CONVOCATION REHEARSAL

COLLECTION OF JAMIAPOASH

You must attend the rehearsal! It is extremely important that you attend the
rehearsal. We will rehearse the Convocation procession, seating, receiving your
degree / diploma and recitation of the oath, as applicable.

Jamiapoash (academic regalia) should be collected according to the following


schedule. Jamiapoash will only be issued on production of clearance slip
signifying clearance of financial dues.

AWARDS CEREMONY
Traditionally, the night prior to Convocation, the University holds its Awards
Ceremony to recognize the hard work of its graduands. Each graduand will receive
two cards for his / her guests. You are requested to be seated by 7:15 pm.
In addition to the awards distribution, there will be student performances and
graduation speeches where representatives of the graduating classes will share their
experiences at AKU. Outstanding Teacher Awards will also be awarded during the
ceremony.

CLEARANCE FROM FINANCE


You are requested to obtain a clearance certificate from Student Finance (ext.
2418/2403) located on the 1st Floor of the Deans Office building, verifying that
you have cleared tuition and other charges.
IED graduands are requested to contact Office of the Registrar, IED for financial
clearance.

INVITATION TO CONVOCATION EVENTS


Each graduand will receive one invitation card for his / her admission to the
Convocation ceremony plus four single entry cards which will admit four guests.
For security reasons, it will be mandatory to present the card along with the
envelope and CNIC (for residents) / Passport (for non-residents).
Please Note
Invitation cards are non-transferable.
Children under the aged 10 are not permitted to attend the ceremony.
Please inform your guests that they will not be allowed anywhere near the stage
to take photographs or use movie cameras. The University has designated
photographers, assigned with the responsibility of capturing important moments
of the ceremony, including individual graduates. Photographs and video
recording of the ceremony can be ordered through the Audio-Visual department.

CONVOCATION PROCEEDINGS
Procession Formation
1. You are required to assemble in the robing area no later than 9:00 am.
The event has been planned at the Cricket Ground.
Please do not forget No entry without Invitation Card and envelope
and
No participation without Jamiapoash.

2. Please put on your Jamiapoash as soon as you enter the robing area and quickly
identify your place in the procession line up. Please make sure that the tassel of the
Sirpoash is on your right. You have been paired according to alphabetical order as
indicated in the marching order. Ushers will be available to guide you through the
process.

10.To add to the colour and glamour of the occasion, you are requested to
keep your Jamiapoash on during refreshments so that you may be recognized
as graduates.

COLLECTING DEGREES IN ABSENTIA


3. You will then have to organize yourselves for a group photograph according to
the instructions given on the day of the rehearsal. After the photograph, please
return to your designated places in the Convocation procession. Speed and
discipline will be necessary in organizing yourself in the procession so that
proceedings may commence immediately. "Slow Motion" will delay the
proceedings. Please look sharp!
4. The procession will enter the Convocation arena in groups as defined in the
procession arrangement. The Convocation tune will be played as soon as the
procession starts marching. Silence, academic dignity and decorum should prevail
throughout the march.
5. When your group reaches the designated seating area, please branch off into the
rows as indicated and rehearsed. This will facilitate collection of degrees. Ushers
will assist with this process.
6. After the speech by the Chief Guest, the degrees / diplomas will be awarded:
first to graduands in the School of Nursing and Midwifery followed by Medical
College, Institute for Educational Development, then to the graduands of the
Institute for the Study of Muslim Civilisations.
7. In order to facilitate the process of awarding degrees / diplomas, you will be
given your name card. When you reach the top step, on the stage, give your card to
the Dean/Director standing on the podium; when your name is called proceed to
collect your degree. This will be further clarified during the rehearsal.
8. At the conclusion of the Convocation ceremony, the procession will be led from
the arena towards the refreshment area along the defined path but in the reverse
order. The Blazon Carrier will lead the procession, followed by the Chief Guest,
Board of Trustees, President, the faculty and then the graduates. It is important
that the entire procession walks into the refreshment area before dispersing.
9. After the entire procession has reached the refreshment area, other guests will be
invited to join for refreshments. You are therefore requested not to stop to greet
friends and relatives during the return march.

Those not present at the Convocation may collect their degrees in person
with prior appointment from the Office of the Registrar (Tel. 021
36347611 ext.( 8636) after the Convocation ceremony. A written receipt
acknowledging delivery of the degree parchment will be required.
Those who would like their representatives to collect degrees on
their behalf should authorize them by completing Student
Information Release Form available on the Universitys website:
https://www.aku.edu/admissions/registraroffice/Pages/forms.aspx.
The form should be submitted at the Registrar Office Counter: East
Reception in SONAM.

DEGREE ATTESTATION
HEC requires parchments to be attested for several reasons. If you wish to
get your parchment attested, please contact relevant Office of the Registrar
after the Convocation.
Please do not laminate your parchment. Laminated parchments are not
accepted by HEC and Internationally.

EMAIL ACCOUNTS
Please note that student email accounts will be administratively disabled /
deleted on December 31, 2016. Your User ID and Password will only remain
active until December 31, 2016. Through this note you are being notified in
advance to take a back-up of all your important data in these accounts.
