Objectives of the Programme
To provide full range of administrative support in the procurement, inventory management of medical and other supplies for the WHO collaborative programs especially Avian Influenza at country level. Description of duties Under the direct supervision of Technical Officer (Procurement & Logistics), the incumbent performs the following duties:
1. To assist in processing procurement requests with appropriate suppliers for
specialized technical items such as drugs, vaccines, hospital and lab equipment and any other administrative supplies. 2. To prepare purchase orders, routine correspondence and to maintain associated monitoring and statistical reports. 3. To reconcile Purchase Orders against Purchase Authorizations and follow-up as required ensuring satisfactory and timely delivery of supplies and equipment. 4. To take necessary follow-up actions in order to expedite the procurement process to timely meet the logistical needs of the WHO collaborative programs. 5. To ensure that inventories for WHO property/assets are consolidated, physically checked and reconciled at Jakarta and field level when required. Make sure receipt of supplies and equipment with timely customs clearance at the respective entry point. 6. To identify potential sources of supply and assist in liaise with suppliers to maintain updated catalogues, delivery and price information for items mentioned above. Share with HQ/WHO where considered suitable to include in the WHO catalogue. 7. To utilize WHO web-buy catalogues and procurement applications, effectively. 8. To perform other duties as assigned. QUALIFICATIONS REQUIRED:
Education and special training
Completion of Secondary school. Training in procurement and/or logistics.
Knowledge and skills
- Knowledge of modern office procedures;
- Knowledge of WHO policy and procedures for supply and equipment, familiarity with health related procurement with particular reference to hospital and lab suppliers and/or drugs and pharmaceutical products; - Ability to draft routine official correspondence, summary of meetings, etc, in English. - Ability to use Ms Office software applications and internet/email. Familiarity with automated software applications for procurement and logistics support management system is desirable. Experience (length and nature)
Minimum 3 years experience in procurement and or logistics. Relevant working
experience with WHO and other UN Organizations in area of procurement and logistics would be an asset. Languages
Good command of spoken and written English languages and Bahasa Indonesia.
Salary: In accordance with WHO salary scale
