Definition
A shift note is a comment for a work center on an event that cannot be entered elsewhere in the
system. You can enter the exact point in time (timespot) at or the period during which the event
occurred in the shift note.
Examples of such comments are:
Information relating to a production order
Information relating to a material
In addition, you can use this to create and process shift notes and shift reports for technical
objects within plant maintenance.
You can enter shift notes and create shift reports to document all important information and events
pertinent to or occurring within a shift.
Improved confirmation transactions enable you to monitor and analyze production-related data on a
detailed basis for PP Module only
Use
You must always create a shift note with reference to a work center, a hierarchy, or a PI
resource.

Structure
If you have made the appropriate settins in Customizing in the IMG activity Define Shift Note Type,
the shift note comprises the following:
Number of shift note
Data on work center
Event
You can specify whether you want to enter times for an event. In doing so, you can choose whether
you want to enter the exact point in time (timespot) or, in the case of longer-lasting events, the time
period (duration).
Category
You can sudivide your shift notes into categories. In Customizing, you can enter a code group with a
corresponding catalog. In the shift note, the short texts of the codes belonging to the code group are
then offered as input help for the Category field.
Reference object
You can enter shift notes on a targeted basis with reference to certain objects such as
production orders, maintenance notifications etc.
Long text
You enter comments in this area. You can use standard text modules to simplify the entry process. In
doing so, you can specify standard texts with reference to a business object. These standard texts are
then immediately suggested when you enter a shift note.
Attachments
In the Attachments area, you can add various documents such as Word documents or Excel files as
attachments.
Integration
You can include the shift notes you have created for a work center in a shift report. The shift notes
then appear in the Shift Notes section of the shift report. In order for the system to be able to find the
shift notes for the shift report, a shift note typemust be entered in the work center or hierarchy.

and hierarchies and utilize enhancements in the area of production and process order confirmations
The business function is suitable for customers in discrete manufacturing and process industries.

Shift Reports and Shift Notes for Work Centers and Hierarchies
In a shift note, you can enter a brief comment on an event that you cannot enter elsewhere (in a
confirmation or maintenance notification, for instance).
In a shift report, you can collect all important information pertaining to a shift for a certain work center.
Confirmation Enhancements
Shift-related confirmation
You can use the shift-related confirmation to track the quantities produced in a certain shift or
to determine which shift produced the most scrap, for example.
Subdivision of quantity fields
You can subdivide the quantity fields Yield, Scrap, and Rework into further fields in order to
enter and evaluate certain quantities on a targeted basis. Thus, for example, you can
subdivide the Scrap field into several scrap fields (e.g. scrap due to bent parts, scrap due to
scratched parts, etc.)
Customer-specific fields
You can enhance the confirmation transactions by adding further customer-specific fields in
order to collect additional data for your analyses.
Automatic generation of quality notifications
To optimize the evaluations of faulty materials produced, you can specify that the system is to
automatically create quality notifications when the incidence of srap is confirmed. On the
basis of these quality notifications, you can investigate why there has been a higher incidence
of scrap for a certain material for example. You can also specify that the system is to
automatically create a quality notification for the confirmation of good quantities (yield) and
rework.

Plant Maintenance and Customer Service Maintenance and Service Processing Shift Reports
and Shift Notes.

To be able to choose a category in the shift note, you must check the category in the IMG activity
Maintain Catalogs or create a new catalog type that you want to use as the category. In the IMG
activity Define Shift Note Type, you must set the Category indicator and assign the desired catalog
type in the Catalog Type field. In the Code Group field, you must choose an appropriatecode group.
You have assigned the reference objects to the shift note type.
You have entered the shift note type in the work center for which you want to enter shift notes.

Enter Event Time
You can enter the date and time on and at which the event to be reported occurred.
Choose Category (and display information on it)
If you have previously defined a long text for the code in Customizing, you can enter the shift note
with reference to a category and display further information on the category using the Information
function key.
Choose Reference Object (and display information on it)
You can assign a business object to the shift note as a reference objectand display the assigned
object.
You choose the reference objectmaterial and specify the relevant material number. Use the Display
Object function key to access the master record for the material entered.

Prerequisites
You have created a new notification type for the shift note. More information on creating the
notification type is available in Customizing under Logistics General Make Settings for Shift Notes
Make Settings for Shift Notes.
If you want to choose a category in the shift note, you must check the catalog type and the code
group that you want to use for the shift note in the IMG activity Maintain Catalogs. However, you can
also create new entries.
If you want to use standard texts (text modules) when entering the shift notes, you must perform the
following steps:
Create text IDs for the text object TEXT using transaction SE75 in order
to be able to group together certain text modules.
Create a standard text (text module).To do so, starting from the SAP Easy
Access Menu, choose Tools Form Printout SAPscript Standard Text
and enter a text. Assign this text a text ID.
Procedure
1. Call up the IMG activity Settings for Shift Note Type. Choose New Entries and
choose the previously created notification type using the input help.
1. 2. Specify the details for the shift note type. With these, you define the fields
and information that are to be shown when a shift note is entered.
Event
With the Event indicator, you specify that the fields for entering the
timespot or time period at or during which an event occurred are to be
shown. See also: Entering the Event Time
Category
If you set this indicator, theCategory field appears with an input help in the
shift note. You can define the content of the input help using the Catalog
Type and Code Group fields.
Reference object
Long text
This indicator must be set before you can enter a long text in the shift note.
Specify that the system is to log changes in the long text by setting the
Track Changes indicator. See also: Change Tracking
In the Number of Characters field, you can limit the long text that is to
be entered to a certain number of characters. This applies to each
invocation of the shift note. If you invoke the note again in change mode,
you can again enter the same number of characters.
If you do not stipulate a value, the user can enter texts of unlimited length.
Text ID
Here you can specify a text ID. You can create one or more text modules for
the text ID, which you can then use in the shift note to minimize the entry
effort.
However, the system offers these text modules for selection in the shift
note only if you enter the latter without a reference object. If you specify a
reference object in the shift note, the system does not suggest any text
modules. If you want to work with text modules, you must specify a
separate text ID for each reference object.
Text name
If you want to use standard texts without assigning a reference object when
entering the shift note, you can specify a standard text in the Text Name
field. The system then suggests this text as the long text when shift notes
are entered.
Attachments
You use this indicator to specify that the Attachments area is to be
displayed in the processing transactions for the shift note. The system then
shows the Attachmentsarea in the lower half of the Shift Note screen. You
can then add documents as attachments to the shift note.

