2.2. The PROMT Expert 10 Translator Suite

The PROMT Expert 10 may contain translation profiles with specialized dictionaries, Translation Memory
(TM) databases, and predefined values of other translation settings, adjusted to translation of texts of certain
types in certain domains. To extend the capabilities of the PROMT translator suite, you may purchase
additional collections with specialized dictionaries from the PROMT online store (www.promt.com). This
allows you to customize your translator to obtain a more relevant and domain-specific translation.

Expert 10 Translator
You need administrator rights to install PROMT translator.
Plug-ins with translation capabilities are supported for the following third-party applications:
Microsoft Office XP2013 (only 32-bit versions);
OpenOffice.org Writer v23.2;
Microsoft Internet Explorer v811;
Mozilla Firefox v24;
SDL Trados 2007 and SDL Trados Studio 2009.
PROMT will continue to support future versions of the above applications provided their
architectures do not undergo substantial changes.
Hard-disk space requirements are indicated on the packaging.

3.3. Activating Translator
After installation, you need to activate your copy of PROMT translator within 45 days. You can do this by
using the activation wizard. Its window will automatically open each time you launch any application of
the translator suite. If you do not activate your product within 45 days after installation, you will not be
able to access any PROMT translator applications until you activate them.
Follow the instructions of the activation wizard:
1. Carefully read the activation instructions. You may need the information presented in this step later
for manual activation.
2. Choose activation mode:
Automaticfor automatic activation. You can optionally enter your user registration information
here.
This mode requires an active Internet connection;
Manualfor manual activation. In this mode you will receive your activation code using one of
the methods from the previous step. Enter it in the respective field. You can also enter your user
registration information here.
3. Complete your activation.

5.1. Overview
The starting point for becoming familiar with the main capabilities of the translator is the Translation
window in the PROMT Expert 10 application. It contains commands for the most frequently used
translation tasks.

PROMT plug-ins allow for translation of text documents in widely used Windows applications.
Step-by-step instructions translating with PROMT Expert 10 are described in the sections of this chapter.
Important:
If you wish to obtain a more precise translation, use the translator setup tasks found in the Translation
Setup window.
When translating, choose the translation profile that best matches the topic of the source text. This
will ensure the highest quality translation. For example, for texts about Internet-related topics use the
Internet profile.
Each language pair has its own set of translation profiles.
In most applications and modules of the PROMT suite, you can use keyboard shortcuts for the
basic translation commands:
F9 to translate the entire document;
Shift+F9 to translate selected text.

5.2. Quick Translation
To translate a short text directly in the PROMT Expert 10 application, choose Quick Translation in
the Translation window and follow these steps:
1. Enter text to translate, or
paste it from the clipboard.
2. Choose a language pair.
3. Select the desired translation
profile.
4. Click Translate.

You can choose to have Microsoft Word, Microsoft Excel, and Microsoft PowerPoint documents translated
in the following applications:
Command Application
Translate Word Document Microsoft Word, PROMT Translator or PROMT Batch Translator.
Translate Excel Spreadsheet Microsoft Excel or PROMT Batch Translator (only for files in the
Microsoft Excel 20072013 format).
Translate PowerPoint Microsoft PowerPoint or PROMT Batch Translator (only for files in
Presentation the Microsoft PowerPoint 20072013 format).
Use:
Microsoft Word, Microsoft Excel, and Microsoft PowerPoint to translate a whole document, or
part of it, directly in the application where it was created. This will help preserve the formatting
of the original text in the translation, edit the text, and use the key features of PROMT translator
to improve the quality of translation;
PROMT Translator for translating and professional editing of documents using a convenient
two-window interface and a complete set of tools for managing all linguistic settings of PROMT
translator to achieve the best results;
PROMT Batch Translator for quick translation of documents and saving results to files.

5.3.2. Translating Email Messages
To translate a Microsoft Office document, choose a necessary command in the Translation window in
the PROMT Expert 10 application. Then follow the steps below (which are identical for translating
Word, Excel, or PowerPoint documents):
1. Select the document you
wish to translate: type the
full path to the file or click
Browse and choose the file
2. Select the application in
which the document will be
translated.
3. Choose a language pair.
4. Select the desired translation
profile.
5. Click Translate.
The document you choose will be automatically opened and translated in the application you have
selected.
If you use PROMT Batch Translator for translation, the resulting translated file will be
saved by default in the same folder as the original file. The original file name will be preserved
and a user-defined suffix will be added to it.
You can also translate Microsoft Word, Excel, and PowerPoint documents directly in the
applications of the Microsoft XP/2003 suite by choosing commands from the PROMT Translator
toolbar. If you are using Microsoft Office 20072013, choose commands in the PROMT Translator
tab (see 5.3.3. Translating in Microsoft Office Applications on page 20).

To open Microsoft Outlook and translate email in it, choose Translate Email in the Translation
window in the PROMT Expert 10 application and follow these steps:
1. Click Launch.
Microsoft Outlook will open. Translation commands will be available in the PROMT Translator
toolbar (see next section).

5.3.3. Translating in Microsoft Office Applications
Translation commands (2) Translate a Microsoft Office document or its elementsfor example, a
paragraph, a cell in an Excel spreadsheet, or an email.
Each application of the Microsoft Office suite has its own
set of translation commands and display options (see 5.3.3.2.
Translation Commands on page 23).
Translation settings (3) Edit translation settings for the current document.
Dictionary (4) Add new words to a user dictionary and work with unknown words.
Reserving (5) Form a list of words or phrases that do not require a translation.
Other (6) Change settings of the PROMT for Microsoft Office extension, hear the
computer speak text, and view PROMT Help.
in Microsoft Office XP/2003 and Microsoft Outlook 2007 click and choose the
desired command from the pop-up menu;
in Microsoft Office 20072013 applications (except for Microsoft Outlook 2007), use the
the top part of the button to execute the default translation command for a particular
applications: Entire Document for Microsoft Word, Worksheet for Microsoft Excel,
Presentation for Microsoft PowerPoint, and In Translation Pane for Microsoft Outlook.

Depending on which application of the Microsoft Office suite you are using and which translation
command you choose translation display options will vary. For the description of available display
options, see 5.3.3.2. Translation Commands on page 23.
If you wish to improve the quality of translation, use the customizable tools for editing
linguistic settings and working with dictionaries (see 5.3.4. Improving the Quality of
Translation in Microsoft Office Applications on page 31).
The steps you need to take when translating new messages in Microsoft Outlook 20072013
are different from the typical steps for other Office applications (see below).

5.3.3.2. Translation Commands
To translate a new message in Microsoft Outlook 20072013, open the PROMT Translator tab in the
New Message window and follow these steps:

The translation will be placed in the selected field of the outgoing message.
Each application of the Microsoft Office suite has its own set of translation commands. You can choose
different methods of displaying the results for each set.
Choosing Prompt will display a dialog box in which you can choose display options for
a particular translation command.
To change a display option for a command, use the settings of the PROMT for Microsoft Office
extension in the desired application (see 5.3.5. Customizing Settings on page 33).

Microsoft Word
The Translate Selected Text and Translate Entire Document commands are also available
from the shortcut menu in Microsoft Word.
When you translate a master document in Microsoft Word using the Translate Master
Document command, depending on the settings of the PROMT for Microsoft Office extension you
can translate all or specific subdocuments (see below). In either case, a folder called Name of
Master Document Translation is created automatically. Translations of the master document and
its subdocuments will be placed in it.

Translated documents will be saved to the specified folder. The _trn suffix will be added to the
name of each file.

The Translate Selected Cells and Translate Worksheet commands are also available from the
shortcut menu in Microsoft Excel.

Microsoft Outlook
Use the commands below for translating email in RTF, TXT, or HTML format in the folders of Microsoft
Outlook.
Using translation rules for email, you can have your incoming mail translated and saved
in a specified folder automatically.
For information about automatic translation of incoming mail, see 5.3.5. Customizing
Settings on page 33.

Microsoft FrontPage
Translation extensions for Microsoft Office applications feature the Translate in Separate Window
(Microsoft Office XP/2003) or the Translate in Translation Pane command (Microsoft Office
20072013). They allow you to view and edit translated text independently from the source document.
Microsoft Office XP/2003
The following elements of Microsoft Office documents can be translated and viewed in a separate window.
Element View in translation window
Microsoft Word and PowerPoint:
selected text;
Preserving the original formatting of the source text.

To change translation settings, click Edit Translation Settings on the PROMT Translator toolbar
(Microsoft Office XP/2003 and Microsoft Outlook 2007), or on the PROMT Translator tab in the
Translation Settings group (Microsoft Office 20072013 except Microsoft Outlook 2007).
The Translation Settings dialog will open. Use the tabs to change translation settings for a particular
document.
For more information about changing translation settings, see 6.4. Editing Linguistic
Settings on page 62.
If you made changes to the current translation settings, you need to translate the text again to
see the changes.
To save translation settings when you close a document, use the Save translation settings when
closing document option in the Options dialog on the General tab. To bring up this dialog, click
Options on the PROMT Translator toolbar (Microsoft Office 2000/XP/2003 and Microsoft
Outlook 2007), or on the PROMT Translator tab in the Other group (Microsoft Office 20072013
except Microsoft Outlook 2007) (see 5.3.5.2. General Settings on page 34).
5.3.4.2. Editing Dictionaries
To add a word or phrase to a user dictionary, click Add to Dictionary on the PROMT Translator
toolbar (Microsoft Office XP/2003 and Microsoft Outlook 2007), or Add to Dictionary on the
PROMT Translator tab in the Dictionary group (Microsoft Office 20072013 except Microsoft Outlook
2007).
The Add to Dictionary dialog will appear where you can enter a word or phrase to add to the
dictionary.
There are two modes of editing dictionaries intended for users with various levels of linguistic background:
Simple mode, which does not require any linguistic background;
Advanced mode, which requires that the user have basic knowledge of grammar of the source and target
languages, such as parts of speech, morphology rules, etc.
Choose the desired mode in the Editing mode pop-up menu in the Add to Dictionary dialog.
For more information about working with user dictionaries depending on the selected mode, see
6.5.1. Editing in Simple Mode on page 71 and 6.5.2. Editing in Advanced Mode on page 72.
5.3.4.3. Treating Unknown Words
Words that have not been found in enabled dictionaries are placed in the list of unknown words.
To open the dialog for working with a list of words not found in PROMT dictionaries during translation,
click Unknown Words on the PROMT Translator toolbar (Microsoft Office XP/2003 and Microsoft

Outlook 2007), or Unknown Words on the PROMT Translator tab in the Dictionary group (Microsoft
Office 20072013 except Microsoft Outlook 2007).
The resulting dialog displays a list of unknown words and information about how frequent they are in the
text. You can also use this dialog to:
add selected word to a user dictionary;
reserve one or several selected words using the Reserve Word dialog;
delete one or all words from the list;
save the list in a text file (click Commands and choose Save List);
open the Dictionaries tab of Translation Settings dialog and enable a necessary dictionary (click
Commands and choose Dictionaries).
5.3.4.4. Excluding Words from Translation (Reserving)
To exclude a word or phrase from translation, click Reserve Word on the PROMT Translator toolbar
(Microsoft Office XP/2003 and Microsoft Outlook 2007) or in the Reserving group on the PROMT
Translator tab (Microsoft Office 20072013 except Microsoft Outlook 2007).
The Reserve Word dialog will open. Choose a semantic class for the word and select the Transliterate
checkbox, if necessary. For information about how to reserve a word, see 6.4.2. Creating a List of
Reserved Words on page 63.

