Chapter 10 - Project Communications Management:

1) Processes are:

a. Plan Communication Management – Planning group

b. Manage Communications – Executing group

c. Control Communications – Monitoring and Controlling group

2) Project Managers spend approximately 90% of their time communicating.

3) Communications are of following types:

a. Internal and external

b. Formal and informal

c. Vertical and horizontal

d. Official and unofficial

e. Written and oral

f. Verbal and non-verbal

4) Inadequate communications planning leads to following problems:

a. Delay in message delivery

b. Communication of message to wrong audience

c. Insufficient communication to stakeholders

d. Mis-interpretation of the communicated message

5) Effective communication – information is provided to the right audience in right time, right format
and with right impact.

6) Efficient communication – providing only the information that is needed.

7) No. of communication channels required in a project are N(N-1)/2, where N is the no. of
stakeholders (including the project manager).

8) A project manager has to thus determine who get receive what information and who will
communicate with whom so that the no. of channels do not grow to a limit where they cannot be
managed.

9) Decision to choose any communication technology is dependent on following factors:

a. Urgency of the need for information

b. Availability of technology
c. Ease of use

d. Project environment

e. Sensitivity and confidentiality of the information

10) Noise factors include distance, unfamiliar technology, inadequate infrastructure, cultural
differences and lack of background information).

11) The acknowledgement of receipt of the message by receiver does not mean an agreement to the
message.

12) Sender has the responsibility to ensure that the message has been received and correctly
understood by the receiver.

13) Communication methods are:

a. Push communication

14) Reciprocal communication is a form of Interactive communication. It can be formal or informal,


verbal or written, internal or external.

15) Paralingual communication – Pitch and tone of voice during communication

16) Non-verbal communication – includes physical mannerism

17) Active listening means the receiver confirms he or she is listening, expresses agreements or
disagreement and ask for clarifications when necessary.

18) Interactive communication is the best method to ensure that communication has been
exchanged properly, is understood and the feedback can be taken appropriately.

19) A project manager cannot control “all” the communication on a project.

20) Communication blockers create conflicts in the project.

21) For better co-ordination of project deliverables, functional managers need to be provided the
communication management plan
