Update Statement Regarding Student Financial Aid Delays

Since the October 3, 2017, inquiry regarding delays in student financial aid
at Arkansas State University-Beebe, the college has resolved several of the
issues that were noted as factors contributing to the previous backlog.

The administration of ASU-Beebe recognizes that approximately half of our


student population is dependent upon some form of student financial aid to
further their educational pursuits. ASU-Beebe realizes that our concern for
our students can only be reflected through measurable results on this issue.
Here is a look at those results as of October 26, 2017.

- New Director of Financial Aid and additional analyst hired


- Contracted with outside entity to help expedite review and processing
- Implementing automated communication initiative to communicate
with applicants each time a transaction/change or update is made to
the record.
- 2,075 student aid applications of which 1,589 have been completed
- Of the 349 student packages pending (as of Oct. 3), 56 students
remain
o 56 are currently being reviewed and should see disbursement in 5
7 business days

As part of our ongoing improvements to the current system, ASU-Beebe is


performing an information technology analysis of the remaining student aid
accounts to validate when the last automated communication was routed to
the students email, and what that communication entailed. All
communication with students is routed to their ASUB student portal and
ASUB student email address.
Our financial aid department is working to process the application files as
expeditiously as possible, however, our analysis of the process reveals a
failure in communication with the student, said Roger Moore, Interim
Chancellor of ASU-Beebe. We are making changes to the IT system that
will email the student with a notice each time their file or application is
altered, updated or moved to the next step in the process.

ASU-Beebe plans to complete the analysis and grouping of pending student


files for communication by this weekend, and will process a notification to
those students via their student portal email as to their specific file status.

Students should check their ASUB student portal email account frequently
for updates and information explaining what steps are needed to help
resolve their applications.

ASU-Beebes goal is to continue to improve our processes and systems and


help each and every student get the assistance for which they qualify.
Additionally, we have identified four classifications of student to which we
are sending additional communication in order to assist in resolving future
issues.

Students who receive the additional communication to assist in resolving


their status should contact ASU-Beebes Student Services Department for