The Rule for Translating New Mail dialog box will appear. Follow these steps:
1. Give a rule a name.
2. Select a folder in Microsoft Outlook with
messages you wish to translate.
3. If necessary, specify an email address and
message subject to use for all new mail.
4. Choose a language pair and translation
profile.
5. Select a folder in Microsoft Outlook
where translated messages will be put in.
6. Click OK.
All messages from the folder specified in Step 2 will be filtered out (using the From and Subject
fields), translated, and put in the folder specified in Step 5.
To temporarily stop automatic translation of incoming mail, select the Suspend translation
checkbox in the Translation tab.
To delete or change a translation rule, click Delete or Edit in the Translation tab, respectively.
5.3.5.2. General Settings

5.3.6. Hearing Your Computer Speak
To hear your computer speak selected text, click Speak on the PROMT Translator toolbar
(Microsoft Office XP/2003 and Microsoft Outlook 2007) or in the Other group on the PROMT Translator
tab (Microsoft Office 20072013 except Microsoft Outlook 2007).
To speak text in the applications of Microsoft Office, the Text-to-Speech system uses the
source language for the current language pair. Microsoft Word XP/2003, however, uses its own
language settings (found in Tools > Language > Set Language).
If you have Microsoft Agent installed on your computer and you want to use a voice from
Microsoft Agent, select a checkbox in the General tab of the Options dialog (see 5.3.5.2. General
Settings on page 34).

To translate a web page located at a specific URL, choose Translate Web Page in the Translation
window in the PROMT Expert 10 application and follow these steps:
1. Enter the address of the web
page you wish to translate
using the http://address
format.
2. Select a browser to open the
web page.
3. Choose a language pair.
4. Select the desired translation
profile.
5. Click Translate.
The web page will be automatically opened and translated in the selected browser.
You can also translate web pages directly in Internet Explorer or Mozilla Firefox using
commands in the PROMT Translator toolbar (see below).

5.4.2.1. Translating Web Pages
To translate a page or selected text in a web page in the browser, follow these steps:
1. Choose a language pair.
2. Select the desired translation profile.

5.4.2.3. Customizing and Translating RSS Feeds
Before translating RSS news feeds, you need to set up this translation feature: add, if necessary, an
RSS feed to a translation list from your browsers RSS subscription list and choose a language pair and
translation profile for each RSS channel.
This will create a list of RSS feeds for translation. Each feed will have a unique language pair
and translation profile.

A web page with the translation of the selected news item will open.
The display option selected for the Translate Entire Page command will be used to display
the translation.
To customize settings of the PROMT for Internet Explorer extension, click Options on the PROMT
Translator toolbar.
The Options dialog will open with the following tabs:

The Translation Options Tab
In the Translation Options tab, choose a language pair and translation profile to use for translating web
pages.
The Page Translation Tab
In the Page Translation tab, specify the display option for the Translate Entire Page command. For this,
select the necessary option:
Replace source text with translation (selected by default);
Display translation in a new window;

The Selected Text Translation Tab
To set a mode of synchronous scrolling of the window with the source text and the window with
translation, select the checkbox Display simultaneously the source text and translation.
In this case after the translation of the page the window with the source text and the
window with translation are displayed side by side and can be scrolled synchronously.
The Selected Text Translation Tab
In the Selected Text Translation tab, specify the display option for the Translate Selected Text command.
For this, select the necessary option:
Add translation next to source text (selected by default);
Replace source text with translation;
By default, for the above two options the translation area and text are marked with color.
For this, the Mark translation with color and the Mark translation with background color
options are provided.
Display translation in the translation pane.
The translation pane is displayed at the bottom of the browsers window. The translated text
is displayed without its original formatting.
The Immediate Translation Tab
In the Immediate Translation tab, customize the possibility of fast translation of a word under the cursor
and of the selected text fragment. For this, select the Use immediate translation checkbox.
In the Translate word under cursor group, customize the mode of fast translation of a word under
the cursor in all the installed PROMT dictionaries (including those which are disabled) for the given
language pair (always or only when the Shift key is pressed).
In the Translate selected text group, customize the mode of fast translation of the selected text
fragment in a separate emerging window (always or only when the Ctrl key is pressed).
The Use immediate translation function is enabled by default without using the control keys.
If you select one word, you will see the same information as during translation of a word under
the cursor translation from all the installed PROMT dictionaries (including those which are
disabled) for the given language pair.
Additional settings of this window allow you to customize:
delay before emerging of the window with translation;
maximum size of text being translated (in characters).
The Search Query Translation Tab
In the Search Query Translation tab, specify the display option for the Translate Search Query command.
For this, select the necessary option:
Replace source text with search results (selected by default);
Display search results in a new window.

To translate a page or selected text in a web page in the browser, follow these steps:
1. Choose a language pair.
2. Select the desired translation profile.

To customize settings of the PROMT for Mozilla Firefox extension, click Options on the PROMT
Translator toolbar.

The Translation Options Tab
In the Translation Options tab, choose a language pair and translation profile to use for translating web

In the Search Query Translation tab, specify the display option for the Translate Search Query command.
For this, select the necessary option:
Replace source text with search results (selected by default);
Display search results in a new tab.
The Customize SmartURL Tab
In the Customize SmartURL tab, customize the SmartURL function (enabled by default).
SmartURL allows you to save in a special database the language pair and translation profile that you
choose for a specific web page you visit. This greatly simplifies the process of translating web pages that
you visit frequently, as it automatically applies your saved translation settings for these pages.

To form and translate a search query, click in the PROMT Translator toolbar and choose Search
Query from the menu. The Translate Search Query dialog will open.
This dialog has three tabs, each representing a different level of complexity for forming search queries:
Simple Query, Advanced Query, and Professional Query.

must not exist in the search result;
may exist in the search result.
To clearly mark the search query as a phrase and not a word, select the Phrase checkbox
next to it.
If you need to edit the translation of a search query, follow these steps:
1. Copy it to the clipboard (press CTRL+INS).
2. Open the Professional Query tab.
3. Paste the translation of the query from the clipboard (press SHIFT+INS) to the Translation field.

A professional query is intended for professional users. It allows you to form search queries manually,
according to query specifications of a particular search engine, to translate queries, to edit the translation,

for the selected search engine, or send a request to its technical support.

To translate a PDF document, choose Translate PDF Document in the Translation window in the
PROMT Expert 10 application and follow these steps:

PROMT translator to achieve the best results.
If you use PROMT Batch Translator for translation, the resulting translated file will be
saved by default in the same folder as the original file. The original file name will be preserved
and a user-defined suffix will be added to it.
You can also translate PDF documents directly in selected applications.

6.1. Overview
You can improve the translation quality by means of powerful set of special tools. Creating and editing
domain-specific translation profiles is the main tool.
Translation profile is a set of saved linguistic settings available from all applications of the PROMT suite
that can be configured to translate texts for a specific subject or field.
You can improve the translation quality by extension of the dictionary bases of the translator. For this
purpose the specialized and user dictionaries are intended. Specialized dictionaries allow you to customize
the translator to translate texts in specific subject domains. User dictionaries allow you to add new words
or phrases, or change dictionary entries from the General, specialized or other user dictionaries.
In addition, you can use Translation Memory (TM) databases for high quality translation of documents
containing identical or standardized text. TM databases reduce translation time and ensure terminology
and stylistic uniformity.
Tasks for setting up the translator can be found in the Translation Setup window in the PROMT Expert 10
application.

6.2. Translation Profiles and Current Translation
Settings
One of the most powerful tools for improving the quality of translation of the PROMT suite is the
combined use of the following linguistic settings:
list of enabled dictionaries;
list of words that do not require translation (reserved words);
list of enabled Translation Memory databases;
list of translation rules for specific language patterns;
list of preprocessors that allow for preliminary processing of source text;
ability to transliterate unknown words and display variants of translation.
Translation profiles are used to save the above settings. Translation profiles enable the system to use
these settings later and to fine-tune the system to translate texts on specific subjects throughout all the
applications of the PROMT suite.
Each language pair has its own set of translation profiles.
You can also create new translation profiles and delete and edit existing profiles.
Each language pair contains a general translation profile called Universal. You cannot
remove or rename this translation profile, but you can edit it. This translation profile always
contains a General dictionary. A General dictionary is a baseline dictionary for every language
pair. It is a repository of the most frequently used words and phrases in a language (those
commonly found in, for example, personal correspondence, simple fiction texts, or newspaper or
magazine articles). General dictionaries are always enabled in the translation system. They are not
displayed in the dictionary list and cannot be edited.
When translating, each PROMT application always uses a translation profile that has either been chosen
by the user or is a default profile. Whatever the choice, the translation profile parameters become the
current translation settings for the application.
You can change the current translation settings while working in PROMT Translator, as well as in PROMT
extensions for Microsoft Office. This helps you quickly find the optimal combination of settings for
translating a given document open in one of these applications.
If you made changes to the current translation settings in an application, you need to translate
the text again to see the changes.
Current settings are only applicable in the open documents. To use changed translation settings
for translating other documents or in another PROMT application, you must save them in a new or
existing translation profile, and then choose that profile in the desired application.
Linguistic parameters for translation profiles and current translation settings can be edited using the
Translation Profiles and Translation Settings dialogs, respectively. The steps for either of these actions
are identical and are described in 6.4. Editing Linguistic Settings on page 62. These dialogs contain
tabs that correspond to the linguistic settings listed above: Dictionaries, Reserved Words, Preprocessors,
Translation Rules, TM, and Additional Settings.

To create or edit a translation profile, choose the Edit Translation Profiles command in the Translation
Setup window in the PROMT Expert 10 application and follow these steps:
1. Choose a language pair.
2. Click Edit.

To create a list of words or phrases that do not require a translation, choose the Add command
from the shortcut menu in the Reserved Words tab (press the INS key). In the resulting Reserve Word
dialog, follow these steps:

When entering a regular expression manually, put the [!] identifier in front of it. When
choosing a regular expression from a list, the [!] symbol will be added automatically.

You can add a saved list to an existing list in a file, or replace it.
You can save the list of reserved words in the WWT format or as a text file. The WWT
format will also preserve additional attributes of reserved words, such as information about their
semantic class, transliteration rules, and font format. You can only view WWT files in the
PROMT system. When saving the list of reserved words in a text format, the above additional
attributes will not be saved.
Load a list of reserved words for the corresponding Choose Load List.

A description of each rule and examples of its use are displayed at the bottom of the pane.
The list of translation rules and suggested values depends on the language pair. Here is an
example for the English-Russian language pair:

To use Translation Memory databases (TM) in translating similar texts (i.e. texts that contain identical or
similar text segments), open the TM tab and select the Use TM checkbox.

To display the actual match value for each text segment taken from the TM database in the resulting
translation, select the checkbox labeled Show actual match percentage in translated text;
When searching TM databases for 100% matches, you can use the following parameters, by selecting
their respective checkboxes:

Match spaces
Match punctuation marks
Match diacritics
To specify the mode of considering formatting when searching TM databases for 100% matches, select
the appropriate option in the Match formatting list:
Only as TMX level 1 do not take formatting into consideration while searching TM database,
even if the TM stores formatting.
In this case the text of translation will be taken from the , its formatting from
the source text, and it will be extended on the entire segment, for example: This is test

Strictly as TMX level 2 take formatting into consideration.
In this case the translation will be taken from the only if both the text and its
formatting in the source text are the same as in the TM.
6.4.5.3. Customizing TM Databases Segmentation Rules
A segmentation rule defines the boundary of a text segment. It can be determined by a simple or regular
expression that defines what is a segment boundary (a rule) and what is not (an exception). A regular
expression defines a template, which a string of characters must match in a search. The system comes with
a number of predesigned segmentation rules (which differ for each language). In addition, segmentation
rules can be set up by the user.

