II.

PROJECT DESCRIPTION

The proposed system Library Management System is a desktop based

application system used by the Librarian as means of record keeping of the books and

assets stored in the library. This helps to keep the records of whole transactions of the

books available in the library. It has a feature that can provide the librarian about books

transaction record including the calculated days overdue of unreturned books and the

payment for the penalty.

Library Management for Del Carmen School is very easy to use and fulfils most

of the requirements of a librarian. It can help user to manage the transaction or record

efficiently. This software is available only in local host based. The project mainly

focuses on basic operations in a library like adding new books, lending books which

automatically updates the book status, searching of books, and borrowers’/borrowed

books information. All transactions are computerized. Less paper work. Secured and

has a consistent Database.

Mission

The GRP 2 Media I.T. Solutions is to provide system software with better

performance and quality that innovated through generations.

Vision

To ensure continuous enhancement of work using information ad computing we

are dedicated to ensure the integrity of data, to improve the delivery of instruction ad to

encourage a bright technological future for GRP 2 Mead I.T. Solutions.

Objectives

The main objective of GRP 2 Media I.T Solutions is to provide quality system

software that will enhance and accurate technological work.

Duties and Responsibilities

 PROJECT MANAGER – The person in overall charge of the planning

and execution of a project.

 ASSISTANT PROJECT MANAGER – He/ She responsible for

assisting the project manager in coordinating the activities of a

project to ensure cost, schedule, document control and ensure that

quality standards are met.

 FINANCE MANAGER – The responsible for the financial health of

the organization. They produce financial reports, direct investments

activities and develop strategies and plans for the long-term financial

goals of the organization.

 PROGRAMMER- Responsible for making and programming the

system software. He test, write, debug and maintain the detailed

instruction in the computer program.

 HEAD DESIGNER- In charge of approving the necessary design for

the interface of the system, also ensure that the design is appropriate

for the system. Responsible for the overall outlook design of the

system.

 DESIGNER- Responsible for creating design, develop and execute

unit test plans, test plans, test cases and test strategies and execute

subsystems test plans.

 RESEARCHER-Responsible for the careful study that is done to find

and report new knowledge about the system, clients and target

market.

 DOCUMENTER- Responsible for making the documents needed for

proposals such as system documents, contracts and project

proposals.

 MARKETING MANAGER – responsible for the commercial

processes involved in promoting and selling and distributing a

product or service.

Scope

1. The system will provide and optimized service. All manual work converted into

computerized, so workload of worker decreases.

2. The members can check available details of books, project reports and journals.

3. The system provides registration and log-in for librarian and staff.

4. The develop system can calculate days overdue of unreturned and the payment

for the penalty.

5. The system will records management of different categories of reading materials

like: Books, Journals, Newspaper Magazines, etc.

6. The system will manage record of complete information of the book like: Book

name, Author name, Publisher’s name, Date of Publication, cost of the book, Book

purchasing date/b Bill no.

7. The system will develop the number of books that are issued to a particular student

and easy way to know the status of book weather it is borrowed or available.

Limitation

1. The develop system can only be used by the librarian and the staff of the library.

2. The system can only be accused within the premises of the library and only through

a computer.

3. The system cannot print receipt for the payment of overdue days.

4. The system is not connected through the internet and is only used offline.

5. The system only uses MySQL as a Database for information storage.

6. The system will be developed using Microsoft Visual Studio.

Significance of the Project

The significance of this project will redound to the selected School in Quezon City

that play the role in the study of students. This Project will help to improve the book

borrowing system and organizing the books in the said department. It can also a learning

paradigm for those who wants to create another library management system. The study

can also be use as reference to develop a better and more innovative system.

For Students

 The significance of this project, through the computerized library system, they can

easily find books that they are looking for without going through the traditional way

of searching a library material. It is also convenience to students for not time-

consuming, resulting to a number of accomplished work.

For Librarian

 The significance of this project. The computerized library system will improve the

monitoring capacities of those who maintain the library. It will be easier to

determine whether a particular books is on shelf or not. In addition they can easily

identify when will the borrowed reading materials be returned and if a borrower has

failed to return the books on its due date. Furthermore, the librarian will be much

guided when it comes to recognizing new published books, letting them arrange it

promptly and accordingly.

For Teachers

 The significance of this project. Through the computerized library system, teachers

will lessen their time-consuming on finding teaching materials for students.

The researcher’s prospective clients are Educational Institution especially schools

wherein library are functionally. Educational Institution because the team aim is to provide

quality system software that will enhance and accurate technological work.

Definition of Terms

Computerized. -To equips with or automates by computers.

Cost Benefit Analysis – is a systematic approach to estimate the strengths and


weaknesses of alternatives.

Data - Factual information or information for computer processing, distinct pieces of

information usually formatted in a special way. All software is divided into two general

categories: data and programs. Programs are collections of instructions for manipulating

data. Data can exist in a variety of forms as number or text on pieces of paper, as bits

and by test stored in electronic memory, or as facts stored in a person’s mind.

Database - A set of data that has a regular structure and that is organized in such a way

that a computer can easily find the desired information.

Library management system - To keep track of all the books and periodicals in the

library and their check-out status. Checkout and return are manage by authorized

librarian. The Library system also interfaces with an external relational database which

stores information about the library users (students, teachers and staff), including whether

they have any library items checked out. Library users can access the catalog and recall

books and periodicals. Library employees have the same access as well as additional

capabilities (e.g., listing the status of an item).

Records - Data, details, documents, file, information, or reports. In the structure of s

database, the part consisting of several uniquely named components called data fields.

Several data records make up a data files and several data files make up a database.

WBS (Work Breakdown Structure) – a key project deliverable that organizes the team’s
work into manageable sections

The GRP2 Media I.T. Solutions lays out details on how good the projects will be

delivered, which includes installation, business location, technology needed, materials

and labor.

The benefit of library management system to users, the library can monitor and

accommodate students and employees with efficiency and accuracy.

The Proponents describe the current and the future market potential, competition,

sales estimations and prospective clients in every industry.

Del Carmen School of Veterans Quezon City is the only school in the veterans,

with this, the school has a potential for the implementation of the library management

system.
