1. Executive summary (1 page max)


For the successful implementation of our project with a minimum impact of risks, there
were used such management techniques as Stakeholder Mind map, Fishbone diagram,
Requirements and Feasibility table, Work Breakdown Structure and Process Failure Mode
Effects Analysis. They were very useful in determining the structure of our project, its
possible risks, their causes and consequences, as well as in devising plans for their prevention.

2. Introduction (1 page max)


An introduction should describe the nature of the project, its overall goal, and the projects
value to the company, client, or community. You will provide your project charter here. Be
as succinct as possible without sacrificing necessary details. Your audience may be pressed for
time. Try to convey your message in a couple of sentences or bullet points instead of lengthy
paragraphs.

3. Methodology (2 pages max)


You should provide all the methods (e.g. fishbone, SWOT, risk assessment, mind mapping,
stakeholder engagement meetings, etc.) and their details that enable you to provide relevant
information, quantitative, and qualitative observations that inform the needs of your project.
Do not copy and paste text materials from any external resources, use your own words and
understanding to describe the methods employed.

Make it easy for the reader to understand why the methods you selected are important, how
it is uniquely suited to answer a particular problem, and how it will answer or meet your
project needs or clients requests. You can create several subsections for each method you
used.

4. Results and Discussions (5 pages max)


Using the provided techniques that were described in the previous section, we can present
clear view on the structure of our project, what are the stages and participants, the possible
risks and their causes.
a. Stakeholders Mind Map
Main benefit of mind map, is simple construction. Figure 3 shows all stakeholders of the
event, divided into 9 groups. In some of groups, there is one more subgroup. All of them
directly or indirectly have an influence on the success of our project. For example,
Competitors group could entice the audience by their events which intersect with Astana
ball. Therefore, we need to find a compromise in the dates. Charitable organization is still not
confirmed, thus its subsection is empty. Project management team is more detailed, because
it is an executive team, where each member has most impact on the project. Groups like
Sponsors and Participants could vary and increase, however overall structure will remain.

b. Program Requirements and Feasibility
Feasibility/Requirement table could identify most challenging part of the project by marking
its importance according to 6 parameters. It was not simple to ranking all requirements, as
each has effect on our event. After summing marks, we had a top-17 of requirements with
some of them sharing the place, e.g. High quality performances and Presence of monitors
for viewing reaches highest score 16 out of 18 (the first is the reason for which the guests
will come and the second is the most difficult part in terms of implementation) and they from
different types of requirements. Our requirements mostly relate to customer type, as we had
social project. Derived and Performance types follow with a little less quantity, while Design
and Functional have only 1 for each.

c. Fishbone diagram
For fishbone diagram, problem with equipment was analyzed to find root causes.
Organizational, Technical, Personal, and Environmental causes are main causes divided by
sub-branches that are root causes. Personal causes can be eliminated by training session with
equipment, while Environment is challenging to overcome. Technical is closely connected to
Organizational, because there is should be an authorized person placed by project team for
performance verification of equipment. By evaluating root causes we will decrease the risk of
appearance of the problem, however in particular cases it could be only the reduction of the
impact without elimination of the cause.

d. Work Breakdown Structure (WBS)
Holding of Astana ball is level 1 of our WBS with following dividing by 3 more levels. 2 level
consist of 5 consecutive phases: Initiating, Planning, Designing, Main event and After event.
On the first 2 stages, there is minimum of practical implementation with more effort on
concept and organizational moments, as official documentation and contracts. Last three
divisions require more work with material (location and decorations) and people (controlling
of work process). Level 3 and Level 4 together make up each phase, they are work packages.

For each phase was created WBS dictionary, where details are provided with deadlines and
requirements.

e. Process Failure Mode Effects Analysis (PFMEA)
In the project 11 risks had been evaluated and divided by 10 groups. After each risk was
analyzed by 3 parameters: Occurrence, Outcome and Detection; Risk Score (result of
Occurrence and Outcome) and Risk Priority Number (product of RS and Detection) were
assigned. According to the Figure 8, Bad acoustic in the site has most RS and RPN point,
which signify huge influence on the event, as it hard to estimate and consequences would be
appalling. Mitigation and Contingency plans were developed for each risk to reduce probability
and effects.

5. Conclusion (1 page max)
Use the conclusion to briefly remind the reader of the most important issues and the
projects objective. Focus on your projects forward momentum and goals in the conclusion.

You are also supposed to provide your comments and discussions about the learning
outcomes (from your own perspective) of this project. Consider it as a feedback to the reader
and it will help him to improve further activities.