To set up text segmentation rules when translating using TM databases, choose Source Text
Segmentation from the menu in the TM tab (for setting up segmentation rules of the input language)
or Target Text Segmentation (for setting up segmentation rules of the output language). Then use the
commands in the shortcut menu to manage rules.

steps below:

Simple mode, which does not require any linguistic background;
Advanced mode, which requires that the user have basic knowledge of grammar of the source and target
languages, such as parts of speech, morphology rules, etc.
Choose the desired mode in the Editing mode pop-up menu in the Add to Dictionary dialog.

If the word already has an entry with translation variants, they will also be displayed in

follow these steps in the Add to Dictionary dialog:

dictionary), click Find.
After clicking New (Step 4), you will be presented with a series of dialogs in which you can enter
or change grammar information for the new or existing dictionary entry. For more information about
each dialog, click Help.

You must specify the inflexion type (declension or conjugation) for a source word or phrase. This is
necessary for the system to correctly recognize all the forms of the word during translation.
After specifying the part of speech for the source word or phrase in the New Entry dialog, follow
these steps:
1. If you select a noun, adjective, or verb:
for phrases, the Inflexion Type dialog will open. Specify the part of speech for each word in
the phrase that undergoes form variations and click the Declension (Conjugation) button. The
Declension/Conjugation dialog will open. In it you can enter information about grammatical forms.
You dont need to mark the words in a phrase that do not undergo form variations.
for words, the Declension/Conjugation dialog will open immediately.
If you specify an adverb as the part of speech for a word or phrase, the dialog for entering
its translation will open immediately.
2. If there is a word in the Patterns list of the Declension/Conjugation dialog that changes in the same
manner as the word which you are entering, select it and the text field will be auto-populated.
3. If you cannot find a suitable example, enter the correct form or forms manually.
4. If a word does not have a specific form (for example, a noun without a plural form), leave the field
empty.
5. If the system suggests entering additional word forms (new fields will appear in the window and the
OK button will change to OK?), enter them and click OK? to complete specifying all form variations
of the word.
6.5.2.3. Specifying Inflexion Type for the Translation
Whenever you add or change a translation, you need to specify the inflexion type (declension or
conjugation) for it. This is necessary for the correct agreement between words during translation.
Specifying the inflexion type for the translation is similar to that for the source word (see 6.5.2.2.
Specifying Inflexion Type for the Source Word or Phrase on page 74).
After specifying the inflexion type for the translation, it will be added to the list of active translations in
the Entry dialog.

6.5.2.4. Entering Governing Information
After you enter the basic grammar information and translation, you can enter governing information for
the headword, i.e. information about its usage with a noun (with or without a preposition), infinitive verbs,
and subordinate clauses, as well as information about variants for translating such grammatical structures.
You can specify several prepositions that are governed by the headword, along with miscellaneous
governing information for transitive, intransitive, and reflexive verbs.
To enter governing information, open the Government dialog and follow these steps:
1. Click Change next to the selected governing model:
... + Noun without prepositionnon-prepositional government; the headword can be used in
combination with a noun without a preposition;
... + Noun with Prepositionprepositional government; the headword can be used in combination
with a noun with a preposition;
... + Infinitive / ing-forminfinitive government; the headword can be used in combination with an

the headword noun;

The list of governing models will differ depending on the source language.
2. Choose the desired governing model in the Source Model field.
3. Choose the necessary construction from the Target Model list and click OK.
When entering an equivalent translation for an adverb, it is not necessary to specify the
inflexion type. The Entry dialog will open immediately and will have the added translation.

Translation Memory technology is based on comparing a document that is being translated against a set
of data stored in a pre-configured TM database. When the translation engine encounters a section in the
text that matches a section in the TM database completely or partially, it uses the existing translation
from the database.
Using Translation Memory is particularly effective when translating documents that contain numerous
iterations of similar text: textbooks, scientific articles, manuals, letters, recipes, and so on. Not only does
this save time without sacrificing the quality of the translation, it also ensures uniformity of the output
text in terms of terminology and style.
Data in the TM databases is stored as entries consisting of sections of the source text and their translations.
The database also contains additional information: the name of the user who created or edited an entry, as
well as the creation and last modification date of an entry.
For effective using of TM databases you should keep in mind the correct split of the source text into
segments and use the professionally performed translation of segments while creating the database.
To create or edit a TM database, choose the Edit Translation Memory Databases command in the
Translation Setup window in the PROMT Expert 10 application and follow these steps:
1. Choose a language pair.
2. Select a TM database.

By default, the work area of the application contains a window with two text areas in which you can open
one or several documents. Each document will open in a separate tab with the name of the document. The
work area can be split vertically or horizontally into separate windows to easily group the open documents.
If several documents are open,
to create a new horizontal window and place a document in it:
drag the tab with the document anywhere in the current window or to another window (if you have
created several windows). Choose New Horizontal Tab Group from the shortcut menu.
If you drag a tab to the bottom of the window, a rectangular outline of a new window
will appear;
right-click the tab in the document and choose New Horizontal Tab Group from the shortcut menu;
to create a new vertical window, follow the steps similar to the ones described above, choosing the
New Vertical Tab Group command;
to move a document from one window to another, follow the steps similar to the ones described above,
choosing the Move to the Previous/Next Tab Group command.
You can also move a document to another window by dragging its tab to the window title.
To switch to a document in a window (if you have several documents open), simply right-click its tab
or press CTRL+TAB (or CTRL+F6) to cycle through the tabs.
To view the list of all documents opened in a window, click in the top right corner of
the window.
You can view the contents of a document in a window using the following options:

By default, after opening a document the translation area contains a copy of the source text. To
leave this area blank, click and then Options. In the When opening the document
group, choose No for the Copy source text to translation area option.
In addition to the name of the document, the tab contains information about the active area
(source text or translation) and language pair.
Marking Words and Paragraphs
In PROMT Translator the beginning of each paragraph is marked with a special symbol. The color of the
symbol helps you see the status of the paragraph (translated, not translated, edited, etc.):
(white)the paragraph hasnt been translated;
(blue)the paragraph has been translated;
(black)the paragraph has been edited after translation;
(blue line on the left)used to select the active paragraph (the paragraph with the insertion point in it).
Paragraphs of the source text and their counterparts in the target language are linked within the structure of
a PROMT document. Making one of them active automatically selects its counterpart. This allows you to
quickly find the counterpart paragraph in either text.
Other sections of the texts are linked in a similar fashion. For example, if you select a word in the
translation, the word or words of the source text that it corresponds to will also be selected.

Information about the selection is displayed in the Properties of Fragment tab in the
Analysis of Translation pane.
To find all the segments of a particular kind in the source text or translation, click in the Fragments
group in the Translation Setup tab, and choose the segment types in which you wish to find an active
selection from the menu. Then click repeatedly to find and select the next segment of the same type.
A PROMT document also underlines certain words and text segments (for example, unknown and
reserved words, words with several translation variants, segments from Translation Memory databases).
Each element is underlined in a different color.
To view the list of elements that are underlined, to enable or disable underlining of all or
individual elements, and to change the color for each element, click Underline in the Fragments
group in the Translation Setup tab and choose a command.
7.1.1.6. Customizing Panes
Use panes to quickly access the main features of PROMT Translator and frequently used options and
to display useful information.
Panes can
attach to any border of the applications main window or any window in the work area, and can be
hidden automatically;
be placed anywhere on the screen as separate windows.
You can do the following with panes:
move them anywhere on the screen by dragging their titles;
use special controls ( ) that appear when you move a pane to attach or dock it to a window border.
To quickly switch between pane modesfixed or floatingdouble-click a panes title;
to automatically collapse and expand a pane when you move the pointer over its title, click in the
panes title. Click again to return to the standard display mode;
to reset all panes to their default view, click Default in the View tab in the Panes group.
To hide and show panes, use checkboxes in the View tab in the Panes group. Pane commands
are also available from the shortcut menu.
PROMT Translator can use standard and extended text editing tools. Commands for working with the
clipboard are found in the Edit tab in the Clipboard group and in the shortcut menu.

To paste the contents of the clipboard in a document and choose the formatting, click Paste Special
in the Edit tab in the Clipboard group. From the pop-up menu choose:
Paste with selecting format to choose the desired formatting of pasted text or other data via a resulting
dialog;
Paste as text to paste without preserving formatting.
Working with PROMT Clipboard
PROMT Clipboard is an extended version of the standard clipboard, which allows you to keep several
elements at once. You can paste them all or selectively in a document.
Data copied to PROMT Clipboard will remain in it until you quit it, or until the data is deleted.
To paste the contents of PROMT Clipboard in a document, click Paste from PROMT Clipboard in
the Edit tab in the Clipboard group. From the pop-up menu choose:
single element of PROMT Clipboard;
Paste All to paste the entire content of PROMT Clipboard in a document.
To paste data from PROMT Clipboard in a document without preserving the formatting,
select Paste as Text. To clear the content of PROMT Clipboard, choose Clear PROMT
Clipboard.
7.1.2.2. Finding and Replacing Text in a Document
You can use standard or extended tools for finding and replacing text. All find and replace commands
can be found in the Edit tab in the Search group.

To take into account capital or lowercase letters in a search, select the Match case checkbox;
To search only for complete words, select the Find whole words only checkbox;
To use special characters, select the Use wildcards checkbox:
*to substitute any number of characters;
?to substitute one character.
If this checkbox is deselected, the * and ? characters will be treated as regular characters;
To find all forms of a word, select the Find all word forms checkbox.
To search for all word forms, you must have the reverse language pair enabled. For example,
if you search in a text that has been translated from English into Russian, the Russian-English
translation must be enabled.
You can use the Replace tab to replace the word form you have found. The replacement,
however, will not take morphology into account; replaced words may not agree with one
another in the text. You should edit such sentences manually;
To specify search direction, choose Up, Down or All in the Search group.
7.1.2.3. Moving Words in Text
To simplify editing, the application has two commands that move the current word (the word with the
insertion point in it) in relation to the words around it.
To move a word one position to the right or to the left, click Move Word Forward (or press
CTRL+SHIFT+F) or Move Word Back (or press CTRL+SHIFT+B), respectively. The buttons are
located in the Edit tab in the More group.

To choose measurement units for the document, click and then Options. Then choose
the desired units in the When editing the document group.
7.1.2.5. Changing Fonts and Switching Keyboard Layouts
Commands for changing font options are found in the Font group of the Edit tab. Font options apply
to selected text.
The following options are available:
to change the font, select its name and size from the Font and Font Size pop-up menus;
to change the font style, color, and background color, use the respective buttons;
to set up how to use capital and lowercase letters, click and choose the desired option from the list;
to switch the keyboard layout, click and choose Switch Keyboard Layout.
You can set up PROMT Translator to switch the keyboard layout automatically, depending
on the text input area (Source Text or Translated Text). To do this, click and then
Options. Then choose Yes for Automatically switch the keyboard layout in the When editing
the document group;
to change character encoding of the selected text, click and choose Switch Character Encoding
(Cyrillic <-> Western).
You can also change font settings in the standard dialog. To bring it up, click in the header of
the Font group.
To set up default typeface, font color, and selection color, click and then Options.
Then choose the desired option in the When editing the document group.
7.1.2.6. Inserting Objects
With PROMT Translator, you can insert any symbol, the date and time in different formats, and objects
created in other applications in any document.
You can access commands for inserting objects in the Insert group in the Edit tab.

