Direct Debit:
An agreement made with your customer to allow the transfer of funds
from their bank account to your bank account. The transfer of funds occurs when
the bank receives a document or tape containing the invoices to be paid.
Mostly used in Europe.

This note describes:

A.
Before starting the creation of Automatic Receipts setup the following:

1.
Internal Remittance Bank

This bank account will be used for collecting the money through automatic
remittances.

NAV Setup/Receipts/Banks - button Bank Accounts, enter bank with


Account Use Internal.

2.
Receipt Class/Payment Method for Automatic Remittances
- assign the internal remittance bank to this receipt class
- assign formatting programs

Customer Bank Account
This bank account will be used to collect the money from.

Assign the remittance payment method (see receipt class) to the customer

B.
To do a Test:

1.
Create and complete a transaction for the customer used under A

a)
Payment term/due date determines when invoice will be selected.
b)
Remittance information is in the paying customer zone.
The remittance payment method is defaulted when this is setup as the
primary payment method for this customer.

2.
Create/approve/format Automatic Receipt batch
NAV Receipts/Batches

a)
The automatic receipt "actions" (create/approve/format) can be
run separately or combined.
b)
Use type "Automatic" and take notice of the currency in which the
receipt should be created.
c)
The automatic receipt batch process should result in applied
receipt(s) after approval/format steps.
d)
The Automatic Receipts Execution Report shows the created automatic
receipts.
e)
After approval and format (and confirmation) the "maintain" form will
not show any transactions, because no modification should be performed
on a batch after approval is done.
f)
The created receipt(s) can be found through the "receipts summary form&
quot;:
query on receipt batch name.
g)
The only way to cancel an Automatic Receipt Batch is through the
"receipts summary form" by reversing the receipts (through the menu
all receipts in a batch can be selected at once in order to reverse them
in one step - Edit/Select all).

3.
Create/approve/format Automatic Remittance Batch
NAV Receipts/Remittances

a)
The automatic remittance "actions" (create/approve/format) can be
run separately or combined.
b)
It is possible to choose for automatic creation or manual creation, all "
new"
Automatic Receipt Batches that are approved/formatted for this bank
branch/currency will be available for remittance.
c)
The remittance batch process will result in a datafile and a remittance
document.
d)
The datafile should be sent to the remittance bank. The bank will process
this datafile and transfer the funds from the customer bank to your remittance
bank account.
e)
After approval/formatting it is possible to choose the maintain form, however
it is not posible to update/de-select receipts.

C.
Troubleshooting:

1.
If no transactions are selected for the automatic receipt batch check the
following:
a) payment method of the transaction (receipt class/type automatic);
b) currency of the receipt batch
c) due dates of the expected transactions
- Lead days of the Receipt Class
- Terms in the transaction

2.
After the approval (and confirmation) of.
the automatic receipt batch, it is
not possible to modify the batch. There will be no receipts in the maintain
form. Use the "Receipt Summary Form" to view the "created"
receipts.

3.
If the receipt class requires confirmation, the receipts will not be selected
for Remittances (after creating the Automatic Receipts) until the receipts are
confirmed. If receipts are not confirmed, it is still possible to view the
receipts in the "maintain" form of the automatic receipt batch.

4.
After approval of the remittance batch, it is possible to view the selected
remitted receipt through the maintain form. However it is not possible to
update/de-select the receipts in this stage.

5.
An approved automatic receipt batch must be cancelled by reversing all receipts
in the batch (through the menu all receipts in a batch can be selected at once
in order to reverse them in one step - Edit/Select all).

6.
It is possible to re-run the format process of the Remittance Batch to create a
new data-file.
The reason you might wish to re-run the format process, is that the prior
datafile could have data corruption before it was sent to the bank.
Be aware of the fact that the previous selected receipts will also be in
the data-file, even when the receipts are reversed afterwards. More secure is
to delete the Remittance batch and create a new one (see also next remark).

7.
It is possible to delete a remittance batch only if its status is either
Started Creation or Completed Creation. When a remittance batch is deleted, all
receipts within the batch become available for selection the next time a
remittance batch is created.
