FINAL YEAR PROJECT

PROPOSAL 2016

The project was selected because a majority of residents, whether it is an apartment, townhouse,
house, etc., experience annoyance when they take a trip to the mailbox to check for mail and it is empty.
We are motivated to develop a device to make our lives more expedient in various ways. With a Wireless
Mail Notification system, a Notification message will be sent to both home and mobile phone to inform
the homeowners that there is something in their mailboxes.
Nowadays cellular is one the most important system that been used to connect people. GSM is a
cellular network, which means that mobile phones connect to it by searching for cells in the immediate
vicinity. GSM (Global System for Mobile Communications: originally from Grouped Special Mobile) is
the most popular standard for mobile telephony systems in the world. Its ubiquity enables international
roaming arrangements between mobile phone operators, providing subscribers the use of their phones in
many parts of the world. GSM differs from its previous technologies in that both signaling and speech
channels are digital, and thus GSM considered a second-generation (2G) mobile phone system. This also
facilitates the widespread implementation of data communication applications into the system.
This project is mainly about a system based on real monitoring to ensure the mail is arriving at
home. The Wireless Mail Notification is a normal mailbox with a system where it will automatically
inform the owner of the house that they got a mail at home. The Wireless Mail Notification will leave a
message via (SMS) short message system to the number that been registered.

Problem Statement

Below show the problem possibilities occur without the GSM Mailbox System:

- Inability of the user to know each mail and packages arrive in their mailbox.
- Worried about the important mail and packages been stolen or loss.
- Running out of time or too busy to check the mail box

PROPOSAL 2016

Project Objectives

To reduce time and energy wasted checking empty mailboxes and picking up expected items as

soon as they arrive

To create a product that will send the notification via SMS to the person when the mail was

arrived
To interface the GSM modem with the Programmable Interface Controller (PIC) and IR sensor
circuits.
To design a circuit that automatically inform by using mobile network when mail is already in
the mailbox.

Project Scope
In order to achieve the objective of this project, scope of work had been divided into two parts
which is software and hardware. Before fabricating process, the circuit that had been designed will be
simulating using suitable software
Transceiver (Tx) Data for Smart Mail Box via GSM is an innovation of monitoring the mail in
the office or house. The basic idea is to monitoring software and the main part of the hardware is the
keypad, RF wireless and sensor system.

Project Specification

4 AAA Batteries will be used to supply power to

the transmitting side since all the sensors,
controllers and RF transmitter will operate
between 3 Volt and 5 Volt and each component will
be connected in parallel. The receiving side will be
located inside the house where wall outlet power is
available.
The TX Module will consist of 3 main
components, IR Sensors, a controller and an RF
Transmitting unit. The TX Module will also
operate only if the mailbox door is opened while a
postman is placing mail to prevent unnecessary
power drainage. That is, an analogy of
refrigerators' light systems

9 IR Sensors will be located appropriately to detect

any type of mail. Sensors output will be either
high or low which will act as a signal to the
controller unit. This digitized output will be coded
into the controller unit for further action.

KST-TX01 will be used as an RF Transmitting

module, which operates between 3V and 5V.
Temperature tolerance is wide enough to cover any
where in the US. Also, the output power is 1W and
will cover up to 1500m. Once it receives the signal
from the controller unit, then it will transmit
different signal accordingly.

Safety/Security Features
For the Wireless Mail Notification, I will implement several security for the system. For the apps
in the mobile devices, we add authentication to access our database when the mail is arrived. The user
must register the sim card from nearby providers. The messages (SMS) will sent to your registered sim
card. User can know the arrival time and the total letter in their mailbox from the SMS. From SMS that
have been sent, the user also can ensure no missing mail by keeping track of the arrival of each mail.

Conclusion
As a conclusion, conventional mailing system still carry important role in todays living.
Companies and apartment housing residential are still relying on centralize mailing system which often
cause some inconvenient to the user. By having the microcontroller, sensors and GSM modem, a smart
notification system can be developed to notify the user if there are letter in their pigeon mailbox.