7.1.3. Translating in PROMT Translator
To insert any character from any font installed on your computer, click Symbol (or press
CTRL+SHIFT+S).
To insert date and time, click Date and Time (or press CTRL+SHIFT+T).
To insert any other object
1. Click Object. The Insert Object dialog will open.
2. Choose Create from File if you want to insert an object that has been saved as a file. Then select
the file.
3. Choose Create New and specify the type of object. A Windows application that is used to create and
edit this type of object by default will launch. Create a new object.
To view the object that you insert in your document as a thumbnail, select the Display as
Icon checkbox in the Insert Object dialog.
Inserting objects is similar to copying and pasting using the clipboard. When you wish to edit
an object, however, it will open in the application it was created in. When inserting an object, it is
copied from its original document, so the original document remains unchanged.

Each paragraph begins on a new line and PROMT Translator denotes it with a special marker that can have
different colors (see 7.1.1.5. Work Area on page 81).
Keep in mind that PROMT Translator translates text (of an entire document or selection) by the paragraph.
For example, if you select a part of a paragraph for translation and then choose the Translate Selected Text
command, the entire paragraph will be translated.
If a single sentence is broken into several paragraphs, you will need to delete paragraph breaks in order
to obtain a coherent translation. To do this, place the insertion point at the end of a paragraph and click
Delete. The pilcrow (a symbol denoting the end of a paragraph) should disappear.
If you open a document as Text, each line may be interpreted as a new paragraph. This may
compromise the coherence of translation. If you choose Text with Line Breaks as a format
when opening a document, the application will remove all line breaks and will attempt to break
the text into paragraphs correctly.
Choosing Language Pair and Translation Profile
The language pair specifies from which and into which language the document will be translated.
A translation profile is a set of linguistic parameters that you can use in translating text in specific subject
fields.
Since a text may comprise sections in different languages or pertaining to different subjects,
you can specify different language pairs and translation profiles to each paragraph of the same
text, and translate a document paragraph by paragraph.
Choose a language pair and translation profile in the Language Pair and Translation Profile pop-up
menus, respectively, in the General Settings group in the Translation tab.
When you change the language pair and translation profile, the contents of the tabs in the
Translation Settings pane that reflect the translation settings for the current document will change.
PROMT Translator creates translation settings for each document, based on the selected translation profile.
You can change these settings as many times as you wish to obtain a better translation. After you make
changes to the settings, you need to retranslate the document.
If you choose a different translation profile, all changes in your current translation settings will
be lost. Save your changes in the selected translation profile, or create a new one.
By default, a document will be retranslated (with or without prompting you to confirm the action) after you
change the language pair. You can also use this option when changing a translation profile or making a
change in translation settings. To toggle this option on and off, or to change its behavior, click and
then Options. Then specify the desired option in the Retranslation group.

Detecting the Basic Translation Parameters Automatically
When you open a document, PROMT Translator can automatically detect the source language, as well as a
language pair and translation profile (using a set of special options).
Detecting Source Language
By default, the application will automatically detect the language of the document you open, and will offer
you one of the available language pairs for this source language. You can, however, choose a different
language pair from the list.
To toggle this feature on and off, click and then Options. Then choose the necessary option in
Determine the source language automatically in the When opening the document group.
SmartFolders
With SmartFolders you can assign a unique language pair and translation profile to any folder on your hard
disk, which will apply to all documents that you open from that folder.
Before you can use SmartFolders, you need to create a list of folders for which you wish
to enable this feature.
You can create and manage SmartFolders directly in Windows Explorer. A new tab, Translation,
will appear in the properties window for each folder. In this tab you can specify translation
settings for all documents in that folder. Use the Edit Folders command to manage the entire
list of SmartFolders.
To toggle SmartFolders on and off, click and then Options. Then choose the necessary option
in Use SmartFolders in the When opening the document group.
When you open a document from a folder from the SmartFolders list, the language pair and translation
profile to this document will be assigned according to SmartFolders settings.
KeyWords
The KeyWords feature searches the source text for keywords and phrases that are characteristic for
a particular translation profile. This allows you to find the best translation profile for a document
automatically, based on the maximum number of matches of the word in the document with the keywords
in a translation profile.
Before you can use the KeyWords feature, you need to create lists of keywords for desired
translation profiles. For more information about creating keyword lists, see 6.3.2. Making a List
of Keywords on page 60.
You can use keywords to determine a documents translation profile when opening a document, or for
documents that are already open.
To choose a suitable translation profile using KeyWords

when opening a document, select the Detect the translation profile using keywords checkbox in
the Convert File dialog and click OK;
for an already open document, click Detect Translation Profile Automatically in the Translation Setup
tab in the Translation Settings group.
After the application has analyzed the list of keywords, the Automatic Translation Profile Detection
dialog will open. In it you can choose one or several translation profiles that are best suited for this
document. A list of all the keywords found in the text is displayed in the dialog. Statistics are displayed for
each keyword: the translation profiles that include it, and how many times it is found in the text. Choose
an appropriate translation profile based on this information.
7.1.3.3. Translating a Document
With PROMT Translator you can translate an entire document or selected paragraphs.
The translation commands are available in the Translation tab, in the Quick Access toolbar, and from the
shortcut menu. By default, clicking the Translate button will translate the entire document.
To choose another translation command, do one of the following:
If the application encounters previously translated segments of text when translating an entire
document or selected paragraphs, it will prompt you to confirm or reject the retranslation.

7.1.3.4. Using a Spell Checker
You can quickly translate one or a few words in a separate floating window. To do this, simply
move the pointer over the word or selection of text not exceeding 100 characters. This feature
is disabled by default. To enable it, click and then Options. Then choose Yes for the
Display translation in a floating window option in the Immediate Translation group.
7.1.3.4. Using a Spell Checker
If you have a spell checker, such as ORFO by Informatik, you can launch it directly from PROMT
Translator. Spell checker is purchased separately and must be supported by PROMT Translator. Use
ORFO to spell-check an entire document or a selection, both for the source text and the translation.
Enabling and Disabling a Spell Checker
To set up spell checking, click Customize in the Spelling group in the Tools tab. In the resulting
dialog, select the appropriate checkboxes:
Words in UPPERCASEskip words typed in all capital letters;
Words that contain numbersskip words that contain numbers;
Repeated wordsdo not consider repeated word an error;
Always suggestshow a list of suggested spellings for unknown words;
From main dictionary onlyshow suggestions only from the main dictionary.
Spell-Checking
The application will spell-check the document beginning from the insertion point to the end of the
document, and then will continue from the beginning to the insertion point.
To spell-check a document, follow these steps:
1. Place the insertion point in the desired portion of the text, or select some text.

2. Click Check Spelling in the Tools tab in the Spelling group. The spell checker will show every
unknown word in the Not in Dictionary field of the Spell Checking dialog. Do one of the following:
to leave the highlighted word found here or in the entire document, click Ignore or Ignore All,
respectively;
to correct a misspelled word with a suggested variant from a list, or a word you type in the Replace
with field, click Replace;
to correct a misspelled word throughout the document (or the selection), click Replace All;
to add a word to an auxiliary user dictionary, click Add.
The Add button will become active if an auxiliary user dictionary for adding words not
recognized by the spell checker is enabled. To enable an auxiliary dictionary, click Options
and then click Change in the Custom Dictionary field;
to view a list of spelling suggestions, click Suggestions (used, if the Always suggest checkbox is
deselected);
to change spell-checking settings, click Options (see previous section);
to delete a misspelled word from the document, delete any text from the Replace with field. The
Replace button will change to Delete. Click it to delete the word.
3. Click Close to leave the spell-checking mode.
To create or edit a translation profile for the definite language pair, click Edit on the Translation
Setup tab in the Translation Profile group.
The Translation Profiles dialog with a list of translation profiles for the current language pair will open.
In each translation profile you can change the saved linguistic settings.

To change translation settings, open the Translation Settings pane, or click Edit Translation Settings
in the Translation Setup tab in the Translation Settings group.
All changes that you make in the Translation Settings dialog will be simultaneously reflected in
the tabs of the Translation Settings pane, and vice versa.
For more information about changing translation settings, see 6.4. Editing Linguistic
Settings on page 62.
If you made changes to the current translation settings, you need to translate the text again to
see the changes.
To save your settings as a translation profile, click Save Translation Settings in the Translation Setup
tab in the Translation Settings group.
To save translation settings when you close a document, use the Save translation settings
when closing document option in the Options dialog in the Save Changes group.To bring up this
Dictionary group, click Add to Dictionary or choose Add to Dictionary from the shortcut
menu (or press the F8 key);
place the pointer over an unknown word (underlined in red by default) and choose Add to Dictionary
from the pop-up menu;
in the Unknown Words tab in the Analysis of Translation pane, double-click the desired word or
right-click it and choose Add to Dictionary;
select a word or phrase, and drag it to the user dictionary in the Dictionaries tab in the Translation
Settings pane, in which you wish to save it.
The Add to Dictionary dialog will appear where you can enter a word or phrase to add to the
dictionary.
There are two modes of editing dictionaries intended for users with various levels of linguistic background:
Simple mode, which does not require any linguistic background;
Advanced mode, which requires that the user have basic knowledge of grammar of the source and target
languages, such as parts of speech, morphology rules, etc.
Choose the desired mode in the Editing mode pop-up menu in the Add to Dictionary dialog.

Looking Up Words in Dictionaries
With PROMT Translator you can look up words or phrases in all installed PROMT dictionaries (including
those that are disabled) for a particular language pair.
To look up a word, click it, or select a phrase and then click Find in Dictionaries in the
Translation Setup tab in the Dictionary group. Alternatively, you can choose Find in Dictionaries from
the shortcut menu (or press CTRL+SHIFT+Z).
The Dictionaries tab will open in the References pane. Translations will be grouped in the PROMT
Dictionaries tab.
You can do the following in the Dictionaries tab in the References pane:
enter a word or phrase in the text field and click to look it up.
You can choose words and phrases that you have looked up before from a pop-up menu;
change the list of dictionaries. Click and select or deselect the dictionaries;
copy the word and its translation to the clipboard. To do this, right-click a word and choose Copy
from the shortcut menu;
see all forms of the source word or translation. To do this, right-click the word and choose Word
Forms from the shortcut menu;
view brief grammar information about the word. To do this, simply click the word.
7.1.4.4. Using Translation Memory Databases in Translation
Translation Memory (TM) compares source text with data stored in TM databases. A TM database
contains segments of text along with accurate translations. When a segment in the source text matches
a segment in a database, the translation from the database is used.
This method is effective for translating a large number of similar documents that contain identical or
similar text. Using Translation Memory significantly shortens translation time, and ensures the stylistic
and terminological homogeneity of translated documents.
To use TM for translating an already opened document, select the Use TM checkbox in the TM tab
in the Translation Settings pane. Use this tab also to change the list of TM database and specify search
parameters.
For information about setting up TM databases, see 6.4.5. Enabling Translation Memory
Databases on page 66.

2. Click Find in Translation Memory in the Translation Setup tab in the Translation Memory
group, or choose Find in Translation Memory from the shortcut menu (or press CTRL+G).
The Translation Memory tab will open in the References pane. It will show all the records found in
TM databases with the match percentage equal or greater than the specified value (100 percent by default).
Use and buttons at the bottom of the Translation Memory tab to browse through all the matches.
The actual match percentage value for the current, previous, and next record is displayed next to the buttons.
The Translation Memory tab displays the following information for each record:
field with the text of the search;
information about the record:
name of the TM database the record was found in;
actual match percentage;
state of the TM (enabled or disabled);
the source text and translation as they exist in the database. All unmatched segments of the source text
will be color-marked.
Use the Translation Memory tab to do the following:
change or type text in the Searched segment field to perform additional searches;

Click and choose Entire Text (or press CTRL+F10) to add an entire document to
a TM database.
When adding text to a TM database, it is broken down into segments using punctuation:
period, question mark, exclamation point, end of paragraph, and colon. An abbreviation
followed by a period is not considered a segment marker.
A dialog with a list of TM databases will open.
3. Select the desired TM database in the list and click Select. To create a new database, click New.
PROMT TM Manager will launch and open the selected database with the added segments.
4. To save changes in a database, choose TM Database > Save Changes in PROMT TM Manager.
TM records with empty Source Text or Translated Text fields cannot be saved. If you want
to delete a segment, simply clear one of these fields.
7.1.4.5. Treating Unknown Words
Words that have not been found in enabled dictionaries are placed in the list of unknown words. This list is
displayed in the Unknown Words tab in the Analysis of Translation pane.
When the application adds words to the list of unknown words, it automatically removes single
and double quotes and parentheses.
To manage unknown words, use the following commands from the shortcut menu.

