May 07 2011, Human Resources Module (ASOFT-HRM ) of ASOFT-ERP system was


voted by consumers to be in the top 02 most preferred solution in the framework of the BIT
CUP 2011 which was organized by Magazine PC World Vietnam.

11/2011 System Software Accounting, Finance and Enterprise Resource Management


(ASOFT - ERP ) is a product of the 08 finalists selected in Vietnam Talent Award 2011 by
the Association for Promoting Learning, in collaboration with VNPT Group, Vietnam
Television and co-organizer Dan Tri reported.

May 04/2012, Enterprise Resources Planning Software Solution (ERP-ASOFT ) has won
the Sao Khue 2012, a most prestigious award in the field of IT by the Association of Software
and IT Services Vietnam (VINASA) under the auspices of the National Steering Committee
on IT and Communications Ministry of Information organized.

MODULE ASOFT-ERP
A. ASOFT-S: SYSTEM SETUP ASOFT-S

ASOFT-S is a system settings module authorized according to function and data in detailed
with every account, store, type of voucher and object. ASOFT-S integrates data of multiple
branches by 2 structures:
Import Online
ASOFT allows branches to import and update data online for main office (place where
database is installed) through WAN or Internet Network. This function serves inquiry and
synthetic report quickly and accurately
Export Data
Data of branches is extracted into file by smart and flexible filter, after that data is sent to main
office. There, Import function will support data transport into total data.
B. ASOFT-CI: COMMON INFORMATION MODULE
Common information system ASOFT is a module to control lists and initial system setup.
Data for lists include: accounts, customers, suppliers, employees, goods, products,
materialsSetup data include: principles to name goods, objects, asset code; principles to
format figures, to define analysis code for entry, object, and goods.

C. ASOFT-OP:ORDER PROCESSING MANAGEMENT MODULE


Order form management system ASOFT-OP is a unique module to meet computerization
requirement from sales departments. ASOFT-OP can process purchase order and sale order.
ASOFT-OP is inherited and shared data with accounting department. ASOFT-OP will
provide united code such as: customer code, supplier code, item code
ASOFT-OP provides many flexible functions allowing users to establish management
procedures, customized reports.

Quotation
ASOFT-OP allows users to establish, manage and make quotation in professional way and
centralized management. Users can find filter, update data quickly.

Sales Order
Sales department can make sales order with the software. This is the input to manage the order
better. Users can enter detailed data for items, price and inventory. As soon as the sales order
is made, users can view inventory, customer debt and debt limit.

Price And Unit Management


Users can manage the unit and price for each sales order, item category by customer. The price
is default when making sales order. Besides, ASOFT - OP provides tools to manage floor
price and top price.
Alert system is automatically activated according to organizations management policy. For
example, if you enter higher price, unit or low inventory level, ASOFT - OP sends users
announcement automatically.

Purchase Order
Similarly to sales order, purchase order is designed for sales departments. ASOFT-OP helps
users manage purchase order in details. With this information, users can evaluate suppliers for
better management. Easy purchase order finding helps users view purchasing tasks
systematically.

Production Order
With production order management, or so-called internal order, ASOFT - OP is an
intermediate phase helping users have an overview from production process to sales process.
Usually, sales department will gather item in sales order to make production order.
Reservation Inventory, Inventory On Way Management
ASOFT - OP helps users to observe reservation for sales order (SO) and inventory on way of
purchase order (PO), making an overview of your inventory.
ASOFT - OP also calculates purchasing unit automatically and forecasts time to sale items
in store.

Delivery Progress
Delivery progress is detailed data in sales order. When sales order is made, users will update
detailed plan to receive goods (Invoice). Basing on accounting and sales data, ASOFT - OP
will calculate automatically and make report for order progress.

Order Estimation
This is a specialized function in ASOFT - OP. When sales order is made, users can update
estimated costs. From these data, ASOFT - OP will calculate price cost, turnover and
estimated interest.
Material Estimation
This function helps users to calculate the amount of material to produce an order. To calculate
accurately, users need use suitable Bill of Material (BOM). Users will base on these data to
make purchase order and limit for material accountant.

D. ASOFT-T:ORGANIZATION ACCOUNTING MODULE


This is the basic module of ASOFT system. ASOFT-T module is designed into a united
form including accounting professional competence and accounting tasks such as currency,
debt, fixed assets, materials and goods, purchasing goods, sales, apportionment, allocation,
closing the books, counting the depreciation automatically, counting the price cost
automatically in details according to the reality of businesses.

