1. In the Work Area field, ensure that the dropdown value is defaulted to Standard area (client-specific).
2. In the User Group field, select HR: Malaysia User Group (ZHR-MALAYSIA).
3. Select on the ZHR-SDG InfoSet.
4. Click on to proceed.

1. Click on the checkboxes in the Output column to select the fields to be displayed in the report. By checking those
fields, the selected field names will appear at the preview pane below.
2. Click on the checkboxes in the Selection column to select the fields to set the criterias of report.
3. Specify the query criteria at the Reporting set area.
4. Click on the Reporting Period bar to choose the period of data to be generated.
5. Click on the Output icon to preview the report.

Working with report

1. Click on SAP List Viewer button . This mode allows sorting/filtering data columns.

2. To sort, right-click on the column to be sorted by. From the menu, select either Sort in ascend.order or Sort in
descend order.

3. To filter, right click on the column to set filter criteria for. From the menu, select Set filter.

Saving the report

1. From the menu, select List -> Export -> Spreadsheet. When a pop-up screen appears saying “Filter criteria, sorting,
totals and subtotals are not taken into account”, click on .

2. Select Table and click on .

3. Select the spreadsheet program that to display the report.

4. Make sure to save the report from the spreadsheet application first. Then, click on after saving the report in
spreadsheet format. Note: After clicking on , the spreadsheet report will close.

Saving the query

1. Click on the Save button or go to Query -> Save to save the query.

2. Enter the query short name and description.

Exercises

1. Produce a report containing the personnel number, names, and ages of your company’s employees aged 50 and
above. The report should be sorted by age followed by name. Wherever possible, display both the text and value
of the columns.
Hints:
Personnel Area – Organizational Assignment -> Personnel Area
Personnel Number – Actions -> Personnel Number
Name – Personal Data -> First Name
Age – Personal Data -> Age of Employee
To display both the text and value of your output column, right click on the column and select “text and value” from
the popup menu:

2. As of 30 Nov 2006, how many employees are actively working for your company (employment status = 3)? You
may use SAP HR’s standard reporting tool, Headcount Changes:
Human Resources -> Information System -> Reports -> Personnel Management -> Administration ->
Organizational Entity -> Headcount Changes.

Click on the “Local File” icon to save your report in spreadsheet format.

3. Filter the report that you produced in exercise 2 to display executive employees only. Hint: In the output of your

report, click on the EE subgroup name column. Then click on the “Set Filter” icon .

4. (Optional) Use SAP HR’s standard reporting tool to produce statistics on gender sorted by age for employees at
your company:
Human Resources -> Information System -> Reports -> Personnel Management -> Administration ->
Organizational Entity -> Age/Gender -> Statistics: Gender Sorted by Age.

5. (Optional) As part of your HR department’s new employee appreciation program, you have been asked to e-mail
birthday greetings to your company’s employees. Use SAP HR’s standard reporting tool, Birthday Lists, to produce
a list of employees whose birthdays are in December.

Generate Date-Sensitive Report

Date-sensitive reports consist of data prior to an employment in the Sime Darby Group or subsidiary operating units
(whichever is earlier). These data include education, previous employment and family & dependants. In order to
generate reports for those data, user will need to use a different method. The section below describes how to generate
that report.

1. Go to Edit. Select Settings. A pop-up screen will be displayed.

2. Check on the “Start via selection screen”.

3. Remove all criterias that have been set previously.

4. Delete all the criteria for the following fields:


a. Personnel Number
b. Employment Status
c. Personnel Area
d. Personnel Subarea
e. Employee Group
f. Employee Subgroup
Note: The reason why is that all these criteria will be selected on another screen (Please refer to next step).

5. Click on the Output button. Another screen will appear as below.

6. On the Selection Criteria tab, enter the desired values into the fields to be set as criteria.
7. If there is a need to set criteria on the Program Selections tab, fill in the field as well.
8. Click on the Execute button to generate the report.
