Control of Measuring Instrument Procedure
Originator: Reviewed and approved by:
QA Manager QMR

1. PURPOSE
The purpose of this procedure is to define the program used to assure that all
measuring and test equipment are properly calibrated, verified and controlled in
order to provide accurate and precise measurements on ABCs products.

2. SCOPE
This procedure applies to all measuring instrument employed by ABC in verifying the
conformity of our product against our customer requirements.

3. DEFINITION

Measuring measuring device, measurement standard, reference

Instrument material or auxiliary apparatus or combination thereof
necessary to realize a measurement process

Calibration comparison between measurements one of known

magnitude or correctness against ABCs measuring
instrument. Generally, this is done by external parties.

Traceability the ability to relate an individual measurement result to

national standards of measurement.

4. RESPONSIBILITIES

Engineering is responsible for maintaining and monitoring the

Head Measuring Instrument Register, calibration and recall of
equipment, review of calibration records for adequacy
and compliance to requirements, and any other task
directly related to equipment calibration.

5. PROCEDURE DETAILS

5.1. Instrument Indexing and Labeling.

5.1.1. All measuring instrument shall be labeled, tagged, or otherwise controlled to

indicate its calibration status and ensure its traceability to calibration test data.

5.1.2. Labeling thru stickers shall be plainly visible, and as a minimum, should
contain the following:

5.1.2.1. The equipment serial number

5.1.2.2. The last calibration date
5.1.2.3. The next calibration due date.

5.2. Intervals of Calibration.

5.2.1. An instrument calibration list (i.e. Measuring Instrument Register) shall be

maintained by the Engineering Head and shall contain the following minimum
information:

5.2.1.1. Serial Number

5.2.1.2. Equipment Name
5.2.1.3. Calibration frequency
5.2.1.4. Calibration status
5.2.1.5. Last calibration date
5.2.1.6. Next Calibration due date

5.3. Measuring Instrument Care.

5.3.1. Measuring instruments must be set to its zero value first prior to use.

5.3.2. Any observe anomaly in the instrument readings must be communicated to

the Engineering Head.

5.3.3. Measuring instruments must be cleaned first before use.

5.3.4. Measuring instrument faces should be carefully protected from being

scratched or damaged.

5.3.5. Do not operate abruptly, drop or strike the measuring instrument. Call the
attention of the Engineering Head if somebody drops the instrument.

5.3.6. Measuring instruments must be prevented from exposure to heat, humidity,

and corrosive substances.

5.4. Calibration of Measuring Instrument.

5.4.1. Once the Engineering Head is prompted by the Measuring Equipment

Register regarding the calibration due date of a certain equipment, the
equipment shall be withdrawn from the service.

Note: For ease of scheduling the instrument for calibration, the Measuring
Instrument Register has a feature to set the warning days ahead of the
calibration due date to give the Engineering Head ample time to arrange for
the instruments calibration.

5.4.2. Calibration of the equipment shall be performed by external laboratories.

5.4.3. The Engineering Head shall accomplish a Purchase Request Form to initiate
preparation of the budget for the external laboratorys calibration services.

5.4.4. External calibration laboratories shall provide a calibration certificate for each
calibrated instrument which contains, at a minimum, the following information:

5.4.4.1. Date of calibration

5.4.4.2. A statement indicating the standards used in calibration, test
numbers, or other means of documenting traceability to nationally
recognized standards
5.4.4.3. A statement of calibration accuracy ratio(s) or biases
5.4.4.4. A statement of equipment conformance to the calibration
specifications

5.4.5. The external calibration laboratory shall be required to attach calibration

stickers on the calibrated instrument to clearly identify the calibration status.
