Role of Human Resource in Organisation

Observers Name: Venkatesh Madalli.

Observation Date: 24/08/2017

(undisclosed on request, due to non-availability of permits) is one of India’s largest Solar PV


module Manufacturer and EPC contractor with major production unit in Bangalore with
worldwide presence. Manufactures solar modules, solar cells and ancillary products also
provide EPC service (engineering, procurement & construction) for solar projects. Has
installed 10,500 MW generation capacity units in India. The company has a large and diverse
Workforce of 6000 employees (approximately) spread across the nation, with head office in
Noida and corporate offices spread over 4 major cities in India, Head Office and each
corporate office houses HR department helping company to maintain its most important
resource.

The organisation also consists of various departments for effective functioning:

Production.

Technical/Operations

Marketing.

Human Resource.

Finance.

Designation of Professional being studied: Senior Executive HR.

Education Qualification : MBA Human Resource management.


Team structure and reporting in the organisation:

The team hierarchy is structured into 3 layers:

1. The first layer of Human Resource team and their role : HR Associate, HR Assistant,
Recruitment Manager and HR Manager, the responsibility of the first layer of team is
to look after the payroll, leave management, individuals performance, issuing of
notices and information received from concerned departments, maintaining records
related to employees, issuing of recruitment notices, receiving of applications from
potential candidates, shortlisting candidates by conducting elimination tests and
sending the lists of shortlisted candidates to concerned authorities and to Executive
HR. the first layer employees report to the Executive HR.

2. The second layer of Human Resource team and their role: Assistant Director HR, HR
wages and salary Administrator, HR welfare and benefits Administrator, HR training
Administrator, Associate Executive HR, Senior Executive HR, wellbeing
officer(counsellor), the role of second layer team of Human Resource is to review and
plan training procedures, determine the pay components, negotiations , interviewing
and assessment of shortlisted candidates along with concerned departmental
authorities, addressing the concerns of employees in organisation, identifying,
analysing and addressing various workforce related issues, leading and motivating
people with planned activities and tasks. formulation of strategies on basis on data
inputs, The second layer team reports to Additional Director HR.

3. The Third layer of Human Resource team and their role: Director HR, Additional
Director HR are the top-level managers in Hierarchy of Human Resource department,
conduct interviews of candidates for key managerial posts, collecting information’s
reports from lower layers on various issues and decision making addressing various
issues related to Human Resource , their responsible for efficient functioning
workforce, they coordinate with different departments while taking major decisions to
check how it can affect the work forces, also suggest the board how and what kind of
incentives and appraisal can boost morale of work force and the productivity of
workforce is maintained at optimum level. The Director HR and Additional Director
HR directly report to CEO or Board of Directors.
Observations Made during Visit
1. The day starts with a meeting where they discuss the progress of current ongoing
tasks and set prioritised to-do list for the day, they discuss any issues related
employees and check if they must fill any vacancies and approvals of resignations,
and prepare list of reports or information that must be sent to higher level of
hierarchy.
2. Replying to mails from other departments and requesting for information from other
departments, having one-one meetings with employees and addressing their issues or
referring them to wellbeing officer if they have issues with coping or personal issues.
3. Approvals of payroll and rectification of problems with documentation and mentoring
the trainees and providing them inputs where they went wrong and how they can
improve.
4. Video conference meeting with other branch Executives to check with progress and
status, discussion for integration, implementation and evaluation of new training
proceduers and materials, formation of teams for upcoming projects and evaluvating
incentives.
5. Addressing training and activity teams making them understand the importance and
learning outcomes of that program.
6. Executives meeting, where the executives of different teams meet , discuss and
coordinate for achiving goals of the organisation, conveying the issues and concerns
of various department to the higher hierarchy of the organisations( top management at
headquarters).
7. Clearing all the files and approvals for the day,forwarded to to Senior Executive HR.
8. End of the day meeting with layer 1 and layer 2 teams, brief them about meeting of
Executives held during the day , discussing what is expected by the Human Resource
department and assigning the responsablity and tasks accordingly to the team.

Conclusion: Job shadowing with Human Resource professional gave a insight into
the day-today activites involved in functioning of a organisation, the understanding of
human aspect in a organisation in connection with the subject Understanding &
Managing people is very relevant, without human relations the organisations merely
exists.