PDF form
In this field, you specify the PDF form that the system is to use for the
shift notes. See also: Create PDF

Here you specify whether or not the shift note type is to be used as an independent shift note. If you
select the Independent Shift Note option, you can no longer process the selected notification type
using the standard transactions for notifications. You must then use the transactions for processing
shift notes (SHN1, SHN2, SHN3).
If you have selected theScreen Area of Notification option, the shift note area is used within the
selected notification type but you must use the standard transactions for notifications to create or
change the notification.
The content of a notification belonging to this notification type can nevertheless be shown in the shift
report.

In this case, you must enter and process the shift notes with the transactions for the simple view of
the maintenance notifications (IQS21, IQS22 und IQS23). You cannot use the transactions for the
shift notes (SHN1, SHN2, SHN3).
The procedure described here is only an example of how to create a shift note type based on the
notification type for maintenance notifications for the simple view. However, you can also create a shift
note type for the extended view (transactions IQS1, IQS2, IQS3).

6. 3. Under Notification Type Define Screen Templates, you must then doubleclick on Define Screen Areas and Tabs. In the list of notification types, select
the entry SP and double-click on Notification Header: Screen Areas. You must
make the following settings for the notification header:
Screen Type Header: H100 Header for Maintenance Notification
Screen Type Object: O100 Functional Location+Equipment+Assembly
Then double-click on Simplified View: Screen Areas.

Alternatively, in the IMG activity Allowed Change of Notification Type, you can specify the notification
type previously set up in the IMG activity Define Transaction Start Values and additionally specify SP
as the target notification type. This enables you to simply switch the notification type using the
Change pushbutton when you invoke the notification.
11.8. In the last step, you must enterSP in the Shift Note Typefield in the work
center.
Result
You can now enter a shift note with thenotification type SP in transaction IQS21.
The notification entered is displayed as a shift note in a shift report only if you have entered the work
center that you assigned to the shift note type SP in step 8 in the notification.

Shift report
The shift report is a PDF document that the person responsible for the shift can generate manually at
the end of a shift after all confirmations and shift notes etc. have been entered

Definition
A PDF document that is created manually by the production supervisor after completion of data entry
for the preceding shift. You cannot change the shift report manually. Shift Report is not created
manually,it is only generated from shift notes.
Use
The shift report serves to collect all the important information on a work center, a hierarchy, or a PI
resource in a shift. The shift report thus facilitates shift handover.
Structure
The shift report can consist of the following sections:
Cover page
The cover page contains the header data on the shift report (such as plant, work center, shift, and
period of entry).
List of shift notes
This section contains a list of all shift notes that were created during the entry period of the shift
report.
In addition, you can group the shift notes in the shift report according to various criteria, such as plant
and creator. See also: Grouping of Shift Notes in Shift Report.
Confirmations
List of confirmations
This section contains a list of all confirmations that were created during the
entry period of the shift report.
Maintenance notifications
Customer's own data
You can define a separate section in the shift report in which you can display your own texts and
tables. See also: Inserting Customer's Own Texts and Tables
Graphical evaluations
You specify which of this information is to form part of the shift report and which layout is to be used
for the PDF document in Customizing for the Shift Report. See also: Settings for the Shift Report

You can also invoke the shift report starting from the iView Shift Reports in theBusiness Package for
the Production Supervisor..
Prerequisites
You have defined a signature strategy if the shift reports have to be signed. See also: Digital
Signature in the Shift Report
If the shift report is to contain the section List of Aggregated Activities, you can define the unit in
which the activities are to be displayed in the work center in the costing view. If you do not specify a
unit in the work center, the system uses the unit that you specified in the confirmation.
Activities
12.1. You create the shift report type.
If you need different kinds of shift reports that have to be structured differently due to differing
requirements at the work centers, you must create several report types.
13.2. You make the settings for the shift report type:
Shift reports that have to be signed are not completed until the signature has been provided.
Completion of the preceding shift report is a precondition for the creation of the next one.
Shift reports that do not have to be signed are completed immediately after their generation.
Whether the system is to show the Send E-Mail function key in the
processing transactions for the shift report.
Here you must assign a class and a PDF-based print form. The PDF-based print form predefines the
layout of the shift report. Separate Customizing is predefined for the standard classes. You invoke this
using the Customizing function key. For more information on this Customizing, refer to the IMG
documentation for the IMG activityDefine Shift Report Typesand Classes and Layouts for Shift
Reports.
