Admissions Executive Workspace


Once the Admissions Executive logs into the system he/she will see the below screen
showing all the prospects that have reached out to SRM admissions team and also the
interactions pertaining to each one of them.

The Admissions Executive can then choose to respond to relevant interactions by clicking on
them and then using the reply Tab

Using Canned responses


If there are any frequently used responses those can be created as canned responses and used
to respond to email to fasten the process

Registering on the Portal
Once the prospect shows interest we can send him the link to our application portal via Email
where the prospect can apply to different programs. Once clicked on the portal link, it will
guide you to the below page where the applicant can register

Once the registration is succesfull , the applicant will receive an E-mail with the relevant
login details.

Completing the Application form
Once the applicant logs into the portal using the credentials received by them on email they
will see the below Tabs

Once the applicant clicks on the application form and applies for a relevant program. The
applicant will see the below application form

Once the applicant has completed all the fields on the application form he can submit the
Application form by pressing the submit button. The form will not be submitted unless all the
mandatory fields are completed on the application form.

Processing applicants to allocate to counseling dates
Once the application is submitted the Admissions executive can log onto talisma and see the
applicant on the Applicants dashboard present on the same page

Once the exams are conducted the results are input for the applicant. Based on the applicants
rank, the applicant is assigned to relevant Counseling slot
Right click on the applicant—Update lead Information—counseling dates—Set
We can select multiple leads at the same time and update the Counseling dates

Conducting Counseling for Applicants
Once the counseling dates are assigned the Admissions Counselor will see the applicant on
his/her Queue.

Post that the counselor can assign it to the program and college based on the candidates
preference and the courses availability by right clicking on the relevant course in the
‘Students Registered tab’
Once registered for a particular course the student is moved to seat allotted stage

Enrollment
Once the student is allocated a program, the student status will appear as Seat Allotted in the
system.
To find the mentioned student click on Find—Student and mention his name details or
student number.

1. To enroll a student Go To View -> Academic Records -> Enrollment
2. Click on ADD.

3. The Enrolment wizard appears

7. Select the student advisors if required. You can add in more by clicking on the Add button.

8. Enter any comments if required and Click Finish to finish the enrolment process.

9. The student is enrolled now and his school status changes to Enrolled.

Cross Validation of Enrollment using reports


1. Reports > Admissions >Start Dates: This report gives a list of students with start dates
and other information’s relevant to their enrollment.

Academic Process - Introduction


The following document gives a detailed understanding of the processes that are to be followed in
CampusVue. The Document gives a step by step understanding of the various functionalities that
will be used by the Admission team during their day to day activities. Some of the important
functionalities such as registering students for courses, setting up Class schedules are covered as a
part of the process.

Schedule Class for a Subject


1) Click on Session Parameters to choose the default campus for which the class schedule has
to be created. Goto STATUS BAR -> Click on the campus

2) The second step in the academics process is to create a Class Schedule for the different
courses that are to be taken in a particular term.
3) The Class schedule is created for a particular term. So if 2013/14 SRM UG Odd Semester
Intake has to be considered, it is required to create the Class Schedule for 2013/14 SRM UG
Odd Semester Term.
4) Goto Daily -> Academic Records ->Schedule Classes -> New

5) Fill in all Mandatory fields such as Term, Course, Instructor, Maximum Students (Max Studs). 

Cross validation of Scheduled courses


• Schedule the classes (with respect to each & every campus).
• Once scheduling is completed, Run the report (Class schedule report) and use it to cross
check the schedules.

Publish Schedule
Once the schedule for the course is created, The Admission team can publish the schedule so that
the student is able to view his schedule in the Student Portal. Inorder to publish schedule,
Go to Daily -> Academic Records -> Class Schedule

You can choose the time when the schedule needs to be published into the portal. Please find
below screenshot (Publish Start Date,Publish End date).

Registering a Student
1) Once the Class Schedules are created, The Next set of steps is to register either Individual
Students/Group of Students to courses.
2) Search for a particular student to register for. Goto View -> Academic Records -> Schedule. 
3) Highlight the Course.
4) Click the Register Button.