Money Capital
ASOFT-T carries out the accounting professional competences including cash and bank
deposits.Exchange rate is updated everyday. All related professional competences access daily

exchange rate. Recording the special entrysuch as money transfer bank deposit, cash
withdrawal is very simple.
Exchange difference settlement is completely automatic.
Providing receipts, order for payment, cashbookfor money capital accounting.
All entries of this module are the output of the ledger and they reflect debt, turnover.
Purchasing
The monitor for data entry is designed scientifically and usefully. Users can carry out many
different purchase modes such as: interior purchase, direct import, committed import.
ASOFT-T allows following the order form and purchase situation. In case, there are import
tax and purchase cost, ASOFT-T will control items according to purchase invoice.
Users can make the diversified entries such as: purchase goods, buying service, direct sale.
Store receipt will be designed automatically and suitable with purchase invoice.
Value-added tax (VAT) is handled automatically. Data is switched to the goods & service
sheet automatically.
ASOFT-T provides reports to analyze goods amount according to the kind of goods. The
object is diversified and ready to serve management task.
Sales
Data entry monitor is designed simply like value-added tax invoice. It helps users to enter data
quickly. Turnover entry, tax entry and unit price is default.
ASOFT-T distinguishes the debt object, tax return object and helps the accountants to record
the object clearly, meeting the requirement of debt account and tax report.
ASOFT-T allows paying out storehouse automatically based on sales invoice.
There are some sales reports, including detailed sales books, turnover analysis reports
according to the goods, the object.
It accesses data automatically in the tax return.

Payable And Receivable


Including accounts receivable and accounts payable.
Accounts receivable controls all receipts such as accounts receivable from customers,
advance, VAT input, other accounts receivable.
Accounts payable controls short-term loan payables such as suppliers payable, employee
payable, social insurance, value-added tax, other payable, debt, long-term loan.
ASOFT-T controls detailed payable & receivable by invoices.
ASOFT-T controls the debt in many ways, including object, original currency, account and
item. Users can set up tax return, accounts receivable or accounts payable in general or in
details.
Debts reports are much diversified. They will help users to check the figures in many aspects
from general to detail.
Automatic subtractionhelps receivable accountant monitor debt by invoices. The application
will do payment according to FIFO mode.

Financial Report Settings
Finance reports such as balance sheet, profit and loss, and cash flow report, are designed
very lively. Users can edit and adjust the targets. Therefore, users can set up the change of
accounting system and the report form without editing the program from software provider.

E. ASOFT-FA : FIXED ASSETS MANAGEMENT MODULE


Fixed Assets management Module is designed to control in details raised transactions of fixed
assets.
Module allows to control fixed assets according to many sources, calculate automatically
depreciation, allocated depreciation according to many sources. Especially, This module is
used to observe history foundation and fixed assets usage period.
Transactions influence on fixed assets: Fix, move, evaluate, increase-decreaseare showed
all.
Fixed assets card is printed automatically, forms are designed according to the standard forms
of Ministry of Finance.
Depreciation methods are much diversified such as: straight line depreciation, quick
depreciation, output depreciation.

Tools Management
This function is designed flexibly, it allows users to control in details. Users can export tools
from inventory, from purchasing for using directly, or from users creation.Tool account is
designed according to regulations: users inform and manage Tools; settings of cost allocation
method is extracted with different usages (regular allocation, two times allocation); settings
of false receipt (if any). Every period, program will automatically extract depreciation,
forward to ledger.

F. ASOFT-WM - WAREHOUSE MANAGEMENT MODULE.


This is a specialized module of warehouse management. Program not only has warehouse
account but also has characteristics of product warehouse management.
System allows users to setup product price calculation method for every product (Average,

Server
Server size depends on the numbers of users. Large number of users requires Server strong
configuration with many CPU and RAM and large hardware.
With 02-10 users, Server configuration can be: 01X CPU Intel PIV 2 GHz, 512MB RAM
1GB, 8GB SCSI Hardware, and available NIC.

With more than 10 users, we will give our profession advice. In this case, Server
configuration can be: 02-08 CPU, 1GB - 4GB RAM, RAID 5 Hardware.
Server should be installed Windows NT 4.0 Service Pack 4 or Windows 2000 Server or
Windows 2000 Advanced Server and SQL Server 2000.
UPS online or smart should be attached to Server to turn off automatically when the electric is
off. Server should have DAT or DLT back-up drive with same capacity of main hardware.
Network System

Warranty

GREENSUN company will be freely provide warranty service (ASOFT-8.0) for 12 months
after having signed the Acceptance report. During warranty period, customer will receive
following services:
a.
Fix ASOFT errors

As Party A informs program errors to Party B, Party B will receive and confirm error
status within eight hours (according to working time).

Within next eight hours (according to working time) Party B will have suggestion to
handle the errors .

Based on suggestion to handle, Party B will perform and fix errors with the following
ways:.

Instruct users to fix program by telephone, fax, email.
o
Send fixing program by email or soft dish (CD, USB)
o
Directly send employee to Party As office to fix.

In warranty duration, if program is broken down by Party A with errors of hardware or


software, Party B will install and issue license two (02) times per computer without extra
charges.

Excluded warranty service :

Fix hardware and network system because of Party As fault.
o
Software errors because of virus.
o
Install and issue license from the3rd because of errors of hardware or software that
Party A causes.