The Reserve Word dialog will open. Choose a semantic class for the word and select the Transliterate

Delete a word or words from the list. Delete (or press the DEL
key).
Delete the entire list. Delete All.
Save the list of unknown words in a file. Save List.
A multi-variant word or phrase is a word or phrase that has multiple translations relating to the same part
of speech in a dictionary. Usually, the translator cannot choose the appropriate variant automatically.
Choosing it manually allows you to improve the quality of the translation.
Displaying Translation Variants in the Text
Words with translation variants are underlined in a PROMT document, both in the source text and its
translation. The color of the underline depends on the dictionary in which the word was found: general,
user, or specialized.
To toggle underlining on or off, click Underline in the Translation Setup tab in the Fragments
group, and select the types of words to underline in the pop-up menu. To change the underline
color, choose Customize Color of Underlining from the same pop-up menu. The Options dialog
will appear. Choose the desired color in the Color of underlining the text fragments group.
You can also view all translation variants in the text. To turn this feature on or off, select or deselect the
Show translation variants checkbox in the Additional Settings tab in the Translation Settings pane.
For the changes to take effect, retranslate the text.
If the option is disabled, the main translation of the word will be displayed. The main translation is the first
translation of the word in the list of translations in the dictionary entry.
If the option is enabled, the translation variants will be displayed using a delimiter in parentheses
following the main translation.
You can set up the kinds of parentheses and delimiters used for displaying translation variants. To do this,
click and then Options. Choose the symbols you wish to use for displaying translation variants
in the Format of displaying translation variants group.

click the word in the source text or translation, and choose the desired variant from the pop-up window;
right-click the word in the source text or translation, and choose the desired variant from the shortcut
menu.
To enable or disable the pop-up window, click and then Options. Then choose the
desired value for the Display pop-up menu option in the When editing the document group.
The new translation variant will replace the existing variant.
By default, when you choose another translation variant for a multi-variant word, its dictionary entry is
automatically changed, too. The new variant becomes the main variant in the list, and will be used for
any subsequent retranslation. If you turn this feature off, the original translation variant will be restored
after a retranslation.
To enable automatic editing of a dictionary entry, enable a user dictionary and move it to the
top of the list of enabled dictionaries. A user dictionary is required to save changed dictionary
entries from other, non-editable, dictionaries (the general and specialized dictionaries).
To enable automatic editing of a dictionary entry when working with multi-variant words, click
and then Options. Then select Yes for the Add to dictionary automatically option in the When
selecting the translation variant group.
Finding Words with Translation Variants
You can find all the multi-variant words in a text and choose appropriate translation variants for each of
them.
To do this, follow these steps.
1. Click Choose Translation Variant in the Translation Setup tab in the Fragments group. In the
resulting Find Words with Translation Variants dialog, set up the following options:
a. To automatically create and edit an entry in the user dictionary (see previous section), select the
Add to dictionary automatically checkbox in the When selecting variant group.
b. To automatically use the chosen translation variant for the word throughout the text, select the
Select similar everywhere checkbox in the When selecting variant group.
c. To select a search area (entire document or current paragraph), choose the appropriate option in
the Search parameters group.
2. To find multi-variant words in the text, click Find Next.
The found word and a list of its translations will be displayed in the Found word with translation
variants field.
3. Choose the desired variant from the list and click Select Variant.
The variant you choose will replace the original variant in the text and the Found word with
translation variants field will display the next multi-variant word.

To find the next word without choosing a translation variant, click Find Next.
You can only choose translation variants for the paragraphs that have not been edited
manually after translation.
7.1.4.7. Excluding Words from Translation (Reserving)
To exclude a word or phrase from translation, in the Translation Setup tab in the Reserving group, click
Reserve Word or choose the similar command from the shortcut menu.
The Reserve Word dialog will open. Choose a semantic class for the word and select the Transliterate
checkbox, if necessary. For information about how to reserve a word, see 6.4.2. Creating a List of
Reserved Words on page 63.
To quickly reserve the selected word or phrase without the intermediate dialog, open the
Reserved Words tab of the Translation Settings pane and drag the selected word to the field of
the tab. The word will be reserved with Any name value of the semantic class and without
transliteration.
7.1.4.8. Using Electronic Dictionaries
To verify the accuracy of translation of certain words, terms, or phrases, you can use third-party electronic
dictionaries.
Electronic dictionaries are purchased separately. PROMT Translator supports the following third-party
dictionaries: Lingvo from ABBYY, MultiLex from Media-Lingua, and Context from Informatik.
Commands for enabling and launching third-party electronic dictionaries can be found in the Tools tab in
the Electronic Dictionary group.
To enable an electronic dictionary in PROMT Translator, click Enable. In the External Applications
dialog in the Electronic Dictionaries tab, choose the electronic dictionary you wish to use and click OK;
To look up a word in an electronic dictionary, click the word and then click Run ED. The enabled
electronic dictionary will launch and display translation variants for the selected word.
You can then copy the appropriate variant to the clipboard and paste it in the translation.

When saving reserved words in a WWT file, all the information about reserved words (semantic
class, transliteration, and font settings) will be saved. You can open and view WWT files only in
PROMT translator, however. If you choose to save the list of reserved words as a plain text file,
you can view it in any text editor, but the additional information will be lost.

To use additional options when saving documents, click and then Options. Then use
the following options in the When closing a document group:
to use the autosave option, choose Yes for Automatically save the document and specify how
often you want the document to be automatically saved in the Time interval of automatic
saving of the document, min option. The default value is Every 5 minutes;
to save additional information (name of the document, time and language pair, dictionaries
used, etc.) along with a bilingual text, choose Yes for the Save additional information in
the bilingual text option.
Scripting allows you to use macros in PROMT Translator for translation, which makes it possible to
analyze and modify the source text and its translation. For example: reserving arbitrary text elements
(sections of programming code, special comments, links, etc.), including text formatting; viewing
statistics; replacing PROMT translation with a user translation; processing specially formatted text (text
with spaces after each letter, etc.).
To load a translation macro, follow these steps:

Viewing statistics for a document allows you to evaluate the statistical information about the source
text and its translation.
To view statistics, click Properties in the Document group in the Tools tab. The Document
Properties window will open. The window displays general information about the document (name,
translation profile, author, etc.), and its statistics: number of characters, including punctuation (but
excluding spaces); number of words, lines, and paragraphs; number of unknown and reserved words; and
the list of enabled dictionaries.
7.1.6.3. Using Optical Character Recognition with Translator
If you have optical character recognition (OCR) software, such as FineReader by ABBYY or CuneiForm
by Cognitive Technologies, you can launch it directly from PROMT Translator. OCR software is
purchased separately and must be supported by PROMT Translator.
To enable OCR software in PROMT Translator, click Enable in the OCR group in the Tools tab.
In the External Applications dialog in the OCR Programs tab, choose the OCR software you wish to
use and click OK.
To start optical character recognition for a document, place it in your scanner and click Run OCR
in the Tools tab in the OCR group. The selected OCR software will launch. It will scan your document,
process it, and save it as a text file you can open in PROMT Translator.

With PROMT Translator you can print the source text, translation, bilingual text, and lists of unknown and
reserved words.

To do this:

All the necessary components of Microsoft Agent and Text-to-Speech synthesized voices for selected
language pairs will install automatically when you choose the version of PROMT translator that includes
the Text-to-Speech option.
Text-to-Speech commands are available in the Speech group of the Tools tab.

Settings opens the Settings dialog which allows to customize the PROMT Agent application;
About opens the dialog with the main information about the application;
Exit closes the application.

When the Always on Top mode is enabled, the PROMT Agent window is always displayed
over other open windows of running programs.
To configure the PROMT Agent application, right click on the PROMT Agent icon in the
notification area and choose Settings. The dialog with the System and Behavior tabs opens.
In the System tab:
To launch the PROMT Agent application automatically during the Windows startup, check the Run
on Windows startup box (enabled by default).
To set the keyboard shortcut for translation of the text fragment, press the key combination you want in
the appropriate field and, if necessary, check the Double-click box (double-click Ctrl by default).
When you set keyboard shortcuts for translation, make sure that this key combination is not
already used in the application where a text is planned to be translated.
In the Behavior tab:
To remove superfluous line breaks during translation of the selected text fragment in the PDF document,
check the Remove line breaks box (disabled by default).
To enable the mode of automatic detection of the source language, check the Always detect source
language box (enabled by default).

The changing of the source or target language or of the translation profile produces the
automatic retranslation of the previously selected text.
If the mode of automatic detection of the source language is enabled in the program settings
(enabled by default), the source language is always automatically detected during each new
translation except the cases of automatic repeated translation after the explicit selection of the
source language in the PROMT Agent window. To disable this mode, go to the Settings dialog
and uncheck the Always detect source language box (see 7.2.2. Customizing Settings
on page 106).
To copy the translated text into the clipboard, click Copy translated text, or select the translated
text fragment and choose Copy from the context menu or press the standard key combination Ctrl+C.
The text in the windows with the translation cannot be edited.
To invoke the customization dialog from the window with the translation, click Settings.
To remove superfluous line breaks during translation of the selected text fragment in the PDF document,
in the Settings dialog check the Remove line breaks box (disabled by default).