5) If you want to register several classes for a student at the same time, select the first course,
hold the CTRL key and click the other classes. Once you have selected all the courses, Click the
Register button.

Once Register button is clicked, The Specific Course chosen is defaulted to CURRENT. Click Next

Select the Terms if different from the default and Click on Next

The student’s schedule now shows that course with a status of “Scheduled”.

Un-Register a Student from a Course


1. Search for your student.
2. Open the student’s Schedule folder.

3. Highlight the Course.


4. Click the Un-register button.

5. Click Yes.

The student’s schedule now shows that course with a status of “Future”.

Similar to unregistering a course, if the team decides to Drop a student from a course, The Drop
Option can be used. This function will request for a default DROP GRADE to be posted for the
individual student.

Note: The un-register button should be used if you are un-registering a student from a
course because the student is a Cancel. Un-registering a class will change the class back to
a Future status so you can register them for the class at a future point of time.

Perform Batch Registration


1) Registration can be done in batch mode and is differentiated as Track Registration & Term
Registration.
2) Track Registration: will allow you to register student(s) into a pre-defined track of classes.
When using the track registration, you will select the track to be used for registration. The
track registration method will register only those students that have the course on their
class schedule with a status of Future.

3) The first step is to create a Registration Track. Go to Daily -> Academic Records -> Setup
Registration tasks. CampusVue will display a list of registration tracks. The Tracks are
created with list of courses for the following tracks.

Track Student Groups

B.Tech E&E Semester 1 Students who have joined for 2013 intake for
B.Tech E&E can register

4) The following steps show methods to create tracks.
5) Click Add to create a new track, or select a listed track and click Edit to see the detail
form. CampusVue Student will display the Registration Track form

1) Provide a name to the Registration Track. Include the Term and the Program version to
which the Track of courses need to be created.Following the naming as shown below:

A track has to be created for 2013 Intake for B.Tech E&E. Create the tracks with the
naming convention.
1. B.Tech E&E Semester 1
2. B.Tech E&E Semester 2 and so on.

2) Choose the list of courses that needs to be added as a part of the Track. For Example, if
registration track is being created for B.Tech E&E 2013/14 SRM UG Odd Semester. Select
the term and program version. Choose the courses that are to be a part of the registration
track as shown in the below screenshot.

3) Click on Save. Thus the Registration tracks are created.

4) The next step is to create the student groups which are to be added to the tracks that were
created. Goto Reports -> Admissions -> Start Date.

5) Create a report which contains students who are to be registered to 2013/14 SRM UG Odd
SemesterTerm. (Program = Dept. of Electrical and Electronics Eng.) should be the search
filter.

6) Goto Daily -> Academic Records -> Registration

7) Select the Track & Student Group for which the Batch registration of student needs to be
carried.

8) Choose the track to which registration needs to be completed. Example B.Tech E&E
Semester 1 – Dept. of Electrical and Electronics Eng.was the track created earlier through
setup.

9) Choose the Student Group which was created using the Reports.

Choosing the Student Group

The student list information will be available and Click on Finish to complete Track Registration.

NOTE: Validate Student’s Schedule to ensure Registration has been successfully completed as their
course status should change to “Scheduled”.
(Got View -> Academic Records -> Schedule)

Term Registration
Term Registration will allow registering one or more students into a single class section with a
specific term.
1) Goto Daily -> Academic Records -> Term Registration
2) If you select Term Registration on the first page of the Registration Wizard, CVUE continues
the process with the following steps.

3) Select the Term for which the students are to be registered. All the class sections
scheduled for the term will be listed on the grid. Columns on the grid include Course,
Section, Description, Instructor, Start Date, Delivery Method,Days and Times. If you click on
a row of the grid, the instructor and start date will be displayed in the windows at the
bottom of the form. In addition, you can scroll horizontally to see the instructor and start
date for all the listed class sections.
4) After selecting the course, the Next step in the registration wizard shows the list of all
students who are to be registered.

