HR Documents through Archive link, Aug 18, 2009 2:15 PM
Hello SAP Gurus,
Iam totally confused with using the generic object services option i have done OAC2 / OAC3/ OAD5, for storing
HR Documents Tthe confusion is i could see different ways for maintaining the documents in the content
server,
Which business Object is to be used is it PREL (Employee Document) or use BUS1065 (Employee)
and another important thing is which procedure to be followed as, what is the Best Practice to do the same with
out any Development and with slight development,
One thing is directly going by Generic Object services, ICON in PA30, store business object, which i could do
it,
other procedure is Assign Facsimile, when are we suppose to use this procedure, and for me it is not
working and asking to enter the Bar code No, is this Barcode methodology a standard funtionality or
requires a development
Please provide some details, or any practical documents is welcome,
Thanks and regards

Hi Priya,
What exactly u r trying to do ?
As far as I know creation and maintaining an ARCHIVED LINK & CONTENT SERVER is done mainly by
BASIS CONSULTANT.

Dear Priya,
This is all BASIS settings...
Barcode methodoloy is also a standard SAP behaviour and it needs settings by BASIS
Barcode is nothing but a unique code assigned to each file that u scan and update...

Dear Sadhar,
Thanks for your reply, but we have already installed the content server,
we have suggested the client to go by Generic object Services methord for maintaining there HR documents,
to do this we have to go through some transactions like OAC2, OAC3, OAD5, which involves assigning the
document type to a business object type, and content repository ID of content server,
1) now here which Business Object has to be used for PA30, is it PERL or BUS1065 ?

2) you told Barcode entry is a standard funtionality, so while maintaining any document in the PA30 TC, how
will i find the relevant Barcode No which has to be used to maintain documents, i have no idea how it works
practically.
can you pls give me some detailed procedure how to make use of this Assign Facsimile to maintain Documents
in HR,
with Assign Facsimile if it is a WorkFlow and development process we are planning to make it such a way that
when user tries Assign Facsimile the user should be able to upload the file from his local desk Top.
so how to disable Barcode entry and assign Files manually in Assign Facsimile.?

Dear Priya,
If you have a content server already in place then in OAC2 you will link what all documents of HR should be
of what type. For example like the travel document will be a .pdf file and some other document will be a .doc
file. This is defined in OAC2. Remember once you have defined the extensions of the files you will be able to
upload the same. The document type normally starts with HR.
In OAC3 to view them through PA30 you have to use PREL for Employee and PAPL for applicant.
Once this is done you will be able to store documents using OAAD and then you can view them the same from
PA30 for employee by choosing display all fascimilies.

Hello SAP Gurus,
My requirement is to store HR documents at May be infotype level,
iam not able to use Assign Facsimile to store documents,
all i require is to click on Assign Facsimile and choose a file manually from the DeskTOP and save it against a
Employee,
how to make this possible Pls suggest,Pls Note we are not using BAR code methord,
i know the same thing could be done through OAAD and OAWD TC, but i need to do it through Assign
Facsimile methord.
does this require any config to deactivate Barcode and allow Manual file selection?

Thanks and Regards

If you assign using the trasaction OAAD then also the file can be uploaded from the desktop. Go to OAAD
and say store and assign it will ask you for a particular document type. And then the employee number will be
prompted.
As far as i know assign facsimiles calls for the DMS. If you are using content server then OAAD is the t-code.
And about bar code i think that barcode has to be present on the document and then that barcode will be
scanned and stored. It requires a different configuration and bar code scanner also.
Hope this helps.

Re: HR Documents through Archive link, Sep 1, 2009 8:00 PM
Hello Narendra,
Thanks for your response,
We could use OAAD for Assigning documents for a Particular employee selecting a particular document type
and Infotype,
But why should an user go to a different Transaction to attach a document and to retrieve the same in PA30 or
PA40,
can i pls know how could use the Assign Facsimile Option to Manually select a document in Desktop and
assign it to a particular document type,
right now with my system when i select the Assign Facsimile, it displays only a few document types to be
selected (always 21 document types and the Z document types are not displayed why? )and when i select a
particular document type, i could not manually browse a file in the desktop,
as at the last it only asks for a Barcode entry, we are not using the Barcode functionality, all i want is manually
select the file at Assign facsimile and maintain it to a particular document type.
pls suggest how to do this
Thanks and kind regards,
Priya S

Dear Priya,
I would request you to read the pages from 423 in the below mentioned document. It clearly explains as to how
you can use the assign facsimilies option.