7.4. PROMT Dictionary Editor Application
Use PROMT Dictionary Editor to create, extend, and edit user dictionaries of the PROMT suite.
The basic features of the application include:
adding new words and phrases to a dictionary;
searching for words and phrases and viewing information about them;
changing grammar information or translations.
The application can also create dictionaries automatically from specially prepared text files.
Dictionaries and choose the All Dictionaries command from the menu.
In the All Dictionaries dialog, choose the tab for the desired language pair. A list of dictionaries available
for the language pair will be displayed.
To open the tab for the desired pair of languages immediately, click Dictionaries and
choose the command from the menu.
You can perform the following actions in this dialog:

dictionary (initial form). If necessary, use the * and ? wild cards;
click in the Translations field and enter a translation mask (word or phrase in its initial form);
to delete the selected line from the list, click next to the desired field;
use logical operators AND/OR between lists and list elements;
in the Search Interval field, enter an alphabetical range for the entry search;
click Customize Search to specify whether you wish to search among all entries that satisfy the search
criteria or only among words or phrases;

if the line specifying the glossary format version is missing, the glossary is interpreted as a simple
glossary;
the second line of the glossary file contains names of fields used in the glossary, separated by the tab
character:
Key headword (source word or phrase);
Translation translation of the headword;
PartOfSpeech part of speech;
InProp additional headword properties;
OutProp additional translation properties;
OutComment line added to translation as commentary;
Ignore denotes that contents of the column will be ignored; an alternative way to add comments
to glossary file.
The names of fields cannot be changed. The Key and Translation fields are mandatory.
the main body of the glossary begins on the third line:
only significant lines of the glossary will be processed. A significant line is a line that contains
information about a dictionary entry that needs to be added to a dictionary. Comments (which begin
with the signs \# and continue to the end of the line), empty lines, and lines consisting of spaces
only, are ignored;
significant lines are divided into fields using the tab character. The number and order of fields
in significant lines must correspond exactly to the number and order of fields listed in the second
line of the glossary file;
leading and ending spaces in fields are ignored; double spaces are treated as a single space. You can
omit the tab character that separates the last field if the last field is empty;
if a headword requires more than one translation, each following translation must begin on a new
line. The Key field must be empty (and may contain spaces). You can specify separate OutProp
and OutComment values for each translation. The fields PartOfSpeech and InProp in the line with
additional translations are ignored. This data for additional translation is extracted from the first
line, which contains the headword.
Predefined values of glossary fields (case sensitive):
the PartOfSpeech field defines the part of speech of an entry. The following values are supported:
n noun;
a adjective;
v verb;
adv adverb.
the fields InProp and OutProp may contain additional information about gender and number of the
headword and translation, respectively. The fields InProp and OutProp are processed only if the
PartOfSpeech field specifies that an entry is a noun. Otherwise, the values in these fields are ignored.
The following values are supported:
m masculine, singular;

Example of an Advanced Glossary
When creating a glossary, follow the same guidelines as you would use when adding words and phrases
to a dictionary:
add words in their initial form, specific to each source language and each part of speech;
add the main word in a phrase according to the rules of adding headwords;
use lowercase letters for words or phrases, except for specialized terms and proper names.
In German, capitalize initial letters for all nouns.
In addition, keep the following points in mind:
you should avoid adding words that are minor parts of speech, such as pronouns, articles, prepositions,
and so on, because the application will try to determine them using one of the main parts of speech
(noun, adjective, verb, and adverb) and assign these attributes to them. This may lower the quality of
translation. Minor parts of speech can only be added as parts of phrases;
if a headword has several translations, they all must belong to the same part of speech. If you need to
add several parts of speech for the same headword, you will need to create a separate line with the
headword and its translation (translations) in a glossary;
if you reenter the headword with new translations, they will be added to the existing entry (if they
belong to the same part of speech), or a new entry will be created.

7.4.7.4. Adding Words to a Dictionary from a File
To create a dictionary from a specially prepared glossary file using automatic or interactive mode,
follow these steps:
1. Open an existing user dictionary or create a new one for the desired language pair. This will be the
dictionary that will be extended with the words from the glossary file.
2. Click the Import button in the Entry tab in the Edit group.
3. The Import Words and Translations from File dialog will open. Click Browse, and select the
glossary file and the number of the first line to begin adding entries to a dictionary.
4. Choose the desired mode
Interactive:
a. Choose Interactive Mode and click Start.
b. The Word and Its Translation dialog will open. In it you can choose to add a word to the
dictionary, skip a word, or finish adding words from a file.
c. Click Add and define the inflexion type of the source word and its translation;
Automatic:
a. Choose Automatic Mode.
b. Specify additional settings for the automatic creation of a dictionary:
i. To use the information about the inflexion type of the source word and its translation from
existing dictionaries, select the Use dictionaries checkbox. Otherwise, the inflexion type
will be determined automatically.
ii. To enable special processing of entries in which the source and the translation are identical,
select the Assign special paradigm to entries with identical source and translation
checkbox. Then choose a gender from the Gender for entries with identical source and
translationpop-up menu. If no part of speech, other than the noun, has been specified in
the glossary, or if no gender of the translation has been specified, a special paradigm is
assigned to the entry and the entry is treated as a proper noun. This allows for entering
correct grammar information for similar entries that require no translation (names of
commands, variables, etc.).
This setting only applies to language pairs for which English is the source
language (for example, English-Russian).
c. Click Start. A progress bar will appear indicating the number of processed lines in the glossary
file.
d. Click Stop to stop adding words from the glossary file.
All entries created before the Stop button was clicked will be saved in the selected
dictionary. You can continue adding words at a later time. The application remembers
the last line it used before the process was stopped. The next time you wish to continue
creating the dictionary, it will automatically continue the process from where it left off.

After the process of creating a dictionary is finished, you will see an alphabetical list of all the entries
added from a glossary. Information about any errors that the application encountered during the creation of
the dictionary is saved to a log file. The path to the log file will be displayed in a separate window after
the process of creating a dictionary is finished.
Export to Archive Save a user dictionary to an archive file with the extension .adc.
Linked Dictionaries Set up or remove a link between a user dictionary and its linked dictionary.
Save a user dictionary to a text file: RTF, CSV (tab delimited), Unicode,
Export XML, TBX or OLIF. You can view a saved dictionary in a text editor or print
it out. Besides, a user dictionary can be saved in the advanced glossary format
file (see 7.4.7.2. Creating an Advanced Glossary on page 124).

7.5. PROMT Electronic Dictionary Application
The PROMT Electronic Dictionary application is the multilingual electronic dictionary which allows to
receive information on any selected word or phrase, including numerous translations from different
dictionaries making dictionary base, and also extensive grammatical information.
The main application window opens. Besides, the ED Launcher icon appears in the notification area.
Depending on the program settings, ED Launcher can be run automatically on Windows startup.
If the ED Launcher icon is in the notification area, then to launch the PROMT Electronic Dictionary
main window, do one of the following:
double-click ED Launcher;
right-click on the ED Launcher in the notification area and choose Activate from the context menu;
from any Windows application where you can select the text fragment, press the key combination which
was set in the ED Launcher settings (Ctrl+Alt+V by default).
To configure ED Launcher, right click on the ED Launcher icon in the notification area and choose
Options from the context menu. The dialog opens which allows to set the following options:
To set the keyboard shortcut for launching PROMT Electronic Dictionary from any application where
you can select the text fragment, press the key combination you want in the entry field.
When you set keyboard shortcut, make sure that this key combination is not already used in
the application where a text is planned to be translated.
To exit ED Launcher automatically after closing the PROMT Electronic Dictionary application, check
the Exit after closing the Electronic Dictionary box (disabled by default).
To launch ED Launcher automatically during the Windows startup, check the Run at Windows startup
box (enabled by default).

7.5.3. Searching in Electronic Dictionary

the toolbar.

To customize the work of the application, select Options from the Tools menu and in the Options
dialog specify the following:
whether to display comments to translations and the additional grammatical information in the entry
field;
whether to search only in the current dictionary or in all dictionaries of the current language pair.
To enter or edit text in the search box you can use standard commands of working with the clipboard
from the Edit menu and from the context menu.
Language pairs which support the electronic dictionary may differ from the language pairs that
are supported for machine translation in other PROMT applications.

3. Select Find in the Tools menu or click on the toolbar (or press Ctrl + F).
The result of search appears in a separate alphabetic list.
If the mode of searching in all dictionaries of the current language pair is set, the first line in the
entry field contains the name of the dictionary where this entry was found.
To view the results of Find command, select (Found:) from the drop-down list of dictionaries or from
the Dictionary menu.
The results of search are displayed in a separate tab and are stored till the next Find command
or till the program exit.
To find the translation of the source word (phrase) in the electronic dictionary of the opposite direction
of translation, right-click it in the entry field and select the Translate command in the context menu.
The program automatically opens the alphabetic list of the electronic dictionary of the opposite
direction which is positioned on the searched dictionary entry or on the nearest one.
If you delete the dictionary where the corresponding entries were found, these entries are
deleted from the History as well.

The bookmarks are stored till they are deleted from the list or till the dictionary is deleted

application allows you to create and edit additional user dictionaries.
Open the user dictionary which you want to edit for the required language pair. The main menu and
the toolbar will look like the following:

A content of the Information field is displayed just after the part of speech and

d. In the Grammatical Information field, enter the additional grammatical information or the most
important word forms of the source word (for example, the plural form of the noun or the forms

A content of the Grammatical Information field is displayed in the next line after the
heading.
e. Click Add.
3. In the Edit Translation dialog:
a. Enter a translation of the source word (phrase) which corresponds to the specified part of speech.
b. Fill in the Comment and Information fields.
A content of the Comment field is displayed in parentheses just before the translation.
4. Click .
The entered word will be displayed in the alphabetic list of the open user dictionary.

The Information and the Grammatical Information fields for the source word, as well as the
Comment and the Information fields for the translation are not obligatory and are displayed only if
the appropriate checkboxes are set in the Options dialog.
To edit a word (phrase) in the user dictionary, do the following:
1. Select the word in the alphabetic list of the open user dictionary.
2. Select Delete from the Entry menu or click on the toolbar (or press Delete).
User dictionaries of the PROMT Electronic Dictionary application cannot be used for machine
translation in other applications of PROMT translator.
7.5.4.2. Automatic Creating a Dictionary from a File
To automatically create an electronic dictionary, you need to import a text file (called glossary) which
has been prepared according to specific rules to the user dictionary of the PROMT Electronic Dictionary
application. This technology allows you to quickly create your own electronic dictionaries in automatic
mode.
The process of automatic creation of a dictionary from a file consists of the following main stages:
1. Preparing a glossary file which contains information about source words and phrases and their
translations.
2. Creating a dictionary with information from the glossary file.
Glossaries can be of the following types:
Glossary of a simple text format
Glossary of a Lingvo DSL format
Any TXT files created according to the rules for creating glossaries in any text editor using ANSI or
Unicode text encoding can be used for glossaries.
If you wish to save Cyrillic and diacritic symbols (used, for example, in Russian-French
dictionaries), use Unicode text encoding.
To create a dictionary from a specially prepared glossary file in automatic mode, follow these steps:

1. Open an existing user dictionary or create a new one for the desired language pair. This will be the
dictionary that will be extended with the words from the glossary file.
2. Depending on the type of the glossary file, select the Import from a file or Import from a Lingvo
DSL file command in the Entry menu or click on the toolbar.
3. The Import Words and Translations from File dialog will open. Click Browse, and select the
glossary file and the number of the first line to begin adding entries to a dictionary.
4. Click Start. A progress bar will appear indicating the number of processed lines in the glossary file.
5. Click Stop to stop adding words from the glossary file.
All entries created before the Stop button was clicked will be saved in the selected
dictionary. You can continue adding words at a later time. The application remembers the last
line it used before the process was stopped. The next time you wish to continue creating the
dictionary, it will automatically continue the process from where it left off.
After the process of creating a dictionary is finished, you will see an alphabetical list of all the entries
added from a glossary. Information about any errors that the application encountered during the creation of
the dictionary is saved to a log file. The path to the log file will be displayed in a separate window after
the process of creating a dictionary is finished.
Rules for Creating a Simple Glossary
A simple glossary contains only two columnsheadword (source word of phrase) and translation.
only significant lines of the glossary will be processed. A significant line is a line that contains
information about a dictionary entry that needs to be added to a dictionary. Comments (which begin
with the signs \# and continue to the end of the line), empty lines, and lines consisting of spaces
only, are ignored;
each significant line in a file represents one dictionary entry and must contain a headword (source word
or phrase), and at least one translation. The headword is separated from the translation with one or
several tab characters, or at least with two spaces;
if a headword has several translations, they are separated by the semicolon ;;
leading spaces in headwords, as well as leading and ending spaces in translations are ignored;
double spaces in translations are treated as single space.
You cannot use double spaces and tab characters in the source phrase, as this will be interpreted
as a separation between the headword and its translation.
Rules for Creating a Glossary in Lingvo DSL Format
Glossary of a Lingvo DSL format is a text file which can be created by any text editor and saved in ANSI
or Unicode encoding. After the file is created, its extension should be changed to DSL (for example,
using Windows Explorer).
1. The first line specifies the source language in the following format:

Use PROMT TM Manager to manage PROMT Translation Memory databases. With PROMT TM
Manager you can:
create and delete TM databases;
find records in TM using queries;
edit TM databases (add and delete records, find and replace text);
export and import TM databases partially or in their entirety;
copy records from an open database to any other database;
import bilingual texts to any TM database.