5) Choose the list of the students and click on Finish.

NOTE: Validate Student’s Schedule to ensure Registration has been successfully completed as their
course status should change to “Scheduled”.
(Got View -> Academic Records -> Schedule)

Batch Unregister Courses


One other functionality that is available in CampusVue is unregistering courses in batch mode.

1) Goto Daily -> Academic Records -> Batch Unregister Courses.

2) Select the School. Term, Status of the course to which the students had been registered as
shown in the above screen shot. Click on NEXT and choose the courses for which batch
unregisteration needs to be done.

3) Click Finish.

Student Status Changes


Manually Changing a Student Status

Do not use for re-entries – follow the appropriate procedures to re-enroll and change the status for
those students.

1. Search for the student.


2. Go to the student bar Academic Records folder, then the Enrollment folder.

3. Press the Status History button.


4. Select the appropriate Enrollment.
5. Press the Change button.

6. Select the new Status (Opted Out, Enroll, Probation, Medical Leave, Dismissed, Withdrawal
etc.).
7. Select reason associated with new Status if applicable.

8. Enter a comment (optional).


9. Enter Dates associated with New Status. The date information requested will differ
dependent upon the new Status. This could be Effective Date, Last Day of Attendance,
Drop Date, NSLDS Withdrawal Date, Begin Date, Return Date or Graduation Date as
required.

10. Click Save.

1. Click OK.

2. Click Close.

Note: When changing a student’s school status from Active to Drop make sure to drop the student
from the courses they are currently sitting in before performing the School Status change.

Batch Status Change for a Group of students


1. Create a student group (either manually or via a report such as Potential Graduates).

2. Go to Daily Æ Academic Records Æ Batch Status Change.
3. Select the Student Group.
4. Select the Current Status.
5. Select the New Status.

6. Indicate the Reason for the New Status (if required).

7. Dependent upon the new Status enter the appropriate date information. If new status is
Graduate, enter the Graduation Date, click on the Use LDA on File checkbox.
8. Press the Next button.
9. Review the list of students.
10. Click on the Omit checkbox for any students you do not wish to make the status change
for.

11. Press the Save button.


12. Print the results if desired.

Transfer Credits
Staff members can review the list of courses transferred from other institutions, and then, add,
view, or edit transfer credit information.
1) Go to :View > Admissions or Academic Records > Transfer Credits
or Daily > Admissions > Transfer Credits to access the Transfer Credits form.

2) Click on ADD

3) The below screenshot shows the method in which the transfer credits need to be updated
in CampusVue.
a. Mention the name of Institution, Course,Grade Received,and Date Completed from
the other institution where the grade is getting transferred.
b. Update the Transfer info: the name of the Campus Course (The Existing course in
Raffles) to which the grades are to be transferred.

Examination System

Internal Assessment

Students continuous Internal Assessment is conducted by the college. The


concern authorities/staff will schedule the Internal Examination. This is a
continuous assessment process and before appearing for the final exams
students are evaluated based on their performance in the internal exams.

Internal Exam Schedule

Procedure to conduct the Internal Examination Schedule is:


1) Open the Department Module from the Smart Campus Application.
2) Choose Define > Internal Exam Schedule.
3) Click Add button.
4) Select the Course, Semester, Branch, Cycle, Section,
SyllabusBatch, Internal-Idand Internal-Title from the drop down
list.
5) Click Apply button.

After selecting the following fields screen displays schedule of Internal


Exams.

Internal Exams
The concern Authorities/Staff will conduct the Internal Examination in the
college. The Internal Examination would have already been scheduled as
per the Para 1.1 above. The concerned staff teaching a subject would
select the subject and list of all the students’ displays in the right hand
window. Staff can now enter the internal assessment marks awarded to
each student.

Entering the Internal Mark Entry

1) Open the Department Module from the Smart Campus Application.


