If you submit a problem that is a software defect or for missing or inaccurate


documentation, IBM Software Support creates an Authorized Program
Analysis Report (APAR). The APAR describes the problem in detail.

Whenever possible, IBM Software Support provides a workaround that you


can implement until the APAR is resolved and a fix is delivered. IBM

Administration Module

The Administration module has two cloned applications. This chapter

provides an overview of the new actions and fields in the cloned applications.

For more information on any application, refer to the application help. You
also can refer to the IBM Maximo User’s Guide for more information on any
standard Maximo application.

The Administration module contains the following cloned applications:

Application Service Provider Function

Organizations (SP) Specify whether you require


formatted street addresses;
the status at which a record
can be added to a bill batch;
the work order status at which
you can edit fees and charges.

Classifications (SP) Specify whether a


classification applies to sales
orders.

Organizations (SP) Application


You use the Organizations (SP) application to set up the organizations and
sites to use with Maximo. You must define at least one organization and one
site.

Within the Organizations (SP) application you set defaults for a wide variety
of options relating to Maximo applications or groups of applications, such as
work orders, inventory, purchasing, PMs, assets, and so forth.

Organizations (SP) Application

Work Order Options > Edit Rules Action


You use the Work Order Options > Edit Rules action to specify the work
order properties that you can edit at various statuses. Specify edit rules for
the following properties:

! GL account
! Asset
! Location
! Work plan labor
! Work plan materials
! Work plan services
! Work plan tools
! Data on the Safety tab
! Fees and charges

Service Options Action


You use the Service Options action to specify how to enter street address
information for a service address. Specify whether street address information
is entered in a fixed, structured format, or as text in fields.

If you require street address information to be entered in a structured format,


users enter street address information in the Add/Modify Street Address
dialog box, which they access from the Service Address tab in various
applications.

You use the Billing Options action to specify the status at which completed
work can be added to a bill batch.

You set billing options for the following types of records:

! Service requests

Classifications (SP) Application

Classifications (SP) Application


You use the Classifications (SP) application to create classifications and build
classification hierarchies. Classifications provide you with a means to logically
categorized information, and can be used on location, asset, item, work order,
ticket, sales order, and solution records. You can classify and then search for
things that have been classified.

Classification also is a condition that Maximo uses when searching for


matches between customer agreements, service level agreements and
response plans, and the records to which they might be applied.

You can associate a classification with a customer. When you make this
association, only the associated customer can see this classification.

Associate a Classification When you associate a classification with a customer, the classification is
with a Customer Action available only to records for that customer.

NOTE Unlike most actions, you do not select this action from the Select Action menu.
You perform it by clicking the Detail Menu icon next to the Customer field on
the Classification tab.

The Assets module has one cloned application. This chapter provides an
overview of the new and enhanced tabs and the new action in the cloned
application.

The Assets module contains the following industry-specific application:

Locations (SP) Specify the responsible


customer for a location and
the charge account and cost
center of that customer.

Locations (SP) Application


You use the Locations (SP) application to create and maintain locations for
assets and locations where you provide services to customers. You can
organize these locations into logical hierarchical or network systems.

You use systems of locations and specifying the location for assets on asset
records to gather and track valuable information about the history of assets.
You can obtain information on asset performance at specific sites.

You also can associate locations with a service address. A service desk
typically uses a service address to identify one or more locations where it
provides services or performs work. You can organize locations associated
with service addresses into a hierarchical address system.

You can associate locations with one or more of your service customers. A
system process can match data on the combination of location and customer to
apply a response plan, service level agreement, or agreement price schedule to
work for that location.

Escalations (SP) Application


You use the Escalations (SP) application to automatically monitor critical
processes across your enterprise. The primary goal of escalation management
is to ensure that critical tasks are completed on time, such as those defined for
service level agreements. You can also use escalations for events such as
notifying you before contracts expire, changing the status of a record, or
changing the owner of a record.

of people. This application stores personal and official information on

employees or employees of customers or vendors with whom you do business.

Activities (SP) Application

To understand how each action applies to other applications, substitute the


word activity in the following descriptions with change, incident, and so on.

Apply Response Plan Action


You use the Apply Response Plan action to apply a response plan to an
activity. When you apply a response plan, you ensure predictable and
repeatable responses to similar activities.

Apply Customer Agreement Action


You use the Apply Customer Agreement action to apply a customer
agreement to an activity. When you apply a customer agreement, you also
apply the price schedule that matches certain criteria on the activity.

