Senior Receptionist Additional Responsibilities:

To do Reception duty schedule.

Monitoring of Receptionists timekeeping. To advise RM of late


comers. Past five minutes is considered late!

Monitor OTs due for off-set. Handle off-setting request and advise
RM for approval.

Monitoring of Lost & Found properties - to instruct Night


Receptionist to sort and enlist all items at the end of cruise. Box
should be properly labelled. To ensure all L & F are sent of every
turnaround.

To monitor and report short of office supplies stocks to RM for re-


ordering.

To check all delivered office supplies are complete and advise RM


for loading report.

To monitor and request from Housekeeping order forms (ie cabin


shopping and laundry forms) and post cards if short of supplies.

To ensure all messages for passengers, officers and crew are


delivered without delay. Ask Receptionist to deliver if desk is not
busy. Always keep the out tray empty.

To ensure and print postage stamp rates in are available for the
cruise and have it ready in the Reception folder.

To ensure all photocopy request are carried out by Night


Receptionist or during idle hours.

Responsible for printing departure list should there be


embarked /debarked passenger/s in every port. List should be
posted in back office.

To assist Flight Coord/Clearance coordinator on paper work and /or


other assigned task as requested by RM.

To ensure all communications, found properties, golf clubs,


adaptors borrowed are logged accordingly.

Create folder and oversee filing of Finaliser in L: drive folder for
each cruise and other relevant files /folders are saved. Ensure all
Reception staff are aware of the information stored in the cruise
folder.

Ensure anniversary letters are prepared at the end of the cruise for
next cruise. Responsible for sending the anniversary & b-day list
to dept concerned including Photo Mngr.

Ensure gifts are checked against the b-day & anniversary


summary list before they are endorsed to Room Service.

In-charge of preparing the letter for Oceans Gold & Suite Dreams
free bus pass. To enter information in the spreadsheet and to send
it to Acct Mngr.

To monitor and follow-up pending call-outs on the Reception log


and ensure action has been taken. To update and advise RM of
major issues.

Oversee chase up of disembarkation questionnaires and


preparation of debark order and auto debark worksheet. Refer to
RM for advise and approval. To monitor and prepare priority
letters and letter of guests requiring wheelchair assistance.

To ensure proper endorsement is observed (strictly followed) at all


times (pending requests, appointments, wake-up calls, complaints)

To ensure the desk is sanitised every hour during (or as often as


you could) during Noro outbreak. Sanitation Log & check list must
be completely filled and signed by RM.

To ensure Reception area is clean and tidy at all times. Remind


7am shift to clean /sanitise the desk everyday.