2) Choose the Transact menu.
3) Choose the Internal Exams.
4) Click Marks Entry or Ctrl + S.
5) Click Add button.

6) After clicking on the Marks Entry the following screen shot will appears.
7) Select the Course, Semester, Branch, Cycle, Section, Syllabus,
Subject and Internal-Id from the drop down list.
8) Click Add button.

Final Assessment of Internal Exam

The concern Authorities/Staff will prepare the Final Assessment of


Internal Exam at the end of the semester.Following SmartCampus activity
prepares final assessment marks for each students to be submitted to the
affiliated University.

1) Open the Department Module from the Smart Campus Application.


2) Choose the Transact menu.
3) Choose the Final Assessment.
4) After the Clicking on the Final Assessment the following Screen shot
will display
5) Click Add button.
6) Select the Course, Semester, Branch, Cycle, Section and Subject
from the drop down list.

7) Semesterstartdate and enddate will popup.
8) Clickon the List Exams.
9) The following List of the Internal Exams conducted will display.
10) Click and choose the required assessment criteria
11) Click the Start Assessment.
12) The following List of marks, percentage will displays in the following
screen shot.
13) Click “Apply” Button to save final assessment marks awarded to
each student.

Pre-Examination Process
Pre-Exam process consists of Exam Application, Student Eligibility and
Hall Ticket Printing.

Student Eligibility
Procedure to get the Student eligibility:
1) Open the Examination Module from the SmartCampus Application.
2) Choose Transact> Student Eligibility.
3) Select the course, Cycle, Semester, Section and Branchfrom the
drop down list.
4) After selecting the following fields the following screen shot display
the student eligibility list.
5) Click on the eligibility criteria required and click “Process Eligibility”.
SmartCampus will show eligible / non eligible students by displaying
the message under the column “Eligibility”.
6) Click Apply button to save Student Eligibility.

Consolidated Exam Application

Exam application needs to be consolidated for Eligible students.

Procedure to consolidate the Exam application:

1) Open the Examination Module from the SmartCampus


Application.
2) Choose Transact>Exam Applicationconsolidate.
3) Select Course, Sem,Branchand Exam Name from the drop
down menus. Then click on “Show” button. All eligible students
with their subjects will display.
4) Click Apply button to save & consolidate exam applications.

Hall Ticket Printing

Examination cell will print Hall Tickets to eligible Student. To print Hall
Ticket, go to Examination > Reports > Hall Ticket Print > Format 7

Conduction of University Examination (During Exam Process)

University Examination module is used to define session, rules, time


table, room allotment, students allotment, staff allocation for university
examinations.

Defining the Session
You can define the session for a particular course using the define session
screen of the university examination module of SmartCampus.

Follow the procedure to define the session:


1) Open the University Examination module of SmartCampus.
2) Choose Define>Session, the Session screen appears.
3) Select the Course from the drop down list box.
4) In Session box, enter the name of the session.
5) In Timing, enter the time for the session.
6) Click Add to activate Apply button.
7) Click Apply. The Session is added to the course as per your
specification.

Defining Exam Seating Rules

You can define the rules and regulation for the staff and the student using
the university examination module.

Follow the procedure to define the rules.


1) Open the University Examination module of SmartCampus.
2) Choose Define > Rules. The Rules screen appears.
3) Select the Checkbox of rules.

4) Click Apply. You will get the message.

Defining Time Table for University Examination

Through the time table entry screen of university examination module of


SmartCampus, you can define the time table for university examination.

Procedures to create time table:-


1) Open the University Examination module of SmartCampus.
2) Choose Define> Time Table, the Time Table screen appears.
3) Click Add.
4) Select Course from the drop down list.
5) Select the Exam Title form the drop down list box. The
examination start date and end date is displayed which was

defined in the College Admin module when the examination is
created.
6) Select the Date from the popup.
7) Follow the same process of date to select the
Semester,Branch/Cycle, Syllabus Year, Subject Name and
Session from the popup.
8) Click Apply. You get the message “Data Updated Successfully”.
In this example the time table is created for B.E. Test Exam1.