Select/Deselect Price Schedule Action


You use the Select/Deselect Price Schedule action to select a price
schedule or deselect a price schedule on a ticket, work order, or sales order.
You associate only one price schedule with a record, so you might deselect a
price schedule so that you can select a more appropriate one.

View Costs and Prices Action


You use the View Costs and Prices action to view transaction costs and
prices, and fees and charges, for a ticket, its activities, and its child activities.

View Billing Status History Action


You use the View Billing Status action to view billing status history for a
ticket, work order, or sales order. The dialog box displays billing status history
for all billing lines that reference this ticket, work order, or sales order.

implementing changes or deploying new, standard configurations to existing

Incidents (SP) Application


You use the Incidents (SP) application to create, view, delete, and resolve
incident records for customers and other users. You create an incident record
to capture information about an event that deviates from standard service or
an event that might disrupt the quality of that service.

within specified location hierarchies to a response plan. The response plan is
applicable to records such as tickets, work orders, or sales orders that
reference one of the organizations, sites, locations, or location hierarchies on
the response plan.

Assets Tab
You use the Assets tab to add assets and asset types to a response plan. The
assets can be within a specified asset hierarchy. When you add assets and
asset types to a response plan, it makes the response plan applicable only to
tickets, work orders, or sales orders with the same asset criteria.

You use the Bill Review (SP) application to review bills in a bill batch and
resolve questions before the final bill is issued.

After reviewing price details for a batch line, you approve or dispute the line
prices by changing the status of the line. After you review all lines, change the
status of the review bill to Reviewed. Approved lines on reviewed bills become
part of the next bill statement. Disputed lines are sent to the service provider
for further review. All unbilled transactions are carried forward for potential
inclusion in the next bill batch.

Line Status Summary Action


You use the Line Status Summary action to view the status of a line in a bill
batch. Typically, you use the action to determine how many lines in the bill
batch require review and action before you can change the status of the bill
batch.

Sales Orders (SP) Application

Sales Orders (SP) Application


You use the Sales Orders (SP) application to bill for services that are not
directly related to cost. For example, you bill monthly management fees, trip
charges, and several types of IT asset management fees with sales orders. You
can bill for IT asset management by count, performance, and usage. If you
contract for annual incentive payments, use sales orders to bill any incentive
amounts.

You associate a customer with the sales order, then apply a customer
agreement and price schedule to the sales order. The customer agreement
specifies agreed-to services, terms and conditions. The price schedule can
apply fixed fees and the pricing rules for services you provide or procure. You
can specify additional fees and charges on the sales order. If you create a sales
order to bill for IT asset maintenance, you specify certain information about
the assets, apply the agreement and price schedule, and let Maximo calculate
billing prices.

You use the Change Status action to change the status of a sales order. You
might need security authorization to change a status.

Select Owner Action


You use the Select Owner action to assign administrative responsibility for a
sales order.

Take Ownership Action


You use the Take Ownership action to take administrative responsibility for
a sales order.

Apply Response Plan Action


You use the Apply Response Plan action to apply a response plan to an
activity. When you apply a response plan, you ensure predictable and
repeatable responses to similar sales orders.

Apply Customer Agreement Action


You use the Apply Customer Agreement action to apply a customer
agreement to a sales order. When you apply a customer agreement, you also
apply the price schedule that matches certain criteria on the sales order.

Select/Deselect Price Schedule Action


You use the Select/Deselect Price Schedule action to select a price
schedule or deselect a price schedule on a ticket, work order, or sales order.
You associate only one price schedule with a record, so you might deselect a
price schedule so that you can select a more appropriate one.

View Billing Status History Action


You use the View Billing Status action to view billing status history for a
ticket, work order, or sales order. The dialog box displays billing status history
for all billing lines that reference this ticket, work order, or sales order.

View Sales Order History Action


You use the View Sales Order History action to view the status and
ownership history of a sales order.

Edit Sales Order History Action


After a sales order is closed, Maximo archives the sales order and it becomes a
history record. You use the Edit Sales Order History action to modify an
archived sales order.

Duplicate Sales Order Action


You use the Duplicate Sales Order action to duplicate a sales order.

Delete Sales Order Action


You use the Delete Sales Order action to delete a sales order. You cannot
delete a sales order that has been extracted to a bill batch.
