Focused Outreach Initiative Targeted at the dept. Institute of Biomaterials and


Biomedical Engineering (IBBME)

Highlights:

19.3% of the total IBBME Graduate Students visited the website (highest response rate
of any dept.)
Student Leaders were informed grad students experiencing conflict can be directed to
the Grad CRC
Good relationship built with IBBME dept., they offered to retweet us. They also
suggested QR codes on postcards would be a great addition.

Why Target IBBME?


IBBME was a department that had not yet been exposed to the outreach initiatives by the CRC.
They were invited to the Faculty of Medicine Trivia night (Michael and Jonathan previously
outreached at), but the dept. did not attend (due to conflicting events).
Therefore, IBBME was a good department to target for focused outreach.

Method used to target IBBME?


The method used to outreaching IBBME was based on the preliminary findings from what
strategies were most efficient and successful from outreach initiatives in Feb-Mar. Briefly, it
was found that outreach events, online methods, and in-person announcements were highly
effective in drawing traffic to the CRC website (see supplementary material). Therefore, the
strategy employed were:
1. Monday (online): Advertise CRC outreach event (pizza and board game bootcamp) for
IBBME students via IBBMEs student e-mail newsletter (student digest) with a link to
our website and explaining a little bit about ourselves [April 18: Afternoon | 300
students on e-mail list]
2. Tuesday (in-person announcement): Michael made an in-person announcement about
the CRC at a IBBME student seminar that is mandatory part of their program. Handed
our postcards, slides, presentation. [April 19: 4:00 pm | 45 students in attendance ]
3. Thursday (outreach event): Social event, Pizza and Board Games. Michael, Kiera, and
Natalie mingled with students, talked about the CRC and services that we provide.
Handed out prizes with postcards. [ April 21: 6:00 pm 9:00 pm | 25 students (stayed
beyond the pizza]

Budget
Pizza - $45 (did carry out and picked up by Michael and Kiera)
Soft drinks - $5 (Michael purchased from Grocery store)

The outreach initiatives targeted at graduate students in the dept. IBBME (300 students) during
this period of time through three different methods had a total of 90 unique website visits.

Although there were other outreach initiatives between the dates April 18th to 21st,
there were similar outreach initiatives in the week prior (April 11 to 15). These events
can act as control.
We can then infer the significant increase in visits to the website April 18th to 21st, above
and beyond the background (average) traffic, are attributed to the IBBME focused
outreach initiatives.

Therefore the approximate efficiency of the focused outreach targeted at getting IBBME grad
students to visit the gradcrc website can be calculated by:
(Total website visits April 18-21) (Total Website visits April 11 to 14) / (Total # of IBBME grads)
= (90 32 / 300)
= 19.3%
Therefore, the approximate efficiency of the target IBBME outreach initiative is 19.3%.
Interestingly, that approx. 10% initial response rate to online (e-mails) initiatives is found again.

1. Consider QR code! This is vital in outreach and promotions. This way, students can just
scan the code on your poster or post card and have all the content sucked onto their
phone (I can set this up for you).

Summary:

The IBBME dept has been well informed about the presence of the gradcrc at UofT and
the services they provide.
Student leaders have been informed they can refer students experiencing conflict to the
Grad CRC. Based on the response rate spike during this period of time in
