Keep your letter simple and focused, so the purpose of your letter is clear.

The first paragraph of your business letter should provide an introduction to why you are writing. Then, in the
following paragraphs provide more information and details about your request. The final paragraph should
reiterate the reason you are writing and thank the reader for reviewing your request.

Single space your letter and justify your letter to the left. Leave a blank line between each paragraph.

Press Release Template


The following is a press release template that shows the standard formatting that a release
should follow:

Optional subhead is placed here, usually in sentence format.

Dateline – CITY, State, Month Day, Year (eReleases) –The opening sentence is the most
important element in a press release where you should succinctly summarize what is being
announced. The opening paragraph should clearly get the reader’s attention through a strong
hook while providing the most important facts. As a best practice, write your press release first
then come back and develop the opening paragraph as a summary of the press release. Then
compare this new opening paragraph with your initial first paragraph.

A press release should consist of three to six paragraphs where you provide all the relevant
facts and information a reporter should use to write a story. The most important information
should be listed first, with the least important information appearing in the final paragraph. Each
paragraph should consist of three to six sentences written in the third person. You should
maintain an objective tone and avoid hype. The average press release consists of 500 words or

that the media generally won’t use them unless they are evocative, fresh or state something in a

Be sure to spell check your press release and fact check any facts or statistics in your press
release. You should check your grammar as well read your press release aloud to ensure there
aren’t any obvious errors. Lastly, it’s a good idea to have a trusted friend and/or colleague read
your press release.

A press release can be used to announce a new or updated product. Other press release topics can
include a partnership with a company or organization, as well as being issued an industry award.

Optional Boilerplate

A boilerplate is a short paragraph that explains the identity of a company and what it does.
Boilerplate is optional, but it doesn’t hurt to have one to help identify your business. Think of
boilerplates as a thumbnail sketch of your company that provides a little background information
to the press. Once you’ve written a boilerplate, you can use it in all of your press releases.

Business proposal
A business proposal is a request by a business or individual to complete a specific job or project;
to supply a service; or in some instances to be the vendor of a certain product.

It’s generally a document you’d send to a prospective client, outlining the service you’re offering,
and explaining why you’re the best person for the job.
A business proposal can be either solicited or unsolicited. With a solicited proposal, the
prospective client will put out a request; with an unsolicited proposal, you are approaching a client in
hopes of attracting their business, even though they did not explicitly request a proposal.

How to Create a Business Proposal


There are many things you will need to cover in your proposal letter. Each different part has a purpose, and
altogether they should set out clearly the reason for the letter. Here are five sections that need to be included:

 Introduction – This should grab the attention of the reader. Take this part to establish your agreement
about the issue and begin to set the tone for the next section.

 What is the problem? Define the problem you are working on and what would happen if it is not
resolved. This should be stated clearly and concisely to convince the reader that what you are
proposing is necessary.

 How will you solve the problem? What this section includes will vary depending on the type of
proposal, but it will be the most important part of the document. When describing your proposed
solution, any supplemental information can be added as annexes to the document.

 Cost/Schedule – These portions may not apply to all proposal letters, but if applicable, they will need
to be very descriptive so as not to mislead the reader in any way.

 Executive summary – This is the conclusion. It needs to sum up the major points from your
document and leave your reader with a good final impression.

Those five sections can serve you as proposal outline. Using them as a starting point, there are four important
steps to follow to create a strong proposal.

 Write the proposal – At this stage, you should write out all your main points to get everything down
on paper. Don’t spend too much time analyzing your wording now – that comes next.
 Edit – Go through your document ruthlessly to make sure your content flows well and presents all of
your ideas. You may also want to consider getting another person to read through it when you think
it is ready, since a fresh pair of eyes may catch something you have missed.

 Proofread – Once you have arranged and edited all your ideas, you will need to proofread your
document thoroughly to make sure all the spelling and grammar is correct.

 Submit by the deadline – If a deadline has been set, anything submitted after that date will usually
not be considered. Also, make sure you are aware of what format the company wants the document
in; either electronically or in hard copy.
