of the study

Generally, the study aims to develop a Computerized Library System and Online Book

Reservation with Barcode Technology of the City of Bacoor Public Library. This is guided by the

following objectives:

1. To identify the problems encountered by the staff of the City of Bacoor Public Library

in their manual process in inventory and borrowing books.

2. To make their system automated and user friendly.

3. To make the searching, reserving and borrowing of books easier of books.

4. To develop a system using Visual Basic 2012 and SQL Server Management Studio 2010.

5. To evaluate the proposed system based on ISO 1926.

Significance of the study

The findings of the study will be of great importance to the following people:

For the Librarian or Library staff, it will greatly reduce the processing time in cataloging

books, reduce space and cost in keeping files or records of the books the library.

For the Borrowers, it will ease the borrowing or using the books and also finding if the

books that they required is available in the library.

For the Researchers, enhance the potential in the preparation and validation of the work

system, discover how competitive in the fields of Information Technology and increase the

knowledge and skills as a future programmer and system analyst.


For the Future Researchers, will provide as a guide for them to expand this system this

system to create further investigation and additional research in this analysis.

Time and Place of the Study

The study was conducted at Cavite State University Bacoor Campus. The Fourth

Generation Techniques methodology was used for the development of the study which is

composed of four different phases. Requirements gathering is done from August 2018 where the

researchers conducted an observation in the City of Bacoor Public Library and conducted an

interview with Wilma Nario, the Officer in charge of the City of Bacoor Public Library on third

week of September 2018. It also includes the data gathering of related literature and studies that

supports the current study. Design phase is conducted on the first week of October. Implementation

phase using 4GL is conducted on the first week of January 2018 and target to finish on first week

of April 2019.

Scope and Limitation of the Study

The proposed system has several features which could help the manual process of

managing and recording of the book’s and member’s information. The book information is

composed of Title, Author, edition, year of publication and the members information is composed

of name, age, address, affiliation. And lastly, the inventory of books is easily to know their status,

if it is available for reservation, return or overdue. The borrower can only access the information

on the kiosk and only the librarian can change the data on the system. The limitation of the system

is that only the librarian can update the system every six hours to show the update list of available

books and it cannot generate graphs for inventory report. Another thing, the system have a cut-off

in reserving an online reservation of books. In the end of the day, the system provide a notification
of update and refresh of data tomorrow. Another limitation depends on human entry. Human error

sometimes gives inaccurate information by mistakenly input a wrong data.

Definition of Terms

Author a writer of a book, article, or report.

Barcode a machine-readable code in the form of numbers and a pattern of parallel lines of

varying widths, printed on and identifying a product.

Barcode Reader is an electronic device that can read and output printed barcodes to a

computer. It consists of a light source, a lens and a light sensor translating optical impulses into

electrical ones.

Call Number a number given to a book in a library, indicating its shelf location.

Card Catalog a complete list of items, typically one in alphabetical or other systematic

order, in particular.

Closed Shelves a library stack with access restricted to the staff of the library.

Data Library a centralized area housing computer systems and equipment where storage

media are archived.

International Standard Book Number abbreviated as ISBN a unique numeric

commercial book identifier.

Library Card – a card issued by a library that allows the holder to borrow books and other

materials.
Library Classication a system of coding and organizing library materials such as books,

serials, audiovisual materials, computer files, maps and manuscripts according to their subject and

allocating a call number to that information resource.

MySQL is a relational database management system (RDBMS) that runs as a server

providing multi – user access to a number of databases. The researchers can save all the data and

records inside the database and keep it for able to organize all the data.

Open Shelves a modern method of displaying the library collections with the purpose of

removing barriers imposed to readers and providing free access to shelves where readers can

choose by themselves the books they are interested in.

Periodicals a magazine or newspaper published at regular intervals.

Program Library a collection of precompiled, reusable programming routines that a

programmer can call.

Reference a special department within a library where you can find librarians, reference

assistants, and a collection of reference materials to help you with your research needs.

Serial a publication that is issued in successive parts and usually at regular intervals.

Storage Library a collection of physical storage media such as tapes or disks and a way

to access.

Virtual Library a simply the online version of the traditional library. The books and

documents are made available over the Web and may read online or downloaded.