To show and hide toolbars and the Translation Memory Databases, Query Properties/TM
Database Properties, and Find Text panes, use the commands in View > Toolbars. To show and
hide the status bar, choose View > Status Bar.
7.6.1.2. Work Area
The tabs and windows of the work area can display the following information:
complete contents of open databases;
segments of databases containing query results;
additions to databases from imported records or parallel texts;
updates to the databases from PROMT Translator.
To change the layout of the windows in the work area, use the Tile Windows or Cascade
Windows commands in the Window menu. To make a window active, click a tab with that window.
To close a tab or a window, click on the right above the work area or in the window title, or
choose TM Database > Close Selection.

7.6.1.3. Customizing Panes
Panes can be docked to any side of the main application window and can be set to hide automatically. You
can also place them anywhere on the screen as separate windows.
To undock and move a pane, drag its title.
To automatically hide a pane, click in the panes title. The pane will collapse and only its title will
be visible. To open the pane, place the pointer over the title. Click again, to disable the automatic
hiding of the pane.
To reset all panes to their default positions, choose Tools > Options and click Default Pane
Positions.
7.6.1.4. Customizing Menus and Toolbars
Use the Options dialog to customize menus and toolbars. To bring it up, choose View > Customize. This
will turn on the editing mode for the toolbar, the menus, and shortcuts menu of the work area. In this mode,
you can quickly add or remove commands and buttons, and rearrange them.

7.6.4. Quick Queries
Use the Fields groups to specify the basic query criteria (depending on the selected query type):
Sourcecontains the text you wish to find in the source text of the TM database records;
Translationcontains the text you wish to find in the translations of the TM database records;
Date from and Date toa range between the dates of creation and modification of records.
To set a date, click in the right of the desired field. In the resulting dialog, select the Set
checkbox, and set the date and time.
Userthe name of the user who created or last modified the record in the TM database.
You must specify at least one parameter in this group.
Use the Options group to specify case-sensitivity, spaces, punctuation, or diacritics for performing
searches (depending on the selected query type). To enable a condition, click in the right of the desired
field, and choose Yes.
To repeat a query after making changes to its settings, click in the toolbar, or choose TM Database >
Repeat Current Query (or press the F5 key).
The changes in query properties are saved automatically.
To delete a query, choose Delete Query from the shortcut menu (or press the DEL key).
To create and execute a 100% Match quick query, follow these steps:
1. Open the desired tab in the work area.
2. Select the record for the source text for which you wish to find a complete match and right-click it to
bring up the shortcut menu.
3. Choose a command:
Search Optionsset up additional search criteria for a specific record: case-sensitivity, spaces,
punctuation, or diacritics;
New Query (100% Match)create and execute a query automatically.
The results of the query will be displayed in a new tab. The name of the created query will be displayed
in the Translation Memory Databases pane under the name of the TM database.
In the Options field of the Query Properties pane, additional settings for the created query will
have default values. Search parameters for a specific record will have a higher priority.
7.6.4.2. Substitution Characters Quick Query

To edit a record, place the insertion point in the desired field and edit the text.
If automatic keyboard layout switching for the source and translation languages is enabled,
placing the insertion point in a field will automatically switch the layout to that language. To
enable or disable this option, do the following:
For all tabs in the work area, choose Tools > Options and select or deselect the checkbox
labeled Switch keyboard layout automatically;
For one tab, choose Switch Keyboard Layout Automatically from the shortcut menu in the
work area.
Save changes in the TM database. Click Save Changes or choose TM Database > Save Changes
(or press CTRL+S).
Move to first or last record in the Use the respective command in the shortcut menu of the work

To quickly bring the pane up, click Find in the toolbar, or press CTRL+F.
To find and replace text, follow these steps:
1. Type the text you wish to find in the Find field.
2. If you wish to replace it with another text, type the replacement text in the Replace with field.
3. Specify the search direction and whether you want to search the source text or the translation.
4. To run case-sensitivity searches, or to use templates of regular expressions, select the respective
checkboxes.
5. To find text, click Find. To find and replace, click Replace or Replace All.
7.6.5.2. Copying Records to Another TM Database
To add records from the current TM to another database, or to create a new database, follow these steps:
1. Select the desired records in an open TM database and click Add Selected Segments to the TM
Database in the toolbar, or choose TM Database > Add Selected Segments to the TM Database
(or press CTRL+ENTER).
2. In the resulting dialog, select a database of the same language pair and click Select. To add records to
a new database, click New.
The selected records will be added to an existing database or a new database.

3. The View Results dialog will open. Choose the way you wish identical dictionary entries to be
processed and displayed in the comparison results window, and click OK.
Select the Ordered list checkbox if you wish the comparison results to reflect the order
in which the translations are given in an entry.
When comparing more than two dictionaries, the View Results dialog is not used.
The results of the comparison are displayed in the tabs of the Comparison Results window. When
comparing two dictionaries, the window displays unique entries in each dictionary and common entries for
the dictionaries being compared. When comparing more than two dictionaries, only common entries will
be displayed. Choose an appropriate command from the Actions menu and click Execute.
When comparing more than two dictionaries, view common entries and choose the desired
dictionary pair from the list.
7.7.3.1. Additional Comparison Options
You can specify additional criteria for searching dictionary entries when comparing dictionaries.
Click Options or choose Tools > Options. In the resulting Options dialog, select the Use filter
checkbox. Now when you compare dictionaries (see above), the Search dialog will open after Step 3. In it
you can specify additional parameters for dictionary comparison:
set the basic search parameters in the Search parameters field:
click in the Headword field, and enter a keyworda headword or phrase in the form it exists in a
dictionary (initial form). If necessary, use the * and ? wild cards;
click in the Translations field and enter a translation mask (word or phrase in its initial form);
to delete the selected line from the list, click next to the desired field;
use logical operators AND/OR between lists and list elements;
in the Search Interval field, enter an alphabetical range for the entry search;
click Customize Search to specify whether you wish to search among all entries that satisfy the search
criteria or only among words or phrases;
click Defaults to reset search parameters to their default settings.
Click OK.

7.7.5. Viewing Statistics for a Dictionary
In Automatic mode, the dictionaries will be merged automatically based on the main
dictionary. In Interactive mode, merging will stop if the application encounters entries with
identical headwords but different translations. Choose the appropriate variant and click
Choose Entry.
If the Use SmartMerge checkbox is selected, new dictionary entries will be created
automatically based on grammar information in the dictionaries.
The entries from the selected dictionaries will be placed in a new dictionary, which is saved to an
archive file (with the .adc extension).

Saving Analysis Results on page 162). For context search, you can specify
the maximum number of context examples;
the length of a context example: complete sentence with the TC, or the number of words before
and after the TC;
context type: consecutive or stochastic. Choosing Consecutive will extract context samples in the
order they appear in the text. Choosing Stochastic will randomize the selection of context samples.
7.8.3.2. The PROMT Tab
In PROMT Terminology Manager you can translate found TCs using PROMT translator, extract
translations from PROMT dictionaries, add TCs and their translations to user dictionaries, and set up
filters for extended search in dictionaries.
Before you can use all these advanced features, you need to enable translator in the application. To
do this, simply choose the desired language pair in the Language Pair pop-up menu. If you choose Not
Selected, translator will be disabled.
After you enable translator, the following dictionary lists will become available:
for filters and statistics. These dictionaries are used to acquire statistics on dictionaries and to search
for translations of TCs. Extended search filters can also be used;
for machine translation. The dictionaries in this list are used for machine translation.
To make a dictionary list, follow these steps.
1. Click and choose an appropriate translation profile.
2. Click and enable or disable dictionaries for this language pair in the resulting dialog.
Deselect the Use General dictionary checkbox in the List of dictionaries for filters and
statistics group, if necessary. For machine translation, the general dictionary for the selected
language pair is always used and cannot be disabled.
7.8.3.3. The Word Combinations Tab
To treat combinations as TCs when processing, select the checkbox labeled Form word combinations.
You can also use the following options:
Number of word occurrences to form a combinationthe number of repeated occurrences of a word
in a text. When the number is exceeded, a combination will be formed;
Minimum number of words in a combination and Maximum number of words in a combinationthe
minimum and maximum number of words to form a combination;

Fixed number of skipped word in a combination {{n}}combinations are formed as the first and last
word, where {{n}} is the total finite number of words between them. For example, call {{1}} up

number of words between the first and last word. For example, went {{*}} yesterday describes went
home yesterday, went to the movies yesterday;
Ignore combinations with repeated wordsif you select this checkbox (and the Fixed number of
skipped word in a combination checkbox), such combinations will not be processed;
Not the first word in a combination and Not the last word in a combinationexclude words
from processing that do not occur in the beginning or end of a combination, such as conjunctions
and prepositions. To exclude such words, use filters and list files (see 7.8.3.8. Customizing Filters
and Using List Files on page 158).
7.8.3.4. The Delimiters Tab
The application uses lists of delimiters for separating words, combinations, and sentences.
To edit the list of delimiters, use the Add and Delete buttons. To revert to the default lists, click the
Defaults button.
7.8.3.5. The Filters Tab
You can exclude certain words or combinations from being processed, or, conversely, specify which words
you want processed. To do this, use filters or files with lists of words and combinations found, respectively,
in the Ignored Words and Processed Words groups of this tab. For information about enabling and setting
up filters and list files, see 7.8.3.8. Customizing Filters and Using List Files on page 158.
By default, language-specific lists that are bundled with the application are used (for example,
the file ignore_e.txt is a file used for English as the source language).
7.8.3.6. The Translation Memory Tab
If you have SDL Trados 2007 installed on your computer, you can search for TC translations in SDL
Trados and SDL MultiTerm databases.
To search in an SDL Trados Translation Memory database, select the Use SDL Trados checkbox.
Specify the location of the Translation Memory database file (.tmw file name extension), the user name
and password, and click Launch. SDL Trados Translators Workbench will launch and open the selected
database.
You can also launch SDL Trados by clicking in the toolbar, or by choosing Actions >
Launch TM (or pressing SHIFT+L).
To enable a terminology search in an SDL MultiTerm database, select the Use MultiTerm v5.5 or
earlier or Use SDL MultiTerm v6 or later checkboxes. For the first option, specify the location of
the MultiTerm database and click Launch. For the second option, click Select Database and select the
desired database.
During processing, the selected Translation Memory or MultiTerm databases must remain open.