Exam Room Allotment

You can allot the rooms for the scheduled examination through the room
allot screen of University Examination module.

Procedure to allot room(s) for the exam:


1) Open the University Examination module of SmartCampus.
2) Choose Define> Room Allotment, the room allotment screen
appears.
3) Select the Course, Exam Title, Date, and Session from the
drop down list box. All the text boxes are pre-defined, if not
matching as per defined, you will get a message.

4) Click Allot. The rooms will be allotted for the related course,
exam.

Re-allot the Exam Rooms

You can re-allot the exam rooms by using the same screen. After
selecting the course, exam title, date and session you have to click the
Re-allotment button.

Allotment of Students for Examination

You can allot the student for the examination by using the student
allotment screen of university examination module.

Procedures to allot student:-


1) Open the University Examination module of SmartCampus.
2) Choose Define> Student Allotment, the student allotment screen
appears.

3) Select the Course, Exam Title, Date and Session from the drop
down list.
4) Click on Allot button. System will allot the students considering
capacity of the rooms. System shows Room No, Subject Code,
Subject Name, Branch/Cycle, Semester, From Reg - To Reg
and Exceptions
5) Double Click on the rowopens student removal screen. Uncheck
the student to be removed .Click Remove to remove the student
from room. Number of students removed from the room will be
shown in Exception column of the main screen.
6) Click on Check UnAllotted Students show a screen with all the
un-allotted students list..
7) Select a Student and Room to be assigned for the selected student.
8) Click on Allot updates the data.
9) Click Check Seat Allotment button. This shows a screen with list
of rooms.
10) Select a room. Physical arrangement of the room is displayed
on the screen. This cannot be modified.

Staff Allocation for Examination

You can allocate the staff for exam duty using the staff allotment screen
of university examination module.
Follow the procedure to allot the staff for exam.
11) Open the University Examination module of SmartCampus.
12) Choose Define > Staff Allocation. The screen appears.
13) Select the Course, Exam, Date (date of Exam) and
Session from the drop down list box.
14) Enter the Room No, Sub Code, Subject Name,
Branch/Cycle, Semester, StaffCode, Staff Name and Student.
15) Select the staff name from Add another staff to drop down
list box.
16) Click Apply. The allotment of staff is completed for particular
exam, session and subject.

Room Wise Students’ Attendance

Follow the procedure to enter room wise students’ Attendance.
1) Choose Transaction > Student Detail. The screen appears.
2) Select Course, Exam, Date, Session and Room No from the drop
down list box. The details of students like Reg No, Student Name,
Semester, Subject, Branch/Cycle will display in columns. Enter
student’s attendance (Present / Absent / Malpractice etc.) in the
Status column. Optionally Answer Sheet Number, Additional Answer
Sheet Number and Remarks against each student can be entered.
3) Click Apply.

Room Wise Staff Attendance

Using the staff exam details screen of university examination module you
can enter staff attendance for a particular room.

Follow the Procedures to generate room wise staff details.


1) Choose Transaction > Staff Detail. The screen appears.
2) Select the Course, Exam Title, Date, Session and Room No from
the drop down list box.
3) Enter staff attendance (Present / Absent) in the status column.
4) Click Apply to save the attendance.

Post Examination
Post Examination process involves Marks / Grade porting, SGPA & CGPA
Calculation.

Porting of Marks / Grade


Student wise marks / Grades can be ported using the standard excel
sheet template available in SmartCampus. To port the marks, open
Examination > Transact > Marks Entry > Porting from Excel menu.

SGPA Calculation
Student wise SGPA calculation can be calculated by choosing the option
Examination > Transact > SGPA Calculation. Smart Exam will calculate
SGPA for each student as per the subject credits and grade points.

CGPA Calculation
Student wise CGPA calculation report can be printed by choosing the
option Examination > Reports > CGPA Report. Smart Exam will calculate
CGPA for each student.
