Guidelines on recording Attendance, travel , on duty

Objective
To ensure a standardized process across all locations and confirm with statutory
requirements
Scope
Applicable to all employees across all COMPANY locations, except for the Leadership
Team
Guidelines
Recording of attendance is mandatory for all except as mentioned above

Employees should record their attendance thro bio metric system at the
time of entry and exit from work place

Any late coming without proper approval or intimation to the respective


immediate supervisors/ managers should be properly recorded and high
lighted by the respective HR executive as detailed :
1. In case of employees on shift on a daily basis to their respective
supervisors/ Managers and proper explanation taken from them
2. In case of employees in General shift the summary of attendance should
be shared with the respective supervisors/ Managers on a weekly basis
every Monday for the previous week attendance with a copy to the Plant
Director

Employees who are in Marketing roles should record their attendance thro
bio metric without exception, while at their base location. While on tour, they
should intimate their supervisor/ Manager through mail/sms with a copy to
respective Unit HR

Employees who are on travel for work related activities, should keep their
Supervisor/ Manager informed through mail, with a copy to respective Unit
HR
Employees who are in corporate roles which needs visit to all locations, other
COMPANY units, should share their visit schedule, through Mail to their
respective functional head with a copy to HR
Habitual late comings, not recording the entry and exit through bio metric,
will have an impact on their annual performance appraisal
Respective Unit HR to collate the details of late comings and share it with
Plant Director, for further course of action , as per existing norms, before
processing the pay roll
On- duty
Employees who leave the work premises during work hours , on duty, should
properly inform their supervisor/manager, without exception and managers
should be fully aware of their team members work outside the office
premises, during working hours

Employees before leaving the work premises during working hours should
necessarily record their out and in timings at the register maintained at
the Security gate.
The above is a mandatory requirement from a statutory point of view

The security at the main gate, to record all the exit and re- entry of employees
during office hours
Visitors entry
Visitors shall be allowed inside, only after recording their particulars at the
main entry in a prescribed form
Visitors to be given an entry pass at the gate, which should be returned back
at the gate duly signed by the person who met the visitor
The details of visitors entry, should be shared with Plant Director, CEO and
CPO on a daily basis.

This comes in to force with immediate effect