A context is a segment of a text (a sentence or a portion of a sentence) in which the terminology candidate
occurs.
Context examples are displayed in the context pane. By default, the context pane is located at the
bottom of the window.
To open the context pane and view all found context examples for a selected TC, click in the toolbar
or choose View > Context Pane (or press SHIFT+C).
You can drag and drop the pane anywhere on the screen. To dock it to the application window,
double-click the panes title.
The application forms and displays context based on its settings (see 7.8.3. Customizing Settings on
page 155). Terminology candidates are highlighted in red in the context. At the end of each line of context,
a path to the file in which this context was found is displayed. The path is highlighted in blue.
If PROMT translator is enabled in the application, you can view a quick translation of a text
segment. Simply select it. A tooltip with the translation of the segment will appear.
7.8.4.2. Viewing Translations from Dictionaries and TM Databases
To view all translations for a given TC found in enabled PROMT dictionaries, right-click the desired
TC and choose Translations from Dictionaries (or press CTRL+D). In the resulting window, brief
information from the dictionary entry for each dictionary will be displayed: dictionary name, translation
variants, initial form, and part of speech.
To view a translation from an SDL Trados database, right-click the desired TC and choose Show
Segments Found in TM (or press CTRL+K). The segment or segments and the translation found in the
database and the match percentage of the source text of the TC and the segment from the database will be
displayed in a new window.
7.8.4.3. Viewing Statistics for Dictionaries and TCs
Information about dictionaries contains statistics for the total number of words found in all dictionaries.
To view dictionary statistics, click in the toolbar, or choose View > Dictionary Statistics.
Information about TCs contains the following statistics: number of words in processed files; total number
of found TCs; number of words and phrases, including those found in dictionaries; and the coverage
valuethe ratio of the total number of words in phrases to the total number of words in the text.
To view statistics for TCs, click in the toolbar, or choose View > TC Statistics.
7.8.4.4. Sorting Terminology Candidates
You can sort the found TCs in a list using different sorting options (see table below). To choose a sorting
order, use the View menu or click the column header in the list with results.
After choosing a sorting order, the list of TCs will update automatically, except when you
choose to sort by dictionary. Repeat analysis after choosing to sort by dictionary.

If you select more than one TC in the list, they will be added to the dictionary one by one.
7.8.5.3. Exporting TCs to an SDL MultiTerm Database
You can save your TCs to a special file, which you can then export to an SDL MultiTerm database.
To export TCs to a file, follow these steps:
1. Choose File > Export to Translation Memory > All TCs or Marked TCs.
2. Name the file.
3. In the Form the Template for Export dialog, choose a template.
A template contains information about the fields of the database to which the data from the
list of terms is exported: the TC (TC field), translation (TRANSLATION field), and context
(CONTEXT field). The left column displays the names of available templates. The right
column shows the relation between the fields in a selected template.
After a successful export, the application shows how many TCs have been saved to a file. From this
file, TCs can be imported directly in an SDL MultiTerm database.
7.8.5.4. Editing TCs and Their Translations
To edit a TC, right-click it and choose Edit TC (or press CTRL+I). Make the necessary changes
in the resulting dialog.
To update context examples after editing, select the checkbox labeled Search for new context.
To edit the translation of a TC made by PROMT translator, right-click the TC and choose Edit
Translation. Make the necessary changes in the resulting dialog.

7.9. PROMT for TM Application
PROMT for TM is a tool for automatic updating of TM (Translation Memory) databases in the TMX,
TMW (SDL Trados 2007) and SDLTM (SDL Trados Studio 2009) formats with the results of machine
translation made with PROMT translator.
Below is the algorithm for automatic updating of the TM database:
compare segments of text in selected documents with the segments saved in the TM database;
translate the segments not found in the TM database;
update the TM database with the segments translated with PROMT translator.
In addition to updating the existing database in the TMX format, the application can create a new database
and fill it up with all translated segments of text in selected documents.
To launch PROMT for TM, do one of the following in PROMT Expert 10:
Choose Add to Translation Memory in the Translation Setup window;
Choose PROMT for TM in the Launch Applications window.
The applications commands are available in the toolbar and from the menus.

The selected files are processed one by one.
The TM database will be updated with the translated segments based on the settings in the Updating

PROMT Terminology Converter is an application for updating user dictionaries of PROMT translator
with the contents of SDL MultiTerm terminology databases automatically. With PROMT Terminology
Converter you can
greatly reduce the time needed for creating user dictionaries;
use existing word databases to create user dictionaries;
create user dictionaries that contain more exact grammar information about newly created dictionary
entries.
In order to use PROMT Terminology Converter, you must have the SDL MultiTerm database
installed first.

The paragraph with the pointer in it is automatically selected in all the panes. It is indicated by
the brackets around the paragraph, displayed on the margins between the panes.

3. Click Translate in the toolbar or choose Tools > Translate (or press F9).
The translated text will be displayed in the Candidate pane.
4. Click Compare in the toolbar, or choose Tools > Compare (or press F7).
The elements of the text that are different (words or characters) will be marked in color: green in the
Reference pane and red in the Candidate pane.
The calculated values of the required characteristics will be displayed in the Comparing results pane
(see 7.11.6. Estimating Translation Quality on page 172).

in the BLEU Score group, the BLEU Score value and the intermediate parameters for the entire text and
for the current paragraph are displayed:
BLEU Score the BLEU Score value (for the entire text or for the current paragraph), represented by
a number between 0 and 1. The closer this value to 1, the closer the candidate and the reference text;
Brevity penalty the value which shows how the length of the candidate differs from the length of the
reference text. This value is equal to 1, if the length of the candidate is equal or more than the length
of the reference text; otherwise less than 1;
Precision [1...4] the measure of correlation of unigrams, bigrams, 3-grams, 4-grams of the candidate
with the appropriate n-grams of the reference text. This value shows how much is the common part of
the candidate and the reference text in comparison with the size of the candidate. The more is this
value, the less is the error that the estimated candidate has superfluous or wrong words;
N-grams allows you to view and save the list of n-grams, which coincided in the candidate and in
the reference text (click at the end of the line).

To use this feature, you must enable at least one user dictionary in PROMT translator. For
information about enabling dictionaries, see 6.4.1. Enabling Dictionaries on page 62.
To add a word to a dictionary or to edit an existing entry, click the word and then click Add to
Dictionary in the toolbar (or press F8), or choose Add to Dictionary from the Tools menu or shortcut menu.
The Add to Dictionary dialog will appear where you can enter a word or phrase to add to the
dictionary.
For more information about working with user dictionaries depending on the selected mode, see
6.5.1. Editing in Simple Mode on page 71 and 6.5.2. Editing in Advanced Mode on page 72.
To see how the changes that you have made in the user dictionary affect the translation, enable
this dictionary in a translation profile, select this profile, and translate a document.

7.12.4. Creating and Editing Attribute Rules
Rule for elementname of the documents tag to which the rule applies. An empty line indicates
that the rule applies to all tags;
If you do not specify a tag, this will create a rule that will apply to all tags that do not
have their own unique rules.
Typespecify the tags type:
Describes formatting within a segmenta tag does not break down a coherent text segment;
Text segment delimitera tag breaks down a coherent text segment;
Formatting informationa specific attribute for managing the XML translation extension that
indicates where tags should be placed in a translation;
Translation optionsparameters for translating a tag, which manage the XML translation extension;
Use the Semantic class for reserving field to specify a semantic class used for reserving a text
segment within a tag.
This field is available if the Translation options option is set to Reserve
To edit a rule, select an element (marked with an opening tag) and click Edit or choose Edit > Edit
Rule. Change the desired value in the resulting dialog.

PROMT Plug-ins Manager is intended for installing plug-ins for popular applications for Windows OS.
These plug-ins allow you to translate text directly within the supported applications.
Plug-ins are available for the following applications:
PROMT for Microsoft Office (Word, Excel, PowerPoint, FrontPage, Outlook);
PROMT for OpenOffice;
PROMT for Internet Explorer;
PROMT for Mozilla Firefox.
The list of translation plug-ins depends on your purchased version of PROMT translator and on
the applications you have installed on your computer.

7.14.1. Synchronizing Linguistic Data with PTS
To transfer selected linguistic data from PROMT translator to PTS, follow the steps below:
1. Select the objects you wish to transfer in the left-side tree.
Selecting the Overwrite objects without prompt option will replace similar objects on
PTS with their counterparts from the desktop version of the same language pair. Otherwise,
an overwrite confirmation dialog appears for each object.

Chapter 9. My PROMT
Use the My PROMT window in the PROMT Expert 10 application to access your online user area. It
stores information about installed PROMT products, as well as many online services that will assist
you in working with the PROMT translation suite.

Glossary
Diacritics Signs written above or below a letter in some languages to indicate a difference
in pronunciation from the same letter when unmarked or marked differently.
Dictionary Entry A structured set of information about an entry word or phrase: a headword
with a non-changeable part of a word or word variation, grammar information,
and translations for the word.
Enabled Dictionaries A list of available dictionaries for a selected language pair, used for translating
a given document. The system polls dictionaries in the list, beginning from
the topmost dictionary. The general dictionary is always enabled and is the
last dictionary in which the system looks words up. It is not displayed in the
list of enabled dictionaries, however.
General Dictionary The basic dictionary for each language pair. This dictionary contains the
general lexicon. It is always connected to the engine and cannot be edited.
Keywords A list of keywords or phrases characteristic of a certain subject matter or
field, which allows the application to automatically detect the most suitable
translation profile for a document. The translation profile is determined based
on the maximum number of matches of the keywords from the list and the
words in a document. The list of keywords is part of the translation profile and
is saved with it after editing.
Language Pair Specifies from which language and into which language the text will be
translated.
Linked Dictionary A dictionary of the reverse language pair (for example, for the German-English
dictionary it is the English-German dictionary), linked with the initial
dictionary with the purpose of simultaneous updating and editing. When you
add a word or phrase to the initial dictionary, a new entry is being automatically
created in the linked dictionary, the headword of which is the translation of the
source word. If a source word has several translations, several new entries will
be created in its linked dictionary. The necessary grammar information will
be formed based on the rules for creating dictionary entries for the chosen
language pair. The same dictionary can be a linked dictionary for several
dictionaries, but one initial dictionary cannot have several linked dictionaries.
If you update the linked dictionary the initial dictionary is not modified.
Macro A set of instructions written in a scripting language, which extends an
applications functionality.
Multi-Variant Word A word that has multiple translations relating to the same part of speech in a
dictionary. Usually, the translation does not choose the appropriate variant
automatically, allowing you to choose from the possible options.
Preprocessor A set of instructions to exclude specific patterns from translation or to transform
them according to the rules of the target language. Without preprocessing
instructions, these patterns may be incorrectly interpreted by the translation
engine, resulting in a mistranslation.

Reserved Word A reserved word is a word or phrase in the source text that is marked as not
requiring a translation, for example, proper names, abbreviations, or special
proper names that comprise ordinary words (BlackBerry, Miami Beach). These
words or phrases can be displayed in the translation using their original spelling,
or they can be transliterated (only if Russian is the source or target language).
Semantic Class A class of words whose meanings share the same semantic property (for
example, a geographic name, a unit of measurement, etc.).
Source Language and The languages of the source text and the translation that you specify in PROMT
Target Language applications by choosing the language pair.
Source Word or Phrase A unit in PROMT dictionaries containing a word or phrase in the source
language.
Specialized Dictionary A dictionary that extends the engines vocabulary in specific subjects and fields.
Specialized dictionaries cannot be edited.
Text Segment A segment of text in a document extracted in accordance with segmentation
rules and treated as a single unit in translation.
Translation Memory A database that stores translation units which consist of a source segment
(TM) Database (typically, a sentence) and its target, translated segment counterpart. During
translation, segments of the source text that is to be translated are compared
to the contents of the TM database. If they match completely or partially (the
match is expressed as a percentage), then the corresponding translation is
used from the TM database. Translation Memory databases can be created
and edited by the user.
Translation Profile A set of saved linguistic settings available from all applications of the PROMT
suite that can be configured to translate texts for a specific subject or field.
Translation Rules for A set of instructions that allow you to choose a mode for the translation of
Language Patterns language patterns that are not governed by changes in dictionary data.
Transliteration A system for representing letters of one alphabet or language with letters
or combinations of letters from another alphabet or language. In PROMT
translators, transliteration is used for representing texts written in Russian using
the Latin alphabet and vice versa.
User Dictionary A dictionary that is created, edited, and updated by the user. A user dictionary
is comprised of new words or phrases, as well as modified entries from general,
specialized, or other user dictionaries.
